Wilderness Camp - Al Dhaid Accommodation - Students Tent Village Capacity per tent: 8-10 students. Maximum capacity: 100 students. Mattress & Pillow provided (without sheets / pillow cases). Food Service As part of our eco effort, at our Wilderness and Field camp we use reusable plates etc. which they are responsible for cleaning after each meal. Activity Locations Wadi Adventure (A) Located in Al Ain, activities include; man made whitewater rafting, kayaking, surfing, Wake boarding, Air Park, Zip Line, Climbing wall. Dhow Cruise - Dibba / Khasab (A/F) Traditional Dhows depart from Dibba and Khasab, both of which are located in the Musandam. We run day and overnight trips. Activities include; Snorkelling, confidence jump, fishing, beach games, fire lighting, shelter building, dolphin watching. Al Tamimi Stables (F) Located just of the 611 Al Tamimi stables is home to many animals. Activities include; Al Raffa mangroves (F) Located at the north end of Umm Al Quwain our secluded mangrove site offers a great area for learning about one of the UAE s most endangered ecosystems. Activities include; Animal classification, track identification, systematic sampling, snorkelling, Sea Turtle, scavenger Hunt, mangrove walk, food webs, crab catching, bird watching Rocky Shore (F) Located on the east coast of Fujairah in the town of Dibba. This site is ideal for rock pooling and studying donation of rocky shore habitats. Wadi Showka (A/F) Located in the wadis about an hour from Dhaid. Activities include: Wadi formation - geology / geography, wadi biology, animal collection, geology, fossils, bed load study, fire lighting, shelter building, orienteering A = Adventure activities F = Field Studies activities

Booking Process Initial Meeting First Meeting with us where we discuss an outline of what we can provide and what you are looking for. Design of program and preliminary dates booked One of our key staff will work with you to design a program that suits your needs and we will pencil your camp dates in to our calendar. We will work out a final cost per student for you, and we will also ask you for the expected number of kids coming on the camp. Booking Form and Confirmation We will send through a camp booking containing information on the camp costs & dates. This needs to be signed and sent back to confirm the dates of the trip. Booking pack sent. Contains online disclaimer links, kit lists, etc, etc Once we have received the signed booking form we will send through a camp booking pack with information containing kit lists, online disclaimer links, risk assessments, kit lists, etc. In school marketing Separate Parent and Student Presentations. Someone from our marketing team will come to the school for a presentation aimed at getting kids excited to come out on camp, and a separate presentation aimed at parents to answer any questions or concerns about sending their child on camp. Final numbers for the trip confirmed 2 weeks before the trip we will need final numbers from you so we can start booking in all the camp requirements (food, busses, Wadi Adventure trips, etc). After Camp Service At the end of camp you will be given a feedback from to fill out. It will have categories to mark how well the camp went and whether or not you want to rebook for next year, any feedback on how we can improve is always welcome.

Booking Pack Once you are happy with the program and dates, we will send you out a booking pack. This will include links to the online disclaimer that parents need to fill in before their child can attend camp, kit lists, risk assessments, marketing material, insurance policy, etc, etc. Marketing The booking pack contains a few things to help market the Camps. Posters, flyers, etc. Once the trip has been confirmed our marketing team will be in touch to organise a student and a separate parents presentation (or combined if that suits you). Both of these presentations are important for different reasons; the students presentation helps to promote the trip and get students excited, the parents presentation helps to reassure them and calm any nerves that they may have about sending their child away to camp. Online Signup and Disclaimer Form To attend our camp we need the online signup and disclaimer form to be filled in for everyone that attends our camps. Under 18 s must have the form completed by their legal guardian. This must be done at least 2 weeks before the start of the camp. Anyone who is not signed up 2 weeks before will not be able to attend camp. We will send you two links to the online disclaimer. One is a link to the form, which will be to send out to parents. The other is a link to the responses, so you can follow who has filled in the online form. Camp Numbers Estimated numbers To work out the deposit amount we need to make an estimate on how many children will be coming on the trip. This is based off of year group size, pervious years numbers, and how many you think will sign up. Final numbers The final numbers is based on the number that you confirm with us 2 weeks before the trip.

