May 2016 Board Reports and Meeting Minutes In attendance (11): President Mike Hinton, Vice President Craig Steele, Treasurer Jerry Gladstone, Secretary Chip Witt, Autocross Director Grady Carter, Sponsorship Director Simone Kopitzki, Thorsten Kopitzki,, Past President Vern Rogers, Membership Director Tom Short, Social Media Director Kurt Fischer, and Fred Utter. Absent (4): Goodie Store Director David Bunch, Concours Director James Heisey, Safety Director Mac Cranford, der Riesenbaum Editor Jamie DeRuiter Meeting called to order at 7:04 p.m. PDT on May 31, 2016 by President Mike Hinton at Mary s Pizza Shack, 121 San Marin Drive, Novato. Motion to approve the February 2016 Board Reports by Vern Rogers, seconded by Craig Steele and was unanimous. President s Report (Mike Hinton): Attended first Autocross in April, driving the GT3. Unfortunately, on my last run, I had a coolant system failure, sending me into a quick 180-degree spin, and ending the day on the back of a flatbed truck. Obtained insurance for May events. Applied for hospitality subsidy for historic car races at Sears Point, aka Sonoma Raceway. Applied for charity subsidy for Porsches on the Plaza event in June. Attended Station House Café Run on May 7. Good roads, light traffic, and good service at the restaurant. Participated in 2016 edition of Targa California with Vern Rogers and Tom Strobel. Took the 914 this year, and to make a long story short, had a bit more adventure than I bargained for. The parade laps at Buttonwillow Raceway were awesome, though. After repairs, drove the GT3 again in the first day of the Zone 7 autocross. No mechanical issues this time, and I had a great time. The car is still way faster than I am, but I m making progress! Cancelling June Meeting Vice President s Report (Craig Steele): Turned 71 on March 28 th Co-leader of Hoppy April Fools Pub Tour Participated in AX #2 on April 24, 2016 Asked Kurt Fischer to be new event s coordinator, he accepted o Will attend April s board meeting Meet with Kurt Fischer to coordinate his events with my roles as keeper of the calendar Attended the Station House Tour, Vern gave me ride in his Cayman to the event o Afterwards Chip gave me a ride back to my Rav4, Gator was in the shop getting her ready for June s trip to VT 1

Met with Nicole about doing flyer for the Redwood, she had some good ideas and want to have her as one of Region s designers Attended SVR Crab 36. Six Redwood Region members in attendance including Bob & Anita plus Sharon Castle. All of which won awards at the Crab Feed Dinner. This event was fantastic and the air show was to die for Drove in the Zone 7 AX both days, got 26 runs in, very fun and enjoyed meeting new drivers as well as seeing old friends. Anita and I traded the best times, I beat her Saturday and she bested me Sunday June board meeting may be cancelled because Mike and I will be on the road coming home from parade Updated the calendar with flyers for Sonoma Historics and Porsches on the Plaza. none Event s Coordinator s Report (Craig Steele) UPCOMING Events o 6/16-6/19- Driving in the 2 nd Annual Colorado Caravan to Parade, three days to Jay Peak VT from Limon, CO o 6/19-6/25 Attending Porsche Parade with Mike and Brenda Hinton o 6/26-7/8 Driving back home with the Hinton s via NYC and the Lincoln Highway 1913 route all the way back to San Francisco o 6/25 Porsche on the Plaza (I will be on the road home and will not be attending) o 7/23 is our annual Fieldstone Winery Tour coordinated by Vern Rogers o 7/30 is first trip to the California Auto Museum coordinated by Bob Schoenherr Coordination of events transitioning to be the responsibility of Kurt Fischer. Treasurer s Report (Jerry Gladstone): This report covers the period from April 23 through May 27, 2016. The Redwood Region Treasurer reviewed the Region's finances with the Board of Directors. Current bank balances and details of expenditures and income for this period were detailed and accepted. Finances remain strong and are in accordance with expectations. Anyone wishing to see additional financial detail please contact the Region Treasurer. Note: Since last month s board meeting was cancelled, attached is another copy of last month s Treasurer s Report. Submitted by: Jerry Gladstone May 27, 2016 This report covers the period from March 19 through April 22, 2016. The Redwood Region Treasurer reviewed the Region's finances with the Board of Directors. Current bank balances and details of expenditures and income for this period were detailed 2

and accepted. Finances remain strong and are in accordance with expectations. Anyone wishing to see additional financial detail please contact the Region Treasurer. Treasury Report: This section, presented in RED is for use by the Redwood Region Board of Directors only. It is not to be published on the website nor in the der Riesenbaum newsletter. Certificate of Deposit (CD) total investment stands at $10,683.62. Money Market Account stands at $7,577.22. Checking account stands at $27,744.87 in total. o $26,092.48 in unrestricted funds. o $1,652.39 in funds restricted as the autocross reserve. Accounts payable: Jerry's Redwood Region Credit Card totaling $45.00 (March payment to Constant Contact). The major income item for the period were: o $133.27 interest income on the CD Major expense items for the period were: o $125.00 for March 2016 Board Meeting dinner. o $88.00 for CalendarWiz annual subscription Net ordinary income (loss) for period was ($74.59). Net income (loss) for the period was $58.68. Net ordinary income (loss) for the year to date was ($225.64). Net income (loss) for the year to date was $16.40. Redwood Region's total assets are valued at $47,431.60 (includes regular Goodie Store inventory); liquid assets total $46,005.71. Goodie Store inventory as of January 1st, 2016 was $1,425.89. Attached to this report: 1. Balance Sheet as of April 22, 2016. 2. Profit & Loss Statement for the period March 19 through April 22, 2016. 3. Profit & Loss Statement YTD April 22, 2016. Show and Tell: There will be some "lag" in financial reporting going forward as I have elected to have our MSR receipts deposited monthly. (Previously it was twice per month, but MSR changed their choices to either weekly or monthly.) The Anniversary Pins are here. Samples to inspect will be passed around. Action Items Reports: Though we filed a California Secretary of State Information Form (SI-100) last year, a post card requesting that we file this year was received. I filed again on April 10, 2016 and paid the $20.00 fee online with the RR credit card. A confirmation was received. California Form 199-N e-postcard was filed with the Franchise Tax Board on April 10, 2016; confirmation was received. Federal Form 990-N e-postcard was filed with the IRS on April 12, 2016. Paid the annual fee for CalendarWiz with the RR credit card. That card is now on file for future payments, if any. 3

