WELCOME Welcome to Day Camp 2019 We are very excited to share the following information for the Glacier s Edge Day Camp Program for 2019. We feel it is vitally important that all of our Cub Scouts attend a Day Camp and for many of our Scouts, especially the younger ranks, this is the highlight of the Scouting year. In 2018, the Day Camp program was revised to accommodate the schedule of parents and leaders while still providing a quality Day Camp experience for Scouts. This format was created after many meetings with parents and leaders, as well as surveys of the Council s Cub Scout community. The 2019 Day Camp program will reflect the changes made and also incorporate further refinements for this year! Our goal is to provide a Day Camp experience that is convenient for parents and leaders while also meeting the needs of our greatest asset our Cub Scouts. For 2019, we will continue to offer the flexibility of the Provisional Scout offering so that a Cub Scout can attend Day Camp without the supervision of a parent or leader. To ensure safety, this program is offered on a limited basis and only to Scouts in the older ranks but it was very beneficial and successful last season. As in the past, the Day Camp program is staffed by a team of trained Camp counselors from our Glacier s Edge camping program. These counselors are a vibrant and exciting group of young adults that are committed to instilling the Scouting Spirit in each and every person at Day Camp. DATES AND PRICING Day Camp Dates Day Camp Pricing June 17-19: East Madison June 20-22: Walworth County June 24-26: West Madison June 27-29: Portage August 5-7: Camp Indian Trials Aug 8-10: Mt. Horeb Area Exact locations will be posted on the camping page of the Glacier s Edge website in January. Pricing Early Bird Fee (Pay by Mar 31st) - $115 Regular Fee (Pay by May 1st) - $125 Late Fee (If paid after May 1st) - $150 Sibling Discount: $25 Off Per Scout - you may take this discount for any siblings attending ANY GEC Camp. This includes Sisters too. Den Discount: Get 50% of your Den to Day Camp SAVE $10 per Person Day Camp Leadership Packs must provide a minimum of 2 leaders. The only exception to this rule is if a parent wishes to attend camp with their Scout individually. Sometimes, we can help pair up dens to maintain adequate leadership. Call and ask! Provisional Scout Participation Come to Camp Without Leaders If your Scout wants to attend camp, but you our your pack cannot provide leadership, they can come anyways! Each session of day camp will have 30 spots open for Scouts to attend without leadership. This program will be staffed by Camp Staff who are specifically selected and trained to serve as Den Leaders for the session. Due to National Standards, this program is only available to Wolf, Bear, Webelos, and Arrow of Light Scouts. There is an additional $50 fee per Scout to utilize this program. To Register for Day Camp Follow this link www.scoutingevent.com/620-daycamp19 Campership A Campership is financial support provided to a Scout to help with the expenses of attending camp. Your Cubmaster or Pack Committee Chair should make the request for a Campership with the help of the Scout applying. Applications can be found on the Glacier s Edge Council Camping website or at either Council Service Center and must be completely filled out and returned to the Council Service Center no later than March 15th. Those Scouts joining a unit after March 15th may apply as soon as possible, up until June1st.
