May 2010 As this is the first Phoenix for the year there are a lot of meeting minutes to catch up on. The main item to bring attention to is the Club Exhibition which will be held over the Queen s Birthday Weekend. John McClure is the person to see if you want to help. There will be the 2 club exhibition layouts as well as 4 members layouts with quite a few other layouts; most have not been to Ballarat before. So support our Exhibition and bring your friends along as well. Paul R. News & Notes Exhibition June12,13.14.with set up on the Friday afternoon. Things are going to plan, as there are only weeks until the exhibition check with me or John McLure as to what you can do to help the weekend run smoothly. I will be setting the Hall out about 12.30pm on the Friday.The clubrooms need to be tidy for those who will be sleeping there. HO Layout As mentioned in the minutes the Open day on the Saturday of the Heritage Weekend was successful although not as many through as we would like, the operators enjoyed the running on the layout a few areas need a bit of work, which will be fixed after the exhibition. We have cut-outs to install which may need a bit of wiring changes but will cure some problems that occasionally occur.there is also the suggestion that we may need a booster as our system is only 5amp which may not be enough when there are several sound loco s on the track. Phoenix Electric-Still packed up after Sandown will be set up at our exhibition. There is now a Flashing Sign to be fitted to the to the Main Street station, thanks to Ian Mitaxa. N Layout-The floor is to be worked on soon so John will be organising for helpers to fix supports for part of the layout from the roof trusses while this work is being done. Minutes of the Executive Meeting held on Wednesday, 13 April 2010 Meeting opened 8.45pm Present: Tom Chambers, Mark Mills, John McClure, Sue Oakes, Ian Barrett, Paul Richie, Keith Parkinson, Allen Carter. Apology: David Healey. Minutes of previous meeting: Moved to be accepted as read, Keith Parkinson, Seconded Ian Barrett. Carried. General Business matters arising: Noalunga Exhibition. Sent a response saying we were not going. Signage for the exhibition. Peter Ervin following up on the reworked signage. Heritage weekend. A notice to be put up asking for volunteers. John to follow up. Reports: Treasurer s As submitted. HO Painted panels for stations, transferred switches to more appropriated area. N Purchased another hand controller, plug in points for around the layout, Tortoise switch motors. Extra passing sidings added. Junior No report. Library More shelves and magazine racks have been made. Defined areas for particular magazines/books has been settled. Building Need an updated list of property descriptions and any new item needs to be passed on to Tom for registering. This is for insurance purposes. Spit Roast. Ian to follow this up with last year s supplier. Grants for men s shed to be looked into. John to follow up. Catering Ian and Dave to follow up. Tables and trestles. We have trestles but no tops. Members have some trestles and tops. Follow up in the next month. Carpet. Only need carpet for underneath the legs of layouts and areas where operators will be working from. Leads and ropes. Members will supply these. Tickets for entry. More to be purchased. Tickets for the raffle. Need to find the books from last year and follow up with prizes. Train set, Voucher, and railway item. Swindle. Stephen to be asked to see if he would organise this again. Ian to send an account to the Air League for the emptying of the bin. HO exhibition layout needs funds for electronics. Circuit breakers being used are not adequate. Need to look at height of children, access for people in wheel chairs, access to wiring, and general viewing height. Controllers for DCC HO room. Club to purchase small controllers, for basic DCC system. Hand pieces to be supplied by members. Is it possible to buy the cheaper controllers or is it better to buy the dearer ones. Motion to buy 2 of the dearer type Ian Mitaxa seconded Tom Chamber Carried. Proposal to purchase connectors for HO layout. These are to be interchangeable between HO, N and exhibition layouts 4 off to be purchased. A motion to buy 4 Ian Mitaxa Seconded Andrew Pipkorn. Carried. N scale applied for $1000 to move forward with the layout in preparation of the floor being repaired. Moved John McClure Seconded Peter Roberts Carried. Junior layout. A discussion was held discussing the future of the junior layout. Transport options, manning of the layout at exhibitions. Money to be spent on the layout if it is going to exhibitions to publicise and earn money. This is a different layout to many at exhibitions, which provides variety. A motion to use a budget of $500, moved Chris Walschots Seconded Tom Chambers Carried Chris is organizer for the Junior layout. More shelving needed for the library. Material is available, brackets and screws etc need to be purchased. A motion to allocate $100 moved by Peter Perry Seconded Keith Parkinson. Carried Enquiry about the access to the club rooms outside the normal hours was made. There is no problem with any member borrowing the keys, and their responsibility to leave the rooms as they found them or better and return the key. Our June exhibition has room for 3 small layouts, 3 to 4 meters long X 1.5 wide. Anybody who knows of a layout, please contact Paul. Payment of layouts to be decided upon the acceptance of layout for the exhibition. Possible Model Engineers. Meeting closed at-21:22pm

Sent e-mil to explain that we didn t have a general meeting until March and we would be able to respond for certain then. Signage to be done. Peter Ervin to follow up. We need more volunteers. John to follow this up. Bus trip or cars to shops, rail museum or Steamrail museum. Reports Treasurer s - no report at this stage. Correspondence Buffer Stop arrived. January edition Rotary club of Ballarat South sent letter to remind us when the raffle tickets are due back. Canberra Model Railway Club Inc. Notice of their exhibition 27 th & 28 th March 2010. Model Bus Association sent response saying that they cannot attend our exhibition. General Business Donation of a small N scale layout, rolling stock. What do we do with this? HO- Members had a good run on the layout for heritage day with several small problems rectified. N- Reversing units purchased and installed along with another hand controller, and hand controller plug in units. Main line faults corrected and point motors installed. Exhibition layout- Still packed up after last exhibition. Library- Organizing Australian magazines, followed by Model Railroader. More shelving and magazine racks have been made. Building Maintenance- Ronald Waite from the City Council was on site when Tom Chambers was here and trimming or removing of the trees that interfere with the clubrooms was discussed and will be undertaken this week. Correspondence No correspondence tabled at the meeting, although some had arrived. General Business Waste bin. Ian to send an account to the Air League for the emptying of the bin. Proposed N scale exhibition. Height to be determined. Need to look at height of children, access for people in wheel chairs, access to wiring, and general viewing height. Trestles for exhibition.
