NLC 2016 Preliminary Info Packet Dear Parents: We are planning a fun and exciting trip for all students. This is a great opportunity for them to learn more about leadership, people, and their professional area. We want your child to enjoy this time, however, we also want him/her to realize the responsibilities involved with being a competitor, a Business Professional, and a representative of the school. There will be 13 NWHS students and 8 CHS students on the trip and it will be chaperoned by Mr. Clark (NWHS), Ms. Hadsell (CHS), and Mr. Williams (CHS). Here is some preliminary information to start planning for National Leadership Conference on May 4-9, 2016 in Boston, MA! Transportation: Delta Airlines We be will be travelling on Delta Airlines. Our preliminary travel itinerary is shown below. Wednesday, May 4 Delta 6217 / CRJ 700 Depart: Cincinnati 8:10pm Arrive: Boston 10:15pm Monday, May 9 Delta 62 / 737-800 Depart: Boston 4:50pm Arrive: Cincinnati 7:14pm Hotel: Boston Marriott Copley Place Hotel We will be staying at the Boston Marriott Copley Place, 110 Huntington Avenue, Boston, MA 02116 (617) 236-5800 NWHS Room 1: NWHS Room 2: NWHS Room 3: NWHS Room 4: NWHS Room 5: Mr. Clark Mason Faucett, Russell Baldrick, Louis Girts Joshua Harper, Nicholas Harper, Carlos Boyd, Jason Hentz Chandler Marshall, Jake Fishburn, Jason Hogeback, Trevor Rider Marilyn Oduogu, Mikayla Kaminsky Expectations: School rules/conduct code apply on trip In order for the trip to be a success, there are some guidelines that your child must follow. Of course, he/she should be on his/her best behavior at all times school rules/conduct code apply to the entire time we are gone. Attendance at all conference activities and appropriate attire is required. Your child has the responsibility of letting me know his/her whereabouts at all times. It must be remembered that we are a group and we act like a group not individuals. If there are any problems, we will contact you immediately to discuss arrangements for your child s return (at your expense). Please read the materials in this packet carefully and contact us with any questions before or during the conference! In addition, please make sure you complete and sign the permission form. Thank you, Peter Clark If you have any questions about this trip, please email me (clarkpv@butlertech.org). You may also call the business office (513-742-7134) or my cell (513-410-2080).

Important Information and Planning Tips Trip Expenses: What We Pay For Most of your expenses while on this trip will be paid for by Butler Tech or Northwest BPA. This includes registration fees, transportation, hotel, meals (breakfast, lunch, dinner). Please note that many conference expenses are non-refundable for Butler Tech; any student who backs out of attending Nationals after signing the permission form must reimburse Butler Tech for registration, lodging, and airfare expenses totaling approximately $1000. Tour Expenses You will be responsible for paying the cost of any tours you sign up for. Right now, we are still exploring possible tours and trips in the area. Miscellaneous Expenses You will also need to pay for any snacks and drinks that you will purchase on the trip. In addition, if you choose to eat a meal on your own (without Mr. Clark), you will be responsible for paying. If you want to purchase souvenirs or go shopping while in Boston, remember to bring additional cash. An approximate amount to consider is $100. Packing for the Trip You ll be gone for 6 days and will need to dress for both casual and professional activities. Just make sure that you pack smart don t bring your entire wardrobe! You should plan on bringing no more than TWO bags (1 small carry-on bag and one suit case). Keep in mind that you will need to carry ALL your luggage yourself, so plan accordingly. Please read the attached airline baggage rules carefully! Business Attire You will need to bring professional attire to wear while in Boston for many of the activities. You will need to bring enough outfits to be dressed up for the following time periods: Thursday, May 5 (Delegate Meeting; State Meeting; Opening General Session) Friday, May 6 (Competitions and/or Leadership Academy; Honor Awards; Campaign Rally) Saturday, May 7 (Competitions and/or Leadership Academy) Sunday, May 8 (Competitions; Awards Ceremony) You will need to dress for your competitions (regular and open events)!!! See the itinerary for competition schedules (and note that judged events have preliminaries and finals on different days). If you are an intern, you will need to bring a white dress shirt, black pants/skirt and a tie for the the guys. Recommendation: instead of bringing 4 different formal outfits, bring 1 or 2 outfits and just change your shirt each day (and bring an extra tie or two in case of spills). Remember, you need to carry all your bags yourself! Free Time There will not be a lot of free time, but you will have some down time to relax and hang out. There will be a lot of things that you can do around the hotel (pool, park, fitness center, restaurants, etc.) but we do not want people wandering. For your safety, we will have a number of rules to go over with you about where you can and cannot go. Always be safe and travel in a group. And most importantly, Mr. Clark should know where to find you at all times.

KEEP CALM AND CARRY ON Not sure what to check and what to carry? Take a few minutes to learn the can-dos and no-can-dos of carry-ons. TSA's recently announced changes to its Prohibited Items list, including allowing small pocket knives on aircraft, has been temporarily delayed. For more information, visit tsa.gov. One bag. One item. No charge. We know, you ve probably heard it before, but just in case you need a reminder: you re allowed one carry-on bag and one personal item at no extra charge. Just make sure they fit into the overhead bin or under the seat in front of you. Cram sessions are not pretty and they slow things down. So What Exactly Is Allowed? Approved Personal Items 1 purse, briefcase, camera bag or diaper bag or 1 laptop computer (computers cannot be checked) or 1 item of a similar or smaller size to those listed above Additional Approved Items The following items do not count as personal items (they re freebies): A jacket or umbrella Food or drink purchased after clearing the security checkpoint Duty-free merchandise Special items like strollers, child restraint seats or assistive devices such as wheelchairs or crutches Carry-on Size Restrictions It won t fit. Three words you don t want to hear when trying to board. To avoid delays and possible checked bag fees, follow these size requirements: Baggage may not exceed 45 linear inches in combined length, width and height, including any handles and wheels, with the exception of small musical instruments that fit in the overhead compartment space or under-seat space available at the time of boarding Baggage must fit easily in the Carry-on Baggage Check (approximately 22" x 14" x 9"), which is located near the check-in counters Passengers traveling on Delta Connection flights, and only those flights with fifty (50) seats or less, are only permitted to carry personal items on board the aircraft due to limited overhead space. Personal items must be able to fit securely under the seat in front of the passenger. All carry-on bags within Delta's size restrictions will be gate checked, free of charge, during the boarding process and returned upon deplaning. Please ensure that a pink Gate Claim/Planeside tag is securely attached to the carry-on item. Assistive devices are not subject to this restriction. YOUR CHECKED BAG We will pay for 1 checked bag per person ($25 per bag, per person, per flight). There are very strict guidelines for the size and weight of bags make sure your bag meets the criteria!!! Weight: 50 lbs Size: 62 inches when you total length+width+height
