Announcing the Transportation Research Board ADC40 Transportation-Related Noise and Vibration 2013 Summer Meeting Sunday, July 28 to Wednesday, July 31, 2013 The Lodge at Santa Fe 750 North St Francis Drive Santa Fe, New Mexico 87501 TRB Committee ADC40 and the New Mexico Department of Transportation invite you to join us for the 2013 Summer Meeting in the mystical Santa Fe, New Mexico. As a 2013 ADC40 Summer Meeting attendee, you will get to experience uniquely beautiful and enchanting mountains of New Mexico, which boasts some of the cleanest air in the country. The Lodge at Santa Fe will serve as the main meeting venue. It is conveniently located near downtown, only a short, complementary, shuttle ride away (a little more than a mile) from the historic downtown Santa Fe. Parking and Wi-Fi are complimentary. Hotel reservations are the responsibility of individual attendees. Additional hotel and registration information for delegates and their guests can be found in this meeting packet, along with event descriptions and other area information. The agenda will feature new and innovative transportation-related noise presentations, possibly panel discussions and an engaging technical tour to one of several ancient living structures (TBD). Presentations are typically 20 minutes each, including questions and answers, although time allowances may be adjusted depending on the number of submittals. Some longer presentations may be allowed, depending on topics. This is a sister hotel of the Lodge and is located in the heart of Santa Fe. It is a beautiful, old hotel that offers some of the most refined New Mexican cuisine. OPTIONAL ACTIVITIES AT ADDITIONAL COST All are invited to Partake: Spanish Market Days Friday Sunday Downtown No additional money collected or confirmation needed Located in the heart of Santa Fe, only a short, free shuttle ride from The Lodge. This famous Market is the oldest and largest juried Spanish Market in the United States and attracts over 70,000 visitors and collectors from throughout the world. Each July, the Market showcases hundreds of Hispanic artists who not only exhibit and sell their art, but are also very happy to share their culture with visitors. All the festivities are focused on and around the Santa Fe Plaza, which is surrounded by history-filled museums, shops and restaurants. This year s Market, July 26-28, will be the culmination of a week-long celebration of Hispanic heritage and culture that includes traditional art, food, exciting music and dance, and much more to entertain you. Come meet the artists and their families as they share the experience of their living Hispanic heritage as it has existed in New Mexico for more than 400 years! Guest Tour: Abiquiu and Georgia O Keeffe Country! Sunday 12:30pm to 5:30pm $97 per person (minimum of 5 guests*) Board the bus for a tour of Abiquiu and Georgia O Keeffe Country. We will travel through the country side that inspired many of O Keeffe s paintings. We will be touring grounds at Ghost Ranch which have colorful cliffs where we can take short walks and lots of photographs. Dinosaur bones have been found in some of these cliffs! In Abiquiu, a small Northern New Mexico village, we will stop to visit the Bode General Store. This is a wonderful opportunity to enjoy an area reminiscent of Old New Mexico. *If minimum number of guests is not reached, your tour price will be refunded to you. 4

Guest Tour: Walking Tour of Santa Fe Monday Morning 10:00am to Mid-Afternoon No additional money collected, but you ll want to bring some along for lunch and shopping. We will meet in the hotel lobby and take the shuttle for the plaza in Santa Fe. From there we will walk to Kakawa Chocolate House for a yummy cup of hot chocolate made in the ancient Aztec way. Fortified, we will meander up Canyon Road stopping and shopping in the amazing galleries that are there. From Canyon Road, we will head back to the main part of town and have lunch at Café Pasqual on Water Street. After lunch, we can visit the O Keeffe Museum or poke through some of the stores on the plaza. Then head back to the hotel via the shuttle in late afternoon. Today s only cost will be your lunch, museum entrance ($12) and shopping spree! We ask you to sign-up so that we won t miss anyone who wants to join us! All are invited to Partake: Monday night dinner at Rancho De Chimayo Monday 5:30pm to 9:30pm $55 per person Our buses will make a special stop for us to visit the village of Chimayo tucked into the foothills of the Sangre de Christo Mountains. Chimayo is famous for its weavers and el Santuario de Chimayo, a chapel built in 1816 and well known for the miraculous healings that have taken place there. From the village of Chimayo we will continue on to Rancho de Chimayo a restaurant that serves authentic New Mexican food. If you don t love green chilies before we go there, you will when you leave. You can sit back and relax on this drive while a local tour guide gives information and history about the region on your ride there. There will be a cash bar at the restaurant and both vegetarian and gluten free options are available when you notify your server at time of order. Purchase tickets for this event online through the TRB ADC40 website. Seating is limited to 100 delegates and guests. We expect this event to sell out - Please order your tickets early! 5