Payment All payments must come from the School. We do not accept payment from parents. Cheques are to be made out to Ecoventure Sports Club Facilities Management LLC. 25% of the estimated cost (based off of estimated numbers) of the camp needs to be paid to Ecovenutre for a deposit, 1 month before the trip. If this is not paid in time, you are at risk of losing your booking. The remaining 75% balance must be paid 15 days before the trip date, and will be based on the final numbers that you have confirmed with us. Trip Cancelation by the school If you wish to cancel all or any part of your booking, notification of cancellation must be made to Ecoventure in writing. The date of receipt of the written confirmation of cancellation by Ecoventure will determine the charges applicable. The 25% deposit paid by the school will be non-refundable in order to cover any initial costs incurred by Ecoventure in the preparation of your trip. Refund Policy: Cancelation by Students / Parents Between 1 and 7 days before agreed camp start date - no refund will be provided. In event of illness a refund of 80% of the trip cost can be provided, how ever only upon receipt of a valid doctors note. 7 or more days before agreed start date 80% of the trip cost can be provided.

Camp Life Before any teacher comes out on camp they also need to fill in the online disclaimer. The same one that is sent out to the parents to fill out. In the booking pack we will send through a small teachers handbook to give out, so teachers know what to expect when they come out to camp, and what is expected of them. Teacher to Student ratio A minimum of 2 teachers need to attend each trip. Ecoventure recommends a Teacher to Students ratio on a residential camp be no less than 1:12. We understand that this may not always be possible and we encourage you to speak to us if you see this as being a problem. Pre Camp Check List All students who are coming on camp have had an online disclaimer filled in for them. You have a list of all students attending camp. Wadi Adventure Disclaimers: If your are going on a Wadi Adventure trip, you need to make sure you have a completed copy of the Wadi Adventure disclaimer, for each child attending. Pre Camp Group Organisation Some times it can make things easier if students are split up into traveling, activity and sleeping groups before hand (this is entirely up to you). For travel groups, it will depend on how many are traveling. Our Coaches can sit 48, and Coasters can sit 24. For activity groups, we aim for groups of 12-14 students, if you re unsure it can easily be done when you arrive at camp. For sleeping arrangements check the camp facilities page to see what the sleeping arrangements are for the camp you will be staying at. School Pick up On the day of the trip, Ecoventure staff will arrive at the school 1 hr - 45 minutes before school departure time. We check the busses for any issues, and will send for a replacement if there are any problems. It is your responsibility to take a roll call, organise the groups and get them on to the bus. We are there to help facilitate and put the students luggage on the bus.

Teachers Responsibilities on Camp Below is a summary of the responsibilities of teachers that will be attending camp. There is also a teachers handbook in the camp support pack which you can pass on to the teachers attending camp. It will give them a run down of what to expect out at camp and what is expected from them. Supervision Ecoventure requests that teachers accompanying the students on all sessions. Having a teacher on session improves discipline and so helps the students to get the most out of each activity. If there are not enough teachers to go on all sessions the camp leader will inform you which sessions they would like you to go on. Note: Due to safe working ratios teachers may not always be able to participate in the activities. Free Time Supervision There will always be at least one member of Ecoventure staff on duty throughout the camp. However during students free time Ecoventure staff may have additional duties to perform leaving only one instructor to supervise the free time. For this reason Ecoventure requests that teachers assist Ecoventure staff in supervising students during any free time. Boundaries and rules will always be set out by a member of Ecoventure staff at the start of any free time. Meal Time Supervision There will always be Ecoventure staff present at meal times, but to help everything run smoothly Ecoventure requests that teachers help organise the students at meal times. Teachers may also be asked to help serve food. Time Management In order for your students to get the most out of their time at camp it is important that they are ready on time for their meals and activities and have the correct kit. Ecoventure requests that teachers assist Ecoventure staff to get all students ready on time for their meals and activities. Administering Medication In line with international standards, Ecoventure staff are advised not to administer any medication to any student or teacher. This includes prescription medication and epipens. For this reason Ecoventure requests a teacher is available to assist any student who requires medication that can either supervise or administer that medication. Disciplinary Management In the event that a student misbehaves, Ecoventure requests the teachers provide the necessary disciplinary measure towards the students when needed.

