Welcome to the 33rd Annual Didsbury Art, Travel & Trade Expo! We had a great show in 2018 with over 100 exhibitors being viewed by more than 2800 visitors. Most of these visitors coming from Central Alberta (Edmonton To Calgary). Our Exhibitors came from Saskatchewan, Alberta and British Columbia. The Passport Contest was a great success and really had people going to all corners of the Expo to find and get their stamps. We will be doing the Contest again this year with the prize having an Explore Alberta theme. Prize package will include but not be limited to Rail Tours, passes to venues such as the Tyrel Museum, Heritage Park, etc. For more information on how to participate, contact Diana at 403-335-9264. The Art, Travel & Trade Expo is very well attended and a great way introduce a new business/product or connect with new and/or existing clientele. Inside these pages we review: 2018 Exhibitors Rules Exhibitor Entrance instructions, Refund Policy Duplicate Product/Services Policy Expo Floor Layout Scheduled Events Town of Didsbury map and Important numbers When you fill out the booking form we ask you to choose 3 booth numbers (see expo floor layout) and we will try to accommodate one of these picks. If none of your choices are available the Expo Manager will contact you to arrange different placement. The booths marked with a star, on the map, are unavailable having already been pre-booked at the end of the 2018 Art, Travel & Trade Expo. NEW this year and based on feedback from last years vendors, we have created a half size booth (6 x10 ) in the main ice area to accommodate smaller businesses and not-for-profits who may not require a full size booth and in the process have also changed the flow of traffic in this area. If you are unable to showcase your business in our show we have many great sponsorships and door prize opportunities that will allow your business some advertisement & exposure. 2018 EXHIBITOR RULES Exhibitors must set up booths between 9:00 a.m. and 9:00 p.m., Friday, April 6th, 2018. All booths must be completely set-up by 9:00 p.m. The arena will be cleared at 10:00 p.m. No part of your equipment or display may extend beyond your booth area. Please be considerate of your neighbours and do not block them with your display or your staff. A responsible person must be in attendance at your booth during the entire Expo. (Sat. 9:00 a.m. to 5:00 p.m. & Sun. 12:00 p.m. to 5:00 p.m.). No hazardous or toxic products or materials are allowed in the Trade Expo. The Didsbury Art, Travel & Trade Expo Committee is governed by the policies set forth by the Town of Didsbury. Vehicles on display on the concrete surface will be required to supply a spill mat. All exhibitors are responsible for ensuring that they have appropriate insurance covering their activities at the Trade Expo. The Trade Expo Committee and the Didsbury & District Chamber of Commerce will not be responsible for any claims arising from the participant s activities. Booths must be taken down between 5:05 p.m. and 8:00 p.m. Sunday, April 8th. No booths may be taken down earlier than 5:05 p.m. on Sunday, or the exhibitor will not receive a package for the following year. All food and beverage sales or free giveaways of food must be approved by the Trade Expo Committee prior to the beginning of the Expo. Working with the Alberta Health Services, the Trade Expo reserves the right to impose conditions on these sales. The entire Trade Expo area is designated as a non-smoking area. Town of Didsbury By-Law # 93-17. ANY EXHIBITOR IN VIOLATION OF THESE RULES MAY BE REMOVED FROM THE TRADE EXPO WITHOUT REFUND. EXHIBITOR ENTRANCE The exhibitor s entrance is located on the north east side of the Memorial Complex, the Curling Rink entrance. The exhibitor s parking will be on the north side of the Memorial Complex to make the main entrance and parking area accessible for your paying customers. These doors will be open on Saturday, April 7th for exhibitors only from 8:00 am to 5:00 pm. These doors will be open on Sunday, April 8th for exhibitors only from 11:00 am to 5:00 pm. Badges along with your exhibitor s package will be on your tables during set-up on Friday, April 6th. Badges can be handed in on Saturday at the exhibitor s entrance if you require a different exhibitor for the Sunday morning. The new exhibitor will be able to pick this badge up at this desk. If you require to enter or exit before the above mentioned times or by a different door, please make arrangements with Diana at 403-335-9264. The Saturday Pancake Breakfast hours are 8:00 am 10:00 am. Exhibitors please use the exhibitor s entrance to get into the Pancake Breakfast. You must have your name tag to enter into the pancake

breakfast and to enter back into the Expo through the exhibitor s entrance. Anyone without a name tag must go through the Main Entrance and pay admission, the main Trade Expo doors DO NOT open until 9:00 am. We will be open from 11:00 am to 12:00 pm on the Sunday, April 10th for the exhibitors to walk through the Expo. All EXHIBITORS must present name tags and enter through the Exhibitor s Entrance (curling rink) at 11:00 am. Security will be on hand. Refund Policy Through the Didsbury Art, Travel and Trade Expo Committee, the Didsbury & District Chamber of Commerce offers businesses an opportunity to exhibit in the expo. In rare cases, exhibitors have had to cancel and a refund has then been issued. It is with this in mind that a refund policy for Expo Exhibitors has been made. Policy guidelines are as follows: 1. Exhibitor packages will be mailed, e-mailed or delivered in some form before the third week of January. 2. Exhibitors who have purchased a booth after receiving the exhibitor s package or at the previous year s expo early booking opportunity, who are no longer able to have a booth in the show. a. Booths cancelled up to January 31 st for the upcoming expo year will be refunded the amount paid minus a $25.00 administration fee. b. Booths cancelled after February 1 st for the upcoming expo year will be refunded 50% of the total booking fee. c. Booths cancelled within 2 weeks of the expo will not receive a refund. 3. Special circumstances for cancellations, such as life events, will be discussed at a committee level and their decision will be final. An example of such an event would be a death in the family. In cases of an Act of Mother Nature or Duplicate Product/Service, that policy will take effect. Exhibitors who are not able to be at the present year s Expo, because of cancellation or conflicting family events, but wish to have an opportunity to buy a booth if an early bookings is offered for the next year s Expo, may do so if full payment is received. Payment will be due no later than the last day of the present Expo, by Sunday close. If payment has not been received, the booth will not be considered sold and the exhibitor will fall under all other rules and regulations as the rest who did not take advantage of an early booking, if one was offered and status as a previous participant would be lost. NOTE -DUPLICATE PRODUCTS/SERVICES POLICY In the event where the Didsbury Trade Expo has a booking of more than one of the same named company selling the same service or product, the following will apply. That company which is a Didsbury Chamber of Commerce member will have priority to exhibit in the Didsbury Art, Travel & Trade Expo. Any other same named companies may still purchase a booth up until the time that all booths in the Didsbury Trade Expo floor layout are taken, i.e. a sell out. At that time of sell out, the last same named company that booked will be asked to step aside, funds fully refunded, to allow a different product or service company into the show.