Guest Tour: Allan Houser s Compound Tuesday 9am to 1pm $81 Per person (minimum of 5 guests*) Allan Houser was one of the foremost artists of the last century. He was a sculptor and a painter. We will visit his studio and sculpture gardens. The compound and sculpture gardens encompass 110 acres and offer magnificent views of his sculptures and the surrounding landscape. (Does not include a meal). This tour overlaps with the technical tour below and both cannot be attended by the same person. *If minimum number of guests is not reached, your tour price will be refunded to you. All are invited to Partake: Technical Tour to Local Park Tuesday 12:00pm to 5:00pm. $75 per person (Included in Delegate Registration price) Board the bus for a technical tour and small hike to one of the oldest historical sites in the region. There are still two possible destinations, (a National Historic Landmark or a National Monument, location TBD), but either will be both beautiful to experience and educational. Guests and Exhibitors are welcome to attend at the above fee. Delegates tickets are included in the price of registration. Box lunch provided. This outing overlaps with the Allan Houser Compound tour. Child Care by Magical Happenings Price Varies and is not collected in this registration. With such an amazing location, several people have asked if we would provide child care. While ADC40 will not directly provide it with the conference, we have found an excellent child care provider that came recommended from the hotel. Magical Happenings is run by Linda Iverson who coordinates all of the childcare. They can provide a babysitter for up to three children per adult. Their fees are: 1 kid = $20 per hour 2 kids = $22 per hour and it depends on age 3 kids =$25 per hour and it depends on age $7 transportation fee and all of the above have a 4 hour minimum. ACCOMODATIONS Meeting Hotel: 750 N. St. Francis Dr. Santa Fe, New Mexico 87501 1-888-563-4373 www.lodgeatsantafe.com Delegates and guests are responsible for their own lodging accommodations. The Lodge at Santa Fe is holding a block of rooms at the rate of $99.00/night (free parking and Wi-Fi) + applicable state and occupancy taxes in effect at the time of check in. This rate is available from Saturday night through Thursday night. You can also book a discounted rate room at their sister hotel The St. Francis for $159 (parking is $9) a night if they have availability. The St. Francis (www.hotelstfrancis.com) is in the heart of downtown and has a complimentary shuttle to The Lodge (it s about a mile away) This is also the location of our Tuesday night dinner. Attendees call directly to The Lodge toll free at 1-888-563-4373 and identify yourself as a member of ADC40 Group prior to 07/05/2013 when making reservations at either hotel. After this date, the Hotels will only accept reservations based on space available at the prevailing rates. All reservations must be guaranteed with a major credit card. The hotel will not hold any reservations unless secured. Check-in time at the Hotel is 3:00 PM and Check-out time is 11:00 AM. Please book your room now, so you don t miss the conference rate. If you would like to extend your stay, the hotels will honor the above rates for three days before and after the event, if they have rooms available. 8

TRAVEL Driving directions: When driving from the west, take a left when you get to Albuquerque. Seriously, though, from Albuquerque: Take I-25 North Take the St. Francis Drive Exit # 282 Go left under the overpass Go 5 miles through Santa Fe past the Plaza to the light at Alamo Drive and turn left Merge right on St. Francis Drive heading North Take an immediate right onto Calle Meija The Lodge at Santa Fe entrance is on the left at the top of the hill overlooking Santa Fe. From the North: Take US 285 / US 84 South toward Santa Fe Follow signs to St. Francis Drive and stay to the right. Pass the hotel (on the right) coming down the hill into Santa Fe Turn right at the light on Alamo Drive Take an immediate right onto Calle Meija The Lodge at Santa Fe entrance is on the left at the top of the hill. Flights: American Eagle and Great Lakes Airlines (with Frontier Airlines), fly directly into Santa Fe and in May, United will add two flights a day. All other major airlines fly into Albuquerque. Southwest Airlines is the most prominent airline in Albuquerque. The Sandia Shuttle www.sandiashuttle.com will pick up and drop off at the Albuquerque airport and your hotel. It is $28/one way and $48/round trip. It takes about 70 minutes each way. There is also the Road Runner Train, if you are feeling adventurous and would like to hop from bus to train to bus. All major car rental companies are also available at the Albuquerque airport. 9

