Trip Cancellation Fees & Travel Insurance The cancellation dates and fees for the 2013 France Trip are as follows Travelers who wish to cancel their trip will receive a refund of their trip payments minus the cancellation fee according to the following schedule If you cancel between November 1, 2012 - December 5, 2012 December 6, 2012 - February 15, 2013 February 16, 2013 April 5, 2013 Cancellation Fee $1,200.00 per person $1,800.00 per person No refund, 100% penalty Optional Travel Insurance is available for purchase directly by travelers Travelex Insurance Services is recommended provider www.travelexinsurance.com/index.aspx?location=05-0027&go=bp Or call 800-228-9792 Free quotes are available online Price varies with options chosen basic travel insurance coverage is $179 Reminder: Trip Payments are Due on the 1 st of Each Month 5
Required Trip Documentation All travelers will need a passport! Passports must be valid through July 14, 2013 If you don t have a passport or need to renew, DO IT NOW! If you hold a non-us passport, please check the Visa requirements for France Other required documents we will be collecting closer to trip Passport number and expiration date Medical information form & Student behavior contract Notarized letter of permission to travel for students less than age 18 We will try to get a notary available at our next trip meeting Waiver form for damages, liability, and medical treatment at hotels Look for Trip Updates in your Email and on the Band Website www.southhighband.org 6
Luggage and Packing Information Luggage First checked bag is free, 1 carry-on overhead, 1 small backpack under seat Checked luggage must be less than 62 total inches and less than 50 lbs No additional checked bags allowed ($100 cost each way) Carry-on bag must be les than 44 inches and total carry-on weight less than 26 lbs Pack light! Plan to reuse clothes you are among friends Concert attire to be packed in traveler s suitcase Small instruments (flute, clarinet, etc.) to be packed in suitcase Trumpets, Alto Sax, etc. to be carried on for overhead storage Large instruments will be checked in, Carry-on suitcase desired 7
Hotels and Transportation In coming weeks, we will start forming the hotel rooming list Two travelers per room Students can request roommate, no guarantees Limited number of triple rooms for family travelers If adult desires a single room, let us know ($496 additional cost) Hotels Information Paris: Two hotels close together 5 min walk to Eiffel Tower Mercure Eiffel, Pullman Eiffel Nearby metro station Caen: Novotel Caen Cote d Nacre Day trips to Normandy and Sainte-Mere-Eglise All Hotels are Double Occupancy 2 Students per Room 8
