The weather was nice; a bit windy, but the temperature was pleasant. Everyone collected some nice specimen. Field Trips are suspended for the summer months of June, July and August due to unpredictable weather. The Field Trip Team will be meeting soon to set up trips for September through December and will announce those as soon as we get them. Shane Slay
NICK SACCKETTI VICE PRESIDENT PROGRAMS June 4 - Helen Serras-Herman on unique lapidary projects Our speaker for the June meeting will be Helen Serras-Herman coming from Rio Rico to speak on "Natural vs Enhanced Lapidary Materials". Her presentation will combine Helen's Part 1 and Part 2 articles in the December and January editions of Rock & Gem magazine. July 2 - Anna Domitrovic (AZ-Sonora Desert Museum) In July, Anna Domitrovic from the Arizona-Sonora Desert Museum will return to speak on "Geology and Collecting Along Route 66". August - Annual Show Later in the year we have Steve Maslansky and Pat McMahon scheduled for return speaking engagements. The new video projector and laptop computer have been ordered and should be in before the May meeting, you'll see them first at the June meeting. PRESIDENTIAL MESSAGE I hope everyone that aended the Spring Fling last month had a nice me. I want to thank Gail Walker for the good job she did in arranging for the food and setup. Thank you all for bringing the delicious food to share and I want to thank those of you that helped set up and tear down. Now we need to get ready for the Show in August. Our Show Chairman, Melanie Capps, is working hard getting things set up. She will have work sign-up sheets at the June and July meetings. If you haven t signed up for anything yet, please do so. Call to order at 10:36 a.m. by Linda Loschke. The Pledge of Allegiance was conducted. Additional board members in attendance were Nick Saccketti, Shane Slay, Dan Hunt, Judy Sullins, Stephanie Allen, Ronnie Whorton, and Melanie Capps. Judy Sullins gave the treasurer's report for April. Deposits: 3,296.00, vendors
Expenses: 1,295.94 755.00 cash flow 2,053.00 other income Checking total: 4,053.06 Savings total: 9,955.81 Business savings total: 13,840.09 Business checking total: 11,202.50 Club members brought up questions about the rest of our funds. Judy pointed out there's 30-some-thousand in the money market account and that she is not reporting on that account. Discussion and questions continued. Linda explains how the money market account has been put in Dan Hunt's and John Munday's name, that it is a separate account and that the board voted and passed a motion to have different signers, Dan and John, on that account so that no one individual would have access to all of the club's funds. Judy is the signer on the checking and savings accounts. Dan and John are the signers on the money market account. A motion was made to have one report on club funds. Linda informs the membership that at the next board meeting the board will decide how the club's funds will be reported on at future meetings. Nick Saccketti gave a programs report. Today we have our Spring Fling and Junior Rockhounds silent auction. In June we will have Helen Serras Herman giving a presentation. Helen is a new presenter, frequent contributor to Rock & Gem Magazine and is in the Lapidary Hall of Fame. In July we will nave Anna Domitrovich, lecturer and mining historian, giving a talk on Rock and fossil collecting along Route 66. Shane Slay reported on field trips. About 30 people went on the Dobell Ranch trip. There was a coalition field trip there as well. We had a good time except for the 50 to 60 MPH winds. On the 21st we will have a field trip to Grapevine Canyon near Flagstaff for root beer onyx. Shane will go up and check the site out before the trip. Mike Brody sometime this summer will do a field trip to Gray Mountain, north of Flagstaff, for petrified wood. Shane reports that the Fat Jack Mine near Crown King has a new owner who will open up the mine for collecting. There will be a collecting fee. Shane does not know the fee yet. This location is a possibility for this summer. This owner also has a new claim near Gila which has fluorite cubes. This site is a fee site, $25 per day. Ask Shane for details. The trip to Grapevine Canyon is the last scheduled trip until around September due to the summer heat. Melanie gives a show report. Everything is going good, all on track. Nothing to report. Melanie thanks those who have signed up for positions at our upcoming show. Karyn Bee reports on the Junior Rockhounds. She has a lady and an assistant that is interested in taking over her
