Mr. Bruce Hay, Manager of Parks Operations, Community Services, re: OPPORTUNITIES FOR ADDITIONAL FLOWERBED LOCATIONS Mr. Bruce Hay, Manager of Parks Operations, Community Services advised of the opportunities for additional flowerbed locations in the City of Brampton that could be used for part of the Sesquicentennial Projects. Discussion took place regarding the possible locations and that there should be some control over the commercialization of the flowerbeds. SQ005-2002 That the delegation of Mr. Bruce Hay, Manager of Parks Operations, Community Services to the Meeting of February 6, 2002, re: OPPORTUNITIES FOR ADDITIONAL FLOWERBED LOCATIONS be received; and That staff bring the map of the proposed flowerbed locations to the next Meeting. C 2. Delegation of Mr. Garry Wilton, District Chief, Fire and Emergency Services, re: COMBAT CHALLENGE REGIONAL EVENT - 2003 Mr. Garry Wilton, District Chief, Fire and Emergency Services announced that the Combat Regional Challenge is to be held in the City of Brampton in 2003. He advised that this event would be held the last week of June and could possibly coincide with the Canada Day events being held in Chinguacousy Park. Discussion took place with respect to the location for this event at Chinguacousy Park to incorporate it into the Canada Day celebrations. SQ006-2002 That the delegation of Mr. Garry Wilton, District Chief, Fire and Emergency Services to the Meeting of February 8, 2002, re: COMBAT CHALLENGE REGIONAL EVENT 2003 be received. 2002 02 06 Page 3 of 6

That the Combat Challenge Regional Event be incorporated into the Canada Day Celebrations to be held in Chinguacousy Park in 2003; and That staff prepare a report with respect to possible locations for this event within Chinguacousy Park. D. REPORTS E. OTHER/NEW BUSINESS E 1. Discussion, re: OTHER SESQUICENTENNIAL EVENTS City Councillor Hames advised that Queen Elizabeth will be visiting Canada in October 2002 and indicated that a letter has been prepared to invite her to Brampton during her visit. Discussion took place regarding the type of event that should be planned if the Queen does visit Brampton. It was the consensus of the Committee to wait until we here from the Queen to see what the duration of her stay in Brampton will be before planning the event. City Councillor Cowie advised that the Board of Trade would be willing to organize the Sesquicentennial Parade tentatively scheduled for June 14, 2003. Discussion took place regarding possible Parade routes. It was noted that June 14, 2003 is also the opening day of the Farmers Market on Main Street North, a pancake breakfast, an Arts and Crafts Show and the Brampton Folk Festival all in Gage Park. Discussion took place on other event opportunities that could be included in the Sesquicentennial events. Other events and ideas discussed were: A Taste of Brampton Event (Food) An event to be held around Victoria Day (May 2003) Sesquicentennial Scarf Souvenirs and merchandising Direction was given That staff prepare a report for the Sesquicentennial Celebration, which outlines merchandising and souvenir ideas for the Sesquicentennial Event. SQ007-2002 That the Sesquicentennial Parade be held on June 14, 2003. E 2. Discussion, re: SESQUICENTENNIAL PROJECT SQ008-2002 That the item re: SESQUICENTENNIAL PROJECT be deferred to the March 6, 2002 Meeting. E 3. E 4. Discussion, re: CREATION OF A SESQUICENTENNIAL POSTER City Councillor Hames suggested that a Sesquicentennial Poster be created. She indicated that she has access to another municipalities Sesquicentennial Poster that she could bring to the next meeting to assist in generating some ideas. Discussion took place regarding possible locations and materials for a proposed wall mural displaying Brampton s 150-year history. Direction was given That M. Halls bring a resource listing of Artists for the purposes of the possible Sesquicentennial Poster and wall mural to the March 6, 2003 Sesquicentennial Committee Meeting. E 5. Discussion, re: HISTORICAL RESEARCH ON THE CITY OF BRAMPTON M. Halls, Manager of Special Projects Office of the Mayor, gave a brief update on the historical research that is being done to try and accurately reflect Brampton s history. He advised that Ms. Roena Cooper from the Brampton Heritage Complex will be traveling to Brampton, England to see if there is any historical material that references Brampton, Ontario. Discussion took place regarding the possibility of preparing a Sesquicentennial Book outlining Brampton s history. G. Wilton, District Chief, Fire and Emergency Services advised that preparing a book like this is a very lengthy process and due to his experience in writing historical books that he would be willing to assist. Direction was given That staff prepare a cost analysis for the creation of a Sesquicentennial Book for the March 6, 2002 Meeting SQ010-2002 That Mr. Garry Wilton, District Chief, Fire and Emergency Services be invited to attend all future Meetings. E 6. Discussion, re: SESQUICENTENNIAL COORDINATOR D. Cutajar advised provided Committee with a draft posting for a Sesquicentennial Coordinator. He highlighted the credentials and responsibilities for this position. SQ011-2002 That a secondment position for a Sesquicentennial Coordinator be posted; and That the recruitment team consist of the Council Members on the and D. That the primary responsibilities of the Merchandise Working Group be as follows: To validate the proposed merchandise list from the perspective of logistical, operational and budget feasibility To