Listed below are the terms and conditions relative to the Vendor Exposition (EXPO). Please read carefully and if agreed, complete and return the Supplier Registration Form on the following page. On-line registration is available at: www.vagp.org 1. The VAGP Spring 2018 Supplier Exposition will open to the public on Tuesday, March 6, 2017 from 11:00 am to 2:00 pm. participating EXPO Suppliers will be provided two (2) tickets (minimum) for lunch. Lunch will be served from 12:00 pm to 1:00 pm. Booths must be appropriately staffed during the scheduled lunch times. 2. The supplier exhibition options include a Standard booth, $550; a Double booth, $850; a Premium Booth, $750; and a Double Premium booth, $1,200. See complete exhibitor options on the page 2 of this form. 3. Exhibit space will be available for set up beginning 7:30 a.m. on Tuesday, March 6, 2017. All exhibits must be taken removed from the exhibit area no later than 3:00 pm. 4. Exhibitors are encouraged to distribute product samples and promotional giveaways to Conference attendees while visiting your booth. Door prizes may be offered and must be approved and coordinated by the VAGP Conference Committee. Any and all door prizes shall be scheduled for distribution in the last half hour of the Exposition. The sale of products or services is not permitted during the Exposition or Conference. 5. In conjunction with the Conference, VAGP will be holding a fundraising event. Expo Vendors are encouraged to donate, at their expense, items to be sold at a silent auction. These items must be received prior to Monday, March 5, 2017. See contact information below. 6. All proceeds will go to VAGP selected charity. We request that suppliers notate their option donation on the on the attached Vendor Registration Form. 7. Lodging has been reserved at the event hotel (limited availability). The room rate for suppliers is $159/night plus taxes. Upon acceptance of this Agreement and payment for booth space, suppliers may secure hotel reservations. Lodging costs are not included in the Exposition fee. 8. Exposition Space will not be reserved until full payment is received. To ensure your space, it is necessary that you promptly complete the attached Registration Form, return it along with your credit card payment information or check made payable to VAGP. Please send an email acknowledgement of your registration to: info@vagp.org to ensure your space is allocated. 9. If cancellation of a reserved booth is necessary, the booth fee may be refunded upon 30 days notice/if VAGP is successful in obtaining another exhibitor for that space. No cancellations will be accepted after February 6 th. 10. The Exhibitor shall be responsible for their property during and throughout the event. VAGP shall have no responsibility or liability for any item lost, damaged or stolen. Additionally, VAGP shall have no responsibility for assuring any Exhibitor item is received at the hotel, placed in the Exhibit area, or paying any shipping or storage fees. If shipping is needed, suppliers may contact the hotel directly for details. 11. Various sponsorship opportunities for the Conference and Vendor Expo events are available.