FAQ from Parents To help you answer some questions you may get from parents below is a list of FAQs from parents that you may get. Q: How are these activities different from the activities my children have taken part in the previous year? A:Ecoventure works with the school to arrange an itinerary with varied activities, camp locations and activity locations. If there are any activities that are similar to the previous year, Ecoventure will arrange for a more advance level of learning outcome for the students as part of their progression program. Q: What is included in the cost? A: The cost covers fully supervised outdoor learning activities and programs operated by fully qualified instructors. All meals, tented accommodation, equipment and transport and camp souvenir are included in the cost. Q: What are the security facilities for the campsite? A: There is a main perimeter gate around the camp, with a security guard on duty 24/7. There is also a perimeter fence around the tented areas. There are emergency spotlights to light the common areas at night. All Teachers & Ecoventure staff sleeps at the campsite. Q: Are the Ecoventure staff qualified? A: All Ecoventure staff are fully qualified Field Study or Adventure Instructors. Each and every member of the team is first aid trained. Along with this Ecoventure conducts its own in-house training for all activities before the start of the season. We only employ staff who have clearance (i.e. Criminal Backgroud Check) to work with children. Q: How many adults will be supervising our kids on the various activities? A: Ecoventure recommends that schools provide one Teacher for every 12-15 students. Depending on the activity and group size you can expect there will be one lead instructor, one assistant instructor and one teacher during each activity. Q: What are your tented accommodation arrangements? A: Boys and girls sleep in separate tents on comfortable mattresses. The girls tents are on one side of the camping area and the boys on the other. Teachers tents are in the middle. There are eight students to a tent and teachers aim to accommodate students with their group of friends. Toilets and showers are 40 meters from the tented area. Q: What are your cabin accommodation arrangements? A: Boys and girls sleep in separate cabins on comfortable mattresses. Depending on the campsite, there are either five or eight students to a cabin and teachers aim to accommodate students with their group of friends. Each cabin has its own toilet and shower facility. Q: What are your dormitory accommodation arrangements? A: Boys and girls sleep in separate dormitory rooms on bunk beds with comfortable mattresses. Teachers sleep in close proximity to the students in rooms attached to the dormitory. The Dormitories have attached toilet and shower facilities. Q: What care is available during the night? A: Teachers are located in tents next to the student ones. There is also an Ecoventure Duty Manager on call throughout the night. Q: When is bedtime? A: Children are supervised until about 2100. We generally suggest a lights-out policy of 2130, but this may vary depending on the age of the group and their teachers preferences. Q: What s the food like? A: Breakfast, lunch & dinner are all created around food that children love to eat but with health & nutrition foremost in mind. There is always a choice of hot & cold dishes, vegetarian selections and fresh salad bars.

Q: My child has allergies and specific dietary requirements, can you cater for them specific meals? A: We can cater for children with special religious or dietary needs if we are informed well in advance. Please indicate any allergies or specific meal requirements on the disclaimer form you submit and inform the teacher. Q: What does my child need to bring? A: We try to help children look after their things, but items regularly get lost or left behind. We therefore strongly recommend that you name all items of clothing and provide your child with a packing list, so that he/she can check items back into their bag. The teacher in charge of the trip will provide you with a kit list. Q: What if my child is afraid or can t cope? A: All Ecoventure staff are trained to take responsibility for the well-being of the children who are in their care. We strive to create a warm & supportive environment at all times. Our instructors do their best to encourage your child to try every activity. Often after seeing their friends having fun and completing the activity is motivation enough. Our staff are all trained to access the situation and support your child in any way possible. Q: What about children with special needs? A: We can cope with many needs as long as teachers make us aware of them at the time of booking. We will advise if we think we are not equipped to cope with a specific situation. Q: Can parents telephone their children? A: In special circumstances, of course. However, it has been our experience that parents phoning their children just to talk often makes the children s time away from home harder, rather than easier. Q: What should my child not bring to Ecoventure? A: Mobile phones, expensive cameras, electronic games, ipods or mp3 players, expensive or much-cherished jewellery, expensive or favourite clothing or shoes. Q: What is the procedure in case of an Emergency? A: All instructors are first aid qualified and have their own first aid kits. A more comprehensive first aid kit is also available at each campsite. In case of an emergency the teacher will contact the parent immediately. A teacher & Ecoventure staff will escort the child to the nearest hospital, which is 15 minutes from our campsite, where the parent will be able to meet their child. Q: Is my child covered under medical insurance? A: Whilst in our care, all students and staff are covered by Ecoventure standard Third Party Public Liability Insurance up to US$1,000,000. If parents have their own medical insurance there is no need for them to provide the medical card while away on camp.