position. Today is our auction. Karyn is trying to build up the Junior Rockhounds budget. We have some nice things up for auction. Karyn is still looking for donations of coprolite for the spinning wheel at the show. We got some today. Thank you. We could use some more small pieces. The Junior Rockhounds need some adult volunteers at the show to assist with adult supervision. Gail Walker says thanks to everyone for coming in early and helping set up the food tables. Ronnie announces he made some clamp devices that attach to tables for holding lights at shows. They are for sale at $15 apiece. Debbie Ramsey reported on membership. We have five new members and two guests. We had 50 total sign in at today's meeting. Some members didn't sign in. Later Debbie's written report shows we had 64 total signed in today. Max Hatch announces that the long-time members he announced last month are actually founding members and that is was five founding members. Max mentions that we haven't had five founding members together at a meeting other than last month. Linda asks whether there are any corrections to last month's minutes. Discussion. Linda asks for a motion to approve the minutes with the addition information provided by Max Hatch above. Mike Brody moves, Marshal Waller seconds. Minutes approved with addition. Linda brings up the fact that we need to vote on whether to pay the new lease on the workshop. The new lease term starts at the end of June. Linda mentions that rent stays the same at $350 per month plus $7 tax to the City of Prescott. Total for the year is $4,284. A question is raised: When did the rent go up? It used to be $250 per month. Discussion takes place regarding last year's lease amount. It is determined that last year the rent was $250 per month. Linda announces that the rent went up to $350 per month plus $7 tax, total of $4,284 per year. Also we now have to pay for water, which is $25 per month. Total yearly cost for the workshop will be $4,584. Linda asks do we still want to continue with the workshop and pay this lease amount. A questions and discussion take place regarding the lease and the possibility of getting a five-year option to lock in a price. Linda informs the club that the leasing company won't do that and they would prefer we do month to month, but they give us the year lease. Everyone else in that complex is on a month-to-month agreement. Linda asks for a motion to continue the workshop for another year at a cost of $4,584 for the lease. Motion by Mike Rowe, second by Jeff Walker. The club votes. The motion carries. Linda notes that Aprils workshop attendance was down and asks that some of the college lapidary class graduates come and use the club workshop. Steve Dudar mentions he has a sign-up sheet for training. Please sign up to be trained on the equipment so you can use the workshop. A question on the workshop loss or deficit is raised. Are we losing around $3,000 per year? Linda says yes and that we have the money and that the club voted to have the workshop. Discussion on the workshop. Jackie Brody says she loves the workshop and thanks for keeping it going. Linda mentions that next month's newsletter will include a photo of our shop foremen. New business. Linda mentions and explains the escheat notice on the money market account. Dan and John went
to the credit union last week and became the new signers on the account thus nullifying the escheat notice. Linda and Dan explain that we just have to occasionally show some activity on the account to avoid an escheat notice. Dan explains the credit union does their due diligence and provides plenty of notice on an escheat. Mike Rowe makes a motion to adjourn the business meeting. Seconded by Debbie Ramsey. The meeting is adjourned at 11:08 a.m. Submitted by Dan Hunt, Secretary Minutes of Board Meeting of the Prescott Gem and Mineral Club May 18th, 2016 The meeting was held at the club workshop, 438 Montezuma, Suite B, Prescott, Arizona, and called to order at 5:03 p.m. by President Linda Loschke. Other officers in attendance were John Munday, Stephanie Allen, Ronnie Whorton, Melanie Capps, Dan Hunt, Nick Saccketti and Shane Slay. Corrections to last board meeting minutes: In the section where Judy is reporting on finance last month, the following correction is added: We had the Prescott Gem and Mineral Club address listed as our P.O. Box number. Judy corrected that to the physical address of our present statutory agent, Carol Gilson. Carol wants to be removed from that responsibility. John Munday volunteered to be our statutory agent and his address will be the one on file with the Arizona Corporation Commission. The above correction moved by Nick, seconded by Ronnie, voted on and so moved. The money market account is discussed. The board agrees that Dan will set up on-line banking so that he can view the account on line, get the current balance and any transactions during the month. He will then email the information to Judy for reporting at meetings. The treasurer's report is discussed by the board. The board agrees that we'll come up with a format for the treasurer's report to be reported at general and board meetings. The board discusses the other money market account,which is linked to the checking and savings