Results and Financial Monitoring Workshop 11 th 15 th September, 2017 Workshop Logistical Note Dear Participants of the Global Sanitation Fund Results and Financial Monitoring Workshop, The Water Supply and Sanitation Collaborative Council (WSSCC) and Plan International Tanzania are delighted to be hosting you for the GSF workshop in Dar es Salaam, Tanzania. In this logistical note you will find practical guidance on your preparations for the event, accommodation and travel as well as useful information about Tanzania that you may require during your stay. Please read this note carefully before you travel. Accommodation will be booked for participants based on single room occupancy. 1 For those departing on flights on Saturday 16th September accommodation will also be provided at the hotel on the 15 th September. 1
Flight Tickets and Travel Authorization For participants coming from overseas, the UNOPS travel assistant, Estelle Benson, will organize all your flight tickets. After confirming your flight preference you will be sent the Travel Authorisation (TA). Please sign, scan and return the TA as soon as possible to Estelle Besson. Your flight eticket will then be issued and sent to you. Please carry the e-ticket and TA with you when you travel. This is your proof of authorised travel for insurance purposes. Please travel with this letter to support your visa application on arrival if a visa is required. Some participants 2 will be required to obtain a visa on arrival and will need USD 100 in cash. You are kindly advised to keep the receipts for the visa application processes for refund at the workshop venue. Yellow Fever Please note Yellow fever vaccine is required for all travelers arriving from, or having been in transit through, a yellow fever-infected country in Africa. Please make sure you travel with your yellow Fever card while visiting Tanzania. Airport pick-up and drop-off The Plan International team will arrange for your airport pickup. Following immigration and customs you will find a driver carrying a placard with the following: GSF Workshop. You will be informed of the return schedule during the workshop. Daily Subsistence Allowance (DSA) and Terminals WSSCC is administered by UNOPS and therefore follows UNOPS rules and regulations. UNOPS rules state that when meals and accommodation are provided 20% of DSA is payable. 2 Participants from Cambodia, Nepal and Nigeria. Participants from Ethiopia need to obtain a visa before travel. 2
The DSA rate for Dar es Salaam in August 2017 is USD 223. Please be aware that the rate that will be applied will be the rate as at September 2017 and that DSA rates fluctuate. Participants will receive a reduced DSA as the workshop package will cover the following: Provision of accommodation and breakfast from the point of arrival until departure. Provision of lunch from 11 th 15 th September and dinner on the 14th September. Airport pick up and drop off in Dar es Salaam will also be covered. Participants will receive terminal expenses of approximately USD 98 to cover any travel and miscellaneous travel costs in their country of departure and during the travel. DSA, terminals and visa reimbursements will be paid to participants on the first day of the workshop by Plan International. Insurance WSSCC/UNOPS provides insurance to all participants throughout the Learning Event (ref. FAMPI insurance). Detailed information on its coverage is available upon request. Internet Internet will be provided in the guest s rooms and the conference rooms throughout the workshop days. Expenses Participants will be expected to settle any other bills with the hotel for additional expenses such as telephone calls, mini bar, laundry and any other private expenses incurred throughout their stay. Currency The local currency in Tanzania is the Tanzanian Shilling. The current exchange rate is around 2,240 TSZ to 1 USD. Visa and Mastercard can be used to make payments at the hotel but it is advised that you have some local currency with you when you are outside the hotel Climate Tropical weather prevails over most of Tanzania particularly in the coastal areas. The workshop is taking place just before the hottest months which are October to February but still be prepared for hot and humid weather. The average day temperature in Dar es Salaam in September is around 23 and rain can also be expected. The venue will be air conditioned. 3
Meals and Entertainment From the 11th to the 15th September all participants will be provided with breakfast and lunch as part of the workshop package. If participants have any special dietary requirements please inform the workshop organizers before 8 th September 2017. On the evening of the Thursday 14 th a workshop group dinner will be organised in the hotel for all participants. For the remaining evenings participants are expected to organise their own dinner options. Please note there are various restaurants that can easily be reached within 5km from the hotel. Depending on your choice you may opt to visit Rodzio (for Brazilian Barbeque), Golden Dragon for a Chinese Cuisine. For Tanzanian cuisine you can visit 777 Restaurant and Pub for live music and food. All these spots are located within 5 minutes of the hotel and can be reached easily by taxi or by the famous Bhajaj (Tri motorcycles). You could also visit Samaki Samaki at Mlimani City (an establishment at the Dar es salaam University City Mall) where Tanzanian cuisine is mostly served - sea food - with live music. Our Plan International colleagues will be happy to recommend other restaurant options during your stay. Security Tanzania has a very friendly reputation and violent crime is quite rare. However it is recommended you take the following precautions to keep safe during your stay: When leaving Dar-es salaam airport, do not board public transportation, we have organized for your airport pick up. If necessary please travel in only marked Taxis and guaranteed by Airport security if there isn t any pre-arranged airport pick. The workshop hosts will be on call in case you have any emergency situation. Do not walk alone at night, and always avoid isolated areas where there are few people. Avoid travelling on local roads/short cuts late at night. Avoid large crowds and keep away from any public demonstrations. Take time to familiarize yourself with the locations of the nearest fire exits and extinguishers during your stay. Medical Precautions Dar es Salaam is a mosquito prone area and you are advised to carry insect repellent and use it frequently especially during the afternoon and evening. If you encounter any medical or health problems during your stay please immediately contact someone from the workshop organizing team from Plan International (see contact details below) who will be able to assist you with getting medical help. 4