PROGRAM Schedule Day 1 Day 2 Day 3 Check In Daily at 8am Opening Ceremony at 8:30am 8:50am-11:30am Lunch and Lunch Program 1-3:40pm Closing Campfire Above is a typical schedule for Day Camp. will include: Crafts, BB Guns, Archery, Nature, Ecology, Scout Skills, Water Fun, Games, and More 2019 Theme: Ninja Warrior Day Camp Advancement Each Scout attending Day Camp will earn one Advancement Loop for his/her rank as well as the Level 1 patch for Shooting Sports. Shooting Sports includes Archery, Slingshot and BB Guns. Specific advancement loops will be posted in January on the Camping tab of the Glacier s Edge website. What to Bring Please ensure that each person in your Pack brings the following items for Day Camp -Water bottle -Hat -Rain Gear -Backpack -Change of Clothes -Sunscreen -Bug Spray -Closed Toe Shoes -Lunch -Clothes for Weather
Check In/Out Meals and Food Meals are not included in the price of day camp. Each participant should plan to bring with them a bag lunch daily. POLICIES AND DETAILS Check-in for Day Camp will run from 8am-8:30am each day and program will begin at 9am. Please plan for check-in on day one to take more time than the rest of the camp. Parents and Leaders are also asked the check out at the end of each day. Please work through your Pack coordinator for camp check-in. It is much easier to have one person communicating with the camp staff, rather than every parent checking in individual Scout. We also ask that you submit your full Pack roster through the ScoutingEvent.com site where you registered. Camp wraps up every day at 4pm and all Scouts need to be picked up by 4:30pm. It is the responsibility of the Pack and/or parents to ensure that Scouts have transportation to and from camp Pets With the exception of service animals, NO pets are allowed at camp. Sibling and Walk-Along Policy Siblings of Cub Scout age (at least 4 years old) are welcome and encouraged to participate in the Day Camp program. Siblings register as a Youth participant at the same fee as a Scout. Older siblings are encouraged to volunteer as Den Chiefs and as such attend at no charge! This should be noted at the time of registration. Refunds Refunds will only be made if requested in WRITING prior to June 1st. Refund requests must be made by the Pack Coordinator and should be directed to the Glacier s Edge Council Program Director, Nick Rose at nick.rose@scouting.org. Packs may choose to credit program fees to another camper. Transfer requests must be submitted to the Council Program Specialist, Skylar Fitzgerald, for consideration at skylar.fizgerald@scouting.org. Any refunds requested after June 1st are reviewed by the Camping Committee in August and a decision will be made at that time. Approved refunds will be returned to the pack with a minimum cancellation fee 25% per scout deducted. Refunds requested after June 1st are not guaranteed. Packs may appeal any refund decisions to the Glacier s Edge Camping Committee in WRITING before the start of the registered session.
COORDINATOR The Pack Coordinator acts as the liaison between the camp and the Pack and is responsible for the following: -Familiarize themselves with the Cub Scout Catalog -Promote camp and programs to the Pack -Ensure Pack camp registration and payment are correctly submitted in a timely manner to the Council Service Center -Oversee general coordination of the Pack while at camp -Attend and recruit adults for the Cub Scout Program Orientation & Training A training will be held January 24 at the Madison Office and January 22 at Camp Indian Trails. Both trainings will start at 7pm and will help ensure a great camp for you and your boys. Timeline to Camp Below is an in depth timeline and checklist to help you plan your pack s summer camp! Do By December 15: Receive Camp Dates and Pricing and distribute to your families Schedule a Camp Promotion Date with the Order of the Arrow or District Representative Do In January: January 1 - Camp Registration Opens online at Glaciersedge.org Attend Camp Coordinator Training (Jan 16 in Madison, Jan 18 in Janesville) Gather Early Sign-ups and Interest Plan Leadership needs and gauge interest of parents Develop and implement plan to fund camp (Popcorn Funds, Camp Cards, etc) Do in February: Host Camp Promotion at Blue and Gold Pack Meeting Do in March Campership Applications due March 15th. Email to glaciersedgecamps@scouting.org Gather Early Bird Registrations and register online! Do in April Continue Camp promotion to get to 50% of your Den attending for discount! Register additional Scouts at Regular Fee (Due May 1) Do in May Register Any additional Scouts Begin planning logistics to get to and from camp, and equipment needed Do in June Order complimentary T-Shirts online By June 1 Finalize logistics in transportation and equipment needed 2 Weeks Prior Collect Health Forms for all attending Parts A and B are required for ALL Participants Ensure all adults are registered with the BSA and have current Youth Protection Training Week After Send Thank you letter to your fellow camp leaders who attended Ensure any Scouts who received Camperships send Thank you note to Council.