SPONSORS & EXHIBITORS The Summer TRB ADC40 Meeting provides a great opportunity for vendors to exhibit their products and services and for sponsors to be recognized for generously providing funds essential to the success of this conference. As in the past, vendors will be provided opportunities throughout the technical sessions for mini-presentations. Sponsorships are available in tiered categories, as follows: Unobtainium ($2,000+) Includes one (1) complimentary standards size exhibit space, two (2) complimentary registrations and special recognition in program and sponsor displays Platinum ($1,500-$1,999) Includes one (1) complimentary standard size exhibit space, one (1) complimentary registration and special recognition in program and sponsor displays or one (1) ticket to the Monday evening dinner Rancho De Chimayo in place of the exhibit space Gold ($1,000-$1,499) Includes two (2) complimentary tickets to the Monday evening dinner at Rancho De Chimayo and special recognition in program and sponsor displays. Silver ($600-$999) Includes one (1) complimentary ticket to the Monday evening dinner at Rancho De Chimayo and special recognition in program and sponsor displays. Additional registration may be purchased for a reduced rate of $150 Exhibits will be displayed in the Kachina Ballroom and adjacent El Tovar. All breakfasts, breaks (except the 10am break on Wednesday) and lunch on Monday will be set up in the exhibitor space to ensure circulation and visibility. Each exhibitor space includes one (1) 7-foot X 10-foot booth, power, two (2) chairs and one (1) 6-foot skirted table. Exhibit space is available from Sunday afternoon through early Tuesday evening. Please note that exhibitors will be given their choice of exhibit location in the exhibit hall in ORDER OF DATE OF PAYMENT. See room layout on the below. Exhibit set up and take down: The Exhibit hall will be open for you to set up, starting Sunday the 28 th at 12:00pm. All meals and snacks during the technical sessions, which start Monday morning at 7:30am, will be served out of the Exhibit hall except for the Box Lunch on Tuesday afternoon and the Wednesday mid-morning break. This will allow exhibitors enough time to break down their exhibits. Take down should be complete by noon (12pm) on Wednesday the 31 st, and your boxes should be labeled for pick up by that time. 10

*Shipping to The Lodge: The event hotel does not have room to store your boxes. For an additional $40 (paid at time of registration) you can ship 1-5 boxes to our third party shipper: Mr. Packer C/O The Lodge ADC40; 1405 Maclovia St; Santa Fe, New Mexico 87505. DOMENICK BILLERA MEMORIAL SCHOLARSHIP PROGRAM In honor and memory of Domenick Billera, for his wisdom and foresight in the conception, creation and establishment of the ADC40 Summer Meeting Scholarship Program. Purpose To encourage and support attendance (especially by state transportation agency personnel) at ADC40 Committee summer meetings. Eligibility All ADC40 Committee members or friends active in transportation-related noise issues. Details Between 2 and 4 scholarships will be awarded for the upcoming summer meeting. The number of scholarships awarded will be based on budgetary constraints and may be a full or partial scholarship (may include conference registration, hotel accommodations, and/or travel). Contributing a presentation to the conference program will be considered in the evaluation process. How to apply By May 15, 2013 send a brief letter (submission by email is acceptable) describing your budgetary constraints and needs, and presentation abstract (if applicable) to: Judy Rochat at Judy.Rochat@dot.gov Your submission should include your full contact information, including name, YOUR association/organization, address, e-mail, and telephone. Submissions will be evaluated and announcement of award will be made by June 1, 2013. Award recipients will be required to submit an expense report prior to reimbursement. 15
