Memorandum TO: TOUCH FOOTBALL AUSTRALIA MEMBERS FROM: MARK SPEAR EVENTS AND COMPETITIONS MANAGER SUBJECT: 2013 X-BLADES NATIONAL TOUCH LEAGUE INFORMATION DATE: 23 MAY 2012 Please find enclosed some information for the 2013 X-Blades National Touch League (NTL). Host I am sure that many have already made enquires about Coffs Harbour availability. Some basic links are below again: Accommodation o If you wish to enquire about accommodation, the best central point is the Coffs Harbour Visitor Information Centre. Contact details are below: Website www.coffscoast.com.au o Attractions o o Phone 1300 369 070 The region offers approximately 18,000 beds within 30 minutes of the venue so there is plenty of accommodation available. If you are having difficulties with either availability or cost, please let me know and I will escalate it through Coffs Harbour City Council. The above website also has lots of useful information on: Things to see and do Places to visit Festivals and events Transport information The Destination NSW website is also a useful portal for information on Coffs Harbour and surrounding areas http://www.destinationnsw.com.au/ A Coffs Coast Explorer Magazine will be sent out to each Tour Leader via the post which also outlines accommodation and attractions. Site Visit As previously communicated, below is some brief venue information to give NTL Entities an idea on what may occur although we will be unable to finalise information until a further site visit occurs. Food and Beverage BCU International Stadium catering is managed by Coffs Harbour City Council. A selection of healthy, hot and cold food and beverages suitable for the needs of athletes will be sold from the canteen on the concourse level of the Stadium. Team meals can also be arranged if booked in advance and information on this opportunity will be distributed in due course. Sponsored food and/or beverage products may not be bought into the venue as sponsored giveaways.

It is a condition of entry for all patrons that commercially prepared food and beverage is not permitted to be brought into the Stadium precinct. Self-Catering We understand that many NTL Entities look to self-cater at events. At previous Touch Football events held at the BCU International Stadium, self-catering has not been allowed but Coffs Harbour City Council will allow this to occur although there will be restrictions in place. There will be a self-catering fee per NTL Entity for those that wish to do this and NTL Entities may also need to provide evidence of acceptable self-catering management such as Food Handling Certification. More information will be provided in due course. Gate Access Security is required at each open gate at all times. There will be one main gate open for the duration of the tournament which will be the front entrance gate. If NTL Entities wish to have additional gates open to assist with the set-up and pack-up of their respective areas, there may be a cost involved. There is the potential for other gates to be opened if suitable volunteer resources be secured during peak periods. More information will be provided in due course. Gate access will be for pedestrians only. There will be no vehicle access to the venue during the tournament. Parking There is ample parking at the precinct which will be on a first come first served basis. It is not anticipated at this stage that areas will be sectioned off as VIP Parking but there may be areas designated as drop off areas for passengers and equipment. More information will be provided in due course. Training Fields There will be a booking process for training fields prior to the event facilitated by Coffs Harbour City Council. As per previous events, there will no training allowed at the tournament venue prior to the event. More information will be provided in due course. Tent Preference A map will be developed of where tents are able to be placed around the venue. Tents have traditionally been placed around the stadium fields although not all areas are flat. As per previous events, preference will be taken into consideration but there is no guarantee. More information will be provided in due course.

NTL Entities can use existing power sources not required by the Stadium. Should NTL Entities require more power in certain locations than is currently available, any upgrades or additional power will be at the NTL Entities cost. Any electrical equipment brought into the venue must be certified and tagged with electrical safety compliance. All electrical cords are to be safely secured and appropriately covered, eliminating trip hazards, or secured overhead to Australian Standards. Coffs Harbour City Council s Risk Manager will conduct a risk assessment of the venue to ensure that these standards are adhered to. Water Supply A number of permanent fixed water supply points are available around the venue. Water usage should be conducted in a safe and responsible matter at all times and must comply with any water restrictions enforced at the time of the event. The diagram on the following page gives an indication of power and water access.

Ice and Ice Baths As per previous events, TFA will look to organise Ice and Ice Baths at the venue. More information including any restrictions will be provided in due course.

Additional Infrastructure Additional infrastructure may be accommodated if details including power requirements are made available. Authorisation and placement of such infrastructure will be in consultation with the Stadium Grounds Curator and subject to suitable power being available where it is to be located. All infrastructures would need to be in place prior to commencement of the tournament. The approval process will begin when Tent Preference Forms are submitted which also includes details on power requirements. Transport The Coffs Coast region offers a range of rental car companies with experience in servicing major state, national and international events. A broad product range for small vehicles to buses and commercial vehicles are available.