finalize a merchandise list including mascot activities To plan quantities for major events being planned, and for a retail campaign To plan an implement a Request for Proposal process for the successful procurement of souvenirs, gifts, mascot, etc. To recruit the appropriate community volunteers and City staff to implement this plan To report each month to the Sesquicentennial Steering Committee with budget status, activity reports, and general updates of each activity 3. That the mandate of the Education/Historic Reference Working Group, as a sub-committee of the, be to successfully plan, implement and administer a program dedicated to: a) Validating and chronologizing historic reference related to Brampton s 150 years of history. b) Engage and educate the children/youth, community groups and individuals of Brampton c) Establish an interpretive centre focused on Brampton s history, physical geography and socio-economic attributes/characteristics. The focus on Brampton s 150 th anniversary as a municipality in Ontario That the primary responsibilities of the Education/Historic Reference Working Group be as follows: To validate the proposed educational elements from a logistical, operational and budget feasibility perspective To retain a historian; and provide a clear term of reference/scope and deliverables articulated To establish an interpretive strategy for the Steering Committee s approval To establish an interactive program through the two major school boards To recruit the appropriate community volunteers and City staff to implement this plan To report each month to the Sesquicentennial Steering Committee with budget status, activity reports, and general updates of each activity 4. That the mandate of the Advertising/Beautification/Signage Working Group, as a subcommittee be to successfully plan, implement and administer a program dedicated to advertising the Sesquicentennial via various traditional and non-traditional communication channels (e.g. print; advertising supplements; multimedia; radio/television; outdoor billboards/landscaping; murals, etc.) The focus shall be on Brampton s 150 th anniversary as a municipality in Ontario and utilize existing sesquicentennial graphics and logos. Discussion took place with respect to the concerns of having a squirrel as the mascot for the Sesquicentennial celebrations. Suggestions were made of having a mascot with historical significance. McBride, Sesquicentennial Project Coordinator advised that due to the extent of Sesquicentennial assignments planned to date that any further idea requests from members of the public not be undertaken. They advised that a 2003 Sesquicentennial Calendar is being prepared and will highlight the scope of the Sesquicentennial Event and advised of the media channels that will be used to communicate this. Discussion took place regarding inviting the Brampton Fall Fair Committee, to be participate in the Sesquicentennial Celebrations due to the Fall Fair celebrating 150 years in 2003 as well. It was also discussed that they may have artifacts, documents and photographs displaying Brampton s history that could be utilized for research that is currently being conducted on the history of Brampton. D. Cutajar, Executive Director of Business Development and Public Relations advised that a CD with the Sesquicentennial Logo has been given to various sport leagues in the City of Brampton so that they screen the logo on their uniforms. Direction was given That staff proceed with the production of Sesquicentennial Badges so that they can be given to Service Groups throughout the City of Brampton. SQ031-2002 That the report from A. McBride, Sesquicentennial Project Coordinator, Business Development and Public Relations dated May 8, 2002 to the Meeting of May 8, 2002, re: COMMUNITY RELATIONS & AWARENESS be received; and That once the 2003 Planning Calendar is produced, the Communications Plan as outlined in the subject report be implemented by the Corporate Communications Group. MERCHANDISE WORKING GROUP Meeting of May 3, 2002 City Councillor Gibson, Chair of the Merchandise Working Group gave an overview of the merchandising ideas for the Sesquicentennial Celebrations. A. McBride, Sesquicentennial Project Coordinator presented concept drawings of the Sassy the Sesquicentennial Squirrel Mascot. The following discussion took place with respect to the mascot: Colour combinations Various attire for the squirrel Possibilities of following the City of Toronto Moose initiative and inviting local artist to paint large squirrels which would be placed throughout the City of Brampton and then have them auctioned off at the end of the Sesquicentennial celebrations with funds going to the local hospital foundation. It was announced that the Merchandise Working Group has chosen Mr. Scott Taylor a local artist to create the artwork for commemorative poster and plate design. City Councillor Hames advised that Doulton Company, England would produce blank plates so that we could put our own artwork on them. Discussion took place with respect to trying to find a local fine china manufacturer that could produce the plates. Discussion took place regarding the possibility of producing a commemorative metal piece. Direction was given That staff contact local Ironwork companies to receive costs for producing a sesquicentennial piece. SQ033-2002 That the Minutes of the Merchandise Working Group Meeting of May 3, 2002 to the Sesquicentennial Committee Meeting of May 8, 2002 be received; and That the Sesquicentennial