Burrup Mountain Bike Club Minutes of the 2016 Annual General Meeting Held at 1945 hrs on Saturday the 29th of October 2016 at Campbell Street, Baynton, WA. President s Report The President s Report was presented by Damien Muller; full Report can be found in the Appendix A. 3.1. Summary of Strategic Plan Progress BMBC 2016 AGM Minutes Page 1 of 13

The Club retained existing membership throughout the year. We did experience a small dip from last year, however we have increased our numbers, through Social Memberships and regional riders. Karratha experienced a contraction in population in the past number of years, conversely The Club has been either growing or maintaining numbers, due to our interactions with new members and our support. Increase growth of club was not targeted this year, however the club would like to take advantage and develop of social memberships provided by MTBA. Dirtmasters membership continues to be strong. The club held 10 sessions this year with an average of 15 Dirtmasters per a session. Thank you for the support from the Parents, Level 1 Coaches and Trainees to make these events happen. In addition to the Dirtmasters, International Mountain Bike Association (IMBA) held Take A Kid Mountain Biking (TAKMTB) which had 15 riders attend despite the hot conditions. WA reputation is increasing with our Club s participation with regional events. Notable events were Club was represented were Western Australian Gravity Enduro (WAGE) events, Cape To Cape and Dwellingup 100. Skills Clinics are continuing. We had low uptake, so club made it free to club which increased the participation. Travel sponsorship. Amanda Ewin and Cameron Crane took advantage, members participated in State Race Rounds and Skill Developments Camps. Travel Sponsorship can be used for any UCI and IMBA sanctioned events. Club looks to continue the endorsement of the Travel Sponsorship for next year, Resolution to be placed to vote. Developed coaches to Level One. Alex Wright and Erin Shaylor, now completed their training. Increased support for Dirtmasters events. Caitlin Budd was supported and coached by Erin Shaylor and has progressed from Dirtmasters to racing now. The Club will continue to attract riders outside of Karratha. Club has had participation from riders travelling from Exmouth, Paraburdoo, Perth and Port Hedland for the Dr. Baynton s 6 hours. Club had a rider come from Port Hedland for each of the race rounds. Trails legitimising is still continuing. We are developing a trail subcommittee which will focus on development of new sustainable trails and their maintenance. Club held a Volunteer Recognition Night, sponsored by West Cycle. Committee agreed to hold event despite, West Cycles support. Committee identified 30 people, whom provided support to The Club s activities during the year. The Club still need assistance with volunteers. Commissaires are of interest, together with timing systems support, event organising and first aiders. Club will publish requests for support. Treasurer s Report BMBC 2016 AGM Minutes Page 2 of 13

Rodney Gethin presented the BMBC Financial Report and Summary; the Report can be seen in Appendix B. Purchasing Club Jerseys were committed to, have got some that have not be sold, The Club broke even on sales. Grants and funding which totalled approximately $ 9,000 from various sources. Skills Clinics were opened to the club which reduced our revenue. However ATCO Power assisted with financial support, through sponsorship. Club retained its financial position without holding raffles or fundraising events due to the support this year. 4. Office Bearer and General Committee Elections All committee positions were dissolved during the AGM and new elections held. Election of Committee Members for 2017 season is presented below. 4.1. Office Bearers All Office Bearer positions were dissolved and were opened for nominations. The following nominations and elections were made. President Damien Muller Nominated, seconded, accepted with support from Others. Vice President Paul Maccan Nominated, seconded, accepted and elected to position. 5. Special and General Resolutions 5.1. Travel Subsidies Special Resolution Proposed to continue the Travel Subsidies scheme budget to a value of $ 400 per person per event to increase availability to members. A total of $ 3,600 has been proposed. A vote of hands was held at the AGM and the result was, majority in favour for retaining the previous Travel Subsidies conditions. 6. Season Race Presentations Prizes were awarded to the three top competitors in each category, based on their seven best race results over the season, with a qualification requirement, to have ridden in at least five of scheduled Club Championship events. The results are contained in the table below. 7. Special Mentions Scott s Cycles for championships round and the end of year prizes. Support with parts for Club s bikes. Donation for Ladies Club Bike. Skills Clinics were supported by ATCO Power and GCS Limited. Dr. Baynton s 6 Hour was supported by Scott s Cycles, Giant Bikes Australia, Reece Plumbing, Australian Army Pilbara Regiment, mtbher, Novotel Ningaloo Resort Exmouth, Yara Australia and Pilbara Access. The Club held a volunteer recognition sun downer to thank recognised Club Members for their support during the year. Damien Muller thanked the Committee for their support in preparing the 6 Hour, this year saw the least input required over the past years, due to othesr picking up the tasks for the event. Paul Maccan and Dean Rogers were thanked for their efforts in learning and conducting timing for the Championship Rounds and Summer Series. Committee Members were thanked for their time and effort in organising and race directing the Summer Series and Championship Rounds events. Dean Rogers and Nick Muller were thanked for their efforts in providing Commissaires support for the Championship Rounds and the Summer Series events. Ben Cronin was thanked for the management and updating of The Club s website. Paul Maccan was thanked for his efforts in maintaining and coordinating the Club Bikes for the year. Thomas Pritchard was thanked for donating his won, 6 Hour Bike, back to The Club for new riders use. Level One and Trainee Coaches from Dirtmasters were thanked; Dean Rogers, Tristan Wood-Hill, Alex Wright, Erin Shaylor and Reece Greenem. Erin Shaylor and Amanda Ewin were thanked for their support and efforts in attracting new women riders to the sport and The Club, through their events and encouragement. Jo Waterstrom Muller, Tyler Waterstrom Muller and Zoe Waterstrom Muller were thanked for supporting Damien Muller throughout the year with The Club s activities and organisation. Trevor Phelps and Dean Rogers were thanked for their efforts on for trail maintenance. Recognition for the creation of the trophies was provided for Dean Rogers for their construction, Scott s Cycles for parts and Rodney Gethin for collection.