There is no final financial report on the Pub Tour as all information has not come my way. Preliminary: 27 people paid $15 each on MSR for a total of $405 - $23.25 (MSR fees) = net payments of $381.75. Secretary s Report (Chip Witt): Participated in the April 2, 2016 Hoppy April Fool s Tour. Enjoyed Porscheplatz at the April 29 May 1 running of the 2016 Continental Tires Grand Prix at Laguna Seca. Attended the May 7 th Pt. Reyes Brunch Run and gave Craig a ride back to his car. Nicole and I were two of four chaperons for 50 Technology High School Seniors on a Disneyland Grad Nite Trip, so I missed the Z7 AX on May 21 st and 22 nd. I must relinquish my hope of taking over AX Director Duties in addition to the duties of Secretary. Due to unexpected life events, I no longer have the time I expected to have when I accepted responsibility for the role which is why I had to ask Grady to continue on for the first half of the season. He has been very gracious, but we need to ask him if he is willing to continue on for the remainder of the year or find a suitable, alternate replacement. Past-President s Report (Vern Rogers): Attended Pt Reyes brunch run, and had Craig as my passenger. That was fun, and it was certainly about time that I got to attend a Redwood event. Missed the Z7 AX days I will finally get to do my first 2016 AX in June. Attended the 4 day Targa California Run with Mike, Tom Strobel, Chris Harrell and 115 other cars. Lots of GREAT roads in Southern/Central California! Especially loved the end of Carmel Valley Road as it heads down the hill to Arroyo Seco Rd. Miles of downhill tight twisties. And got 5 laps on Laguna Seca at a pretty reasonable pace. Will be writing an article for dr regarding the event. Mike, if you have pics, please let me know. Susan s knee surgery was 7 weeks ago, and she is almost ready to stop using the walker (and use a cane or two instead) to get around. none Membership Director's Report (Tom Short): Completed and submitted May DR membership report for April new members and Anniversaries. Ordered and distributed 8 new member badges. 4

Created automated spreadsheet for preparing membership report data from monthly CSV file. Uploaded and shared with other PCA Membership chairs on Facebook. Note from the Membership Director In April 2016, 22 PCA Redwood Region members marked five or more years in the club. A special thank you goes out to Robert Sachs, who marked his 56 th year with the club; and three other members marked anniversaries of over 30 years. Congratulations and thank you to all of you who are marking anniversaries I hope you are enjoying your membership and taking advantage of all the great benefits our club has to offer! In April we welcomed eight new members I hope you take advantage of the excellent activities we have on tap as head into autumn. You will be receiving a complimentary Redwood Region name badge shortly, along with a coupon good for a free autocross. Check out our website for upcoming autocross events. Also, you can order a name badge for your associate member there as well. Be sure to check out the calendar on our website, and keep an eye on it as new events are added as we finalize them. Autocross Director's Report (Grady Carter): Good first AX with 35 participants. Had 5 people new to our autocross. Zone weekend went fairly well. Just enough people on Saturday (weather threat), 10 at dinner, good showing on Sunday with 35. AX T-shirts: 13 sold @ $5 at Zone AXs. Craig reported some more/continuing water leakage into the trailer. Make-up Autocross Do we want to try and schedule one? This would incur additional restroom cost, ~ $150. Possibly Oct 22 or 29. Can probably get Sheriff to allow us one of the dates. 2016 AX Awards Stay with pictures? Is so, change to 8 x 10 (?) so can get commercially printed or else someone will have to do the printing since Barbara has retired. Also need 7

photographer(s) at several AXs. Can generate list of potential award qualifiers with car numbers (currently 20). Trailer Water Leakage Need to develop plan to correct the problem. Is it a problem with the manufacture of the trailer? How to fix and test once problem is determined. Trailer/Content Insurance (this is email from agent) The rate for coverage on the trailer insured for value of 8367.00 with 100, 250 or 500 deductibles for comprehensive and collision. The items inside are not covered under the trailer policy but could be insured under a commercial articles policy, a business policy for Porsche Club or a renters policy at the airport location. Comprehensive & Collision 100 deduct 250 deduct 500 deduct $52.10 $47.20 $43.00 6 month prem The other coverage for contents can be insured several ways with the best coverage a business policy with Redwood Region Porsche Club of America as named insured. The policy would offer liability coverage, personal property coverage, medical & many other options... A business policy is 500 a year minimum & would provide a complete package of protection... It requires some technical skill and tools, so would not expect the role to be filled simply by finding someone with the time. It may be wise to explore options for an external service to manage the site perhaps even executing on the Wordpress vision (that I began, but had to abandon in an incomplete state due to other time commitments) to separate design and content creation so that, for the latter, we could spread the work load out to more members of the club more easily.