Squirrel be named Sassy ; and That the concept drawings for Sassy the Squirrel be approved; and That Scott Taylor, local artist be commissioned to produce the artwork for the commemorative plate and poster. EDUCATION/HISTORICAL WORKING GROUP Meeting of April 8, 2002 Regional Councillor DiMarco, Chair of the Education/Historical Working Group gave an update on the projects of the Education/Historical Working Group are currently undertaking. M. Halls, Manager of Special Projects, Office of the Mayor provided an update on the research being completed by Ms. Rowena Cooper, who has been hired on contract to do the historical research for the City of Brampton. Committee requested that she also research the military history in the City of Brampton. Discussion took place with respect to a legacy initiative to provide Grade 3 students in the City of Brampton with a tree seedling or yellow rose bush. Direction was given That staff contact the Peel District School Board and Dufferin-Peel District School Board to find out how many Grade 3 students there are in the City of Brampton; That staff contact various tree farmers to obtain the cost of purchasing tree seedlings SQ034-2002 That the Minutes of the Education/Historical Working Group Meeting of April 8, 2002 to the Meeting of May 8, 2002 be received F. Discussion took place regarding producing a large framed print of the Sesquicentennial Logo that could be moved throughout the City of Brampton during the Sesquicentennial celebrations. It was discussed that this would be more cost efficient then having an artist(s) paint a mural on a wall in the downwtown area. EVENTS WORKING GROUP Meeting of May 29, 2002 City Councillor Gibson, Chair of the Events Working Group gave an overview of the Events Working Group Meeting of May 29, 2002. A. McBride, Sesquicentennial Project Coordinator advised that she had met with the Brampton Folk Festival Committee on June 4, 2002 with respect to the Sesquicentennial Parade and the Brampton Folk Festival being on the same day in June, 2003. She advised of the concerns and requests of the Brampton Folk Festival with respect to this and advised there would be future meetings with them to try and address their concerns. Discussion took place with respect to the following: Proposed Sesquicentennial Parade Route Filming of the Sesquicentennial Parade Official Kick Off Birthday Party/Special Council Meeting re-enactment on January 17, 2003 Planning an ecumenical church service and it being held at one of the older churches in Brampton on Sunday, January 19, 2003 Direction was given That the Sesquicentennial Project Coordinator contact the Manager of Community Relations and Tourism to liaise with the Multi-Faith Counsel to see if they would be interested in participating in an ecumenical church service on Sunday, January 19, 2003 as part of the kick off the Sesquicentennial Celebrations; and That the Sesquicentennial Project Coordinator correspond with the Federal and Provincial Heritage Ministries to request a donation of combination City of Brampton/Canada Flags to be given to those attending the Sesquicentennial Parade That the Clerk s Office reserve By-law number 1-2003 to be used as the confirming by-law for the Special Council Meeting to be held on January 17, 2003. SQ038-2002 That the Minutes of the Events Working Group to the Meeting of May 29, 2002 be received; and That the parade route for the Sesquicentennial Parade to be held on June 14, 2003 be approved as follows: 2002 06 05 Page 3 of 5

West on Sproule Avenue to Main Street North south along Main Street to Clarence Street and east on Clarence Street and that the permits for the road closures be obtained from the Works and Transportation Department. E 2. MERCHANDISE WORKING GROUP Meeting of May 29, 2002 City Councillor Gibson gave an overview of the Merchandise Working Group Meeting of May 29, 2002. He presented final concept drawings of the Sesquicentennial Pin and the Sesquicentennial Mascot Sassy the Squirrel for the Steering Committee s approval. Discussion took place with respect to the launch of the Sesquicentennial Merchandise Line SQ039-2002 That the Minutes of the Merchandise Working Group Meeting of May 29, 2002 to the Meeting of June 5, 2002 be received; and That the final concept drawings of the Sesquicentennial Pin and the Sesquicentennial Mascot Sassy the Squirrel be approved. E 3. ADVERTISING/BEAUTIFICATION WORKING GROUP Meeting May 27, 2002 City Councillor Metzak gave an overview of the Advertising/Beautification Working Group Meeting of May 27, 2002. Discussion took place with respect to the following: Current advertising in the Brampton Guardian Sesquicentennial Brochures Sesquicentennial flowerbed locations SQ040-2002 That the Minutes of the Advertising/Beautification Working Group Meeting of May 27, 2002 to the Meeting of June 5, 2002, be received. E 4. EDUCATION/HISTORICAL WORKING GROUP Meeting of June 4, 2002 A. McBride, Sesquicentennial Project Coordinator gave an overview of the Education and Historical Working Group Meeting of June 4, 2002. Discussion took place regarding the following: Information from Rowena Cooper, Peel Archives, with respect to the process she is following in her research on the history of Brampton Public call for historical archives Participation of the Peel District and Dufferin-Peel Catholic District School Boards Direction was given That staff prepare a presentation for the Seniors Council Meeting in September 2002 regarding the public call for historical archives. 2002 06 05 Page 4 of 5