accounts. Linda will look into that other account and report back to the board regarding the account. Nick reports that he has obtained the new computer and projector for the club's audiovisual presentations. He came in under budget at $1,033.99. We will see the new equipment in use at the next general meeting wherein Helen Serras Herman will give a presentation on natural versus enhanced gemstones. Nick made a motion for $200 for Helen's expenses with regard to her upcoming presentation. John seconded the motion, voted and passed by the board. Anna M. Domitrovich will be our speaker for the July general meeting. She will give a presentation on Geology along Route 66. The board would like to thank Nick for donating two very nice carrying cases for the new audiovisual equipment. The board discusses a proposal from Terra Tactus, Inc. That company would like to know if the PGMC would be interested in participating in a project involving collection of specimens for assembly in educational kits which that company then sells. The board decides against the proposal because of
the time and effort involved and the nature of the kits, which is primarily paleontological. Shane reaffirms that on the 21st of May there will be a field trip to Grapevine Canyon for root beer onyx. Shane went to the site last weekend. The site is very accessible. Shane found a dig and some material. Discussion on possible future site. Burro Creek is discussed. Shane will try to find out more about that site. Stephanie has no report. Melanie reports that things are going well. She mentions that a new vendor is asking whether he can sell his vintage Native American jewelry. The board discusses this and concludes that yes, he can sell his jewelry. The board discusses the workshop lease rate increase and possibly paying monthly. The board decides to continue to pay the lease as a once-a-year payment. John mentions that rent is due on the storage unit at the fairgrounds. He says the price remains the same. He also informs the board that this is the last year that the property owner will allow us to rent the space as they have something planned for the area. We have to move the storage unit sometime before May 23, 2017. The board discusses possible sites to move the storage unit to. It is agreed that some of the board members will look into some possible locations. The workshop budget is discussed. Since Judy is not at this meeting, there is some confusion on some of the figures we have for the workshop expenses last year. The board generally discusses the workshop, rent, water, electricity, equipment and consumables. The board proposes a $1,500 budget for workshop consumables for the coming year. With the available information we have, it is believed that this would bring the total workshop budget, including rent, water, electric to a total of about $6,500 for the coming year. The general membership approved $4,584 for rent, including water, at the last general meeting. The proposal for a $1,500 budget for workshop consumables will go before the general membership for a vote at the June general meeting. It is agreed that workshop consumables include diamond wheels for the various grinding machinery. The board discusses the Moose Lodge, where we have our general meetings. Linda would like to qualify that we pay the Moose Lodge $150 for the Spring Fling and $150 for the Christmas party. So we pay $300 a year. Do we want to give the Moose Lodge an additional donation? The board discusses this. Shane makes a motion that we give the Moose Lodge $200 as a donation in November. John seconds. The motion is voted on and passed. John moves for adjournment. SHOW UPDATE!!! The volunteer sheets are out and ready to be filled in, two months to get our act together, OYE! I know in the past you have all stepped up and did an outstanding job,and I thank you. So this year I know we will all come together as a club/team and exceed last years show. There are sign up sheets for every position we need filled at the table by the door. For the exhibit cases, we need to know if you are planning to exhibit your treasures, let me know because the new lights must be installed in them. This year I expect more customers than last years attendance of 4007 customers. My goal this year is to break 5,000 people (more is better). The advertising was increased, and word of mouth is helping. On the back table there will be a box of brochures for you to take, please take as many as you want to distribute. offices, stores, bulletin boards, shows you attend etc. The more people that hear of our show the better. At the July meeting I will have posters for you to put in your business windows..or any window. If you know you would like a few let me know so I have enough to go around. Every thing is progressing and falling in place, so expect an awesome show this year. Thank you in advance for your help and all the support you have given me.
