Bid & Proposal Con 2018 in San Diego was a record year with well over 1,000 delegates attending from all strata of the Bid & Proposal profession. What s New in Orlando 2019? In our efforts to give our delegates the very best possible experience and in order to best support our vendors and sponsors we have made some changes to the format for 2019. Exhibition Floor The Exhibition floor in 2019 is embedded within the Conference area footprint for the full range of Conference meetings, workshops, seminars and sessions (see floorplan in Appendix). This wasn t possible in 2018 but is once again achievable in Orlando. APMP Awards In order to provide a sharper focus on the APMP Awards this year and to better recognize and celebrate the achievements of our winners in a professional context we are migrating the Awards to the main Conference program. The APMP Awards will be presented in two parts, as a key element of the opening sessions on both days, kick starting each of the main Conference days with a rush of real excitement. Celebration of the Industry The Celebration this year, our 30 th Anniversary, will once again be a chance for attendees, their colleagues and friends to get together, network and to celebrate another great year of personal and professional success. We have chosen the hugely popular dueling pianos format for this year s event which will provide a great focal point for those sponsors looking for high visibility and positive brand association with a great event. We are also introducing 6 new and innovative lighting features for the refreshment areas Now that we have migrated the Awards to the main Conference Program the sponsorship opportunity around the Celebration is changing. There are two options, title sponsorship of the whole evening on an exclusive basis, including the entertainment, or the opportunity to become one of a maximum of 5 potential sponsors in a multi-sponsor environment. Conference Registration The standard Exhibitor Only package includes two registrations, intended for your booth personnel. Sponsors may receive additional registrations, depending on their level of participation and support and any level of supporter can add additional registrations to their package as well as participating in other sponsorship opportunities at the Conference. Sponsors Each of your representatives must register via the APMP.org website and will need to use the code 2019BPCSponsor when they check out. This code is closely monitored and will only work until you reach the number of registrations to which your company is entitled. Exhibitor Directory Listings Exhibitors and sponsors must complete the APMP Bid & Proposal Con 2019 Exhibitor Form at the latest by April 5, 2019 so that your company name, description, URL and contact information will be listed in the APMP exhibitor directory, on www.apmp.org and on the mobile app that will be live throughout the Conference period. Exhibition Set Up Exhibit Area: Hyatt Regency Grand Cypress Exhibitors will be assigned a table-top or one of the very limited number of 10 x 10 booth spaces, depending on your level of support. Your options at booth selection will depend on several factors, including sponsor/exhibitor participation level, number of years of APMP membership, and when the commitment to BPC 2019 was confirmed. Please be assured that APMP is sensitive to issues in placing exhibitors near competitive vendors or vendors with similar products. However, due to growing levels of participation in this event, this is becoming increasingly difficult. When making your booking, please advise us if you are looking to avoid being placed next to a competitor or wish to be sited adjacent to a business partner. We will do our best to accommodate your request but can make no guarantees. Finalized maps of the exhibit space will be sent to exhibitors shortly before the conference and when you arrive onsite at the hotel, booths will be marked with assigned booth numbers. 7

Exhibition Hours Exhibition booths are required to be manned by Exhibitor staff during Conference opening hours except when Conference is in session in the main Conference Hall or in any of the breakout or workshop rooms. During these times, at their own risk, Exhibitors are free to leave their booth unattended. Any exhibitor failing to man their booth at appropriate times will risk having their display draped and their future attendance and participation reviewed. Exhibitor setup begins at 9 a.m. EST, on Monday, May 20, in the Hotel Exhibits must be set up no later than 5:30 p.m. on Monday, May 20, before the opening Regiception begins at 6 p.m.* *please consult APMP.org for final schedule Exhibitor Booths APMP Bid & Proposal Con 2019 Exhibition Floor is in Portico East & West and your chosen package includes either; Platinum & Diamond Sponsors 1 Booth Space (10 x 10) (maximum of 6 available) 2 Draped tables 4 Chairs 1 Waste Basket Gold & Silver Sponsors & Exhibitors 1 Draped table space 2 Chairs Waste Basket All booth equipment, furniture and displays must be confined to the measured limits of the booth. Nails, tape, and bracing wires used in exhibit displays may not be attached to the building. Exhibitors are responsible for: Ordering AV, electrical and Internet access directly from the hotel vendor. Arranging all delivery, ship-out, and return shipment details with the hotel vendor. All exhibitor booth materials should be labeled to the specifications outlined in the shipping guidelines included at the end of this packet. The ultimate security of their booths and equipment, always. APMP will provide overnight security in the exhibit area but exhibitors are advised not to leave valuables unattended in the exhibit area. 8

Exhibit Teardown Exhibitors are invited to tear down their booths any time after the Closing Ceremony & Awards Giveaways, which ends at 12:30 p.m. on Thursday, May 23. Exhibitors who teardown prior to 12:30 p.m. may receive lower priority at future APMP events. Conference, Exhibition Hours Detailed timings will be confirmed in due course but in the meantime, these are our indicative plans for the Conference and Certification Days. Breakfasts, meals, and networking breaks will take place in the exhibit area. If you need more specific access with higher bandwidth, you will need to place a separate order, through PSAV.
