28 th January 2016 Dear Parent/Carer Oasis Academy Ski Trip Bulgaria 6 th 13 th February 2016 Itinerary, Flight & Hotel Information, Kit List In preparation of your child s forthcoming Ski trip to Bulgaria on 6 th February 2016, I now attach the final itinerary from the travel company detailing each day s events. The evening activities will be confirmed by the trip leader once the party arrives at the resort. I also attach baggage information and a suggested kit list. As you are already aware the students will be flying from Heathrow airport and the final flight details are as follows: Outbound: Saturday, 6 th February 2016 There will be 2 coaches leaving the Academy; One from each Campus. Meet Mrs Hancock at West Campus at 2.00am travel by coach at 2:30am to Heathrow via East Campus. Meet Mr Slater at East Campus at 2:15am travel by coach at 2:45am to Heathrow Airport Check in at approximately 4-5am Depart: at 8.10am Flight Number: BA 890 Arrive: Sofia Airport, Bulgaria at 13.20pm (Bulgaria is 2 hours ahead) Coach transfer (Pamporovo Bus Co) to the Orpheus Spa Hotel in Pamporovo arriving in the late afternoon. Inbound: Saturday, 13 th February 2015 Coach pick up from hotel early Saturday morning. Check in at approximately 11am Depart: Sofia Airport, Bulgaria, at 14.10pm Flight number: BA 891 Arrive: Heathrow Airport at 15.40pm

Coach transfer back to East and West Campuses. It is anticipated that we will arrive back to the Academy at around 7pm depending on traffic. We will ask students to call/text you to confirm a more precise time when we have this information. If possible, we will try to update our Academy Facebook page as well. Hotel Address: Orpheus Spa Hotel 4870 Pamporovo Bulgaria The hotel telephone number is: 00 359 3095 8620 The hotel is on a full board basis which means breakfast and dinner will be provided at the hotel and hot lunches (7 th 12 th February) will be taken on the slopes. In addition, hot chocolates and biscuits (7 th 12 th February) are provided at the end of the day free of charge. Luggage Allowance Each student has an allowance of 1 piece of luggage to check in, which must not weigh more than 23kgs. If the luggage allowance is exceeded, a charge may be levied by the airline. Hand luggage is restricted to 2 pieces - 1 x Cabin Bag and 1 x Personal Bag. 1 x Cabin Bag - maximum dimensions 56cm x 45cm x 25cm including handles, pockets and wheels. 1 x Personal Bag - maximum dimensions 40cm x 30cm x 15cm including handles, pockets and wheels. Please do not exceed these allowances as the airline will make an additional charge. Passport & EHIC All passports and EHIC cards need to be handed into Reception on East OR West Campus on or before Wednesday 3 rd February 2016. They will remain in the school safe and be brought to the airport by the trip leader on the morning of 6 th February 2016 and will remain with them throughout the duration of the trip. They will be returned to the student on the 13 th February 2016 when they return to the Academy. Medication Unless emergency medical treatment is being administered, the trip leader will not be able to provide your child with any medication unless provided by you prior to departure, this includes Ibuprofen and Paracetamol. If applicable, please make sure that enough medication is made available to your child for the duration of this trip and place this in a named plastic bag or container with full instructions and pass this to Mr Slater/Mrs Hancock.

Spending Money The students may take spending money with them on this trip, which should be in Bulgarian Lev and should be placed in a sealed envelope marked with the students name and the amount contained therein. This should then be passed to the trip leader on arrival at the Academy on 6 th February 2016 for safe keeping. There will be a small charge for some of our evening activities and students will need to allow for 10 (sterling) OR 26 Bulgarian Lev to cover the cost of these activities as part of OR in addition to any spending money they wish to bring. Personal Belongings & Electrical Items Any personal or electrical items taken on this trip will remain with the students and these belongings are their responsibility for the duration of the trip. It may be prudent to label these items for ease of identification. We strongly recommend that your child does not bring their mobile phone on this trip. Many tariffs do not allow international access and those that do are extremely expensive. Students must keep any personal belongings or electrical items in the hotel or close at hand and not have them on display as this may attract unnecessary attention. The Academy will not be held responsible for any lost, damaged or stolen items and will not be able to spend any time on the trip looking for a missing item. Coach As you are aware the students are being taken to Heathrow airport by coach leaving at 2:45am on Saturday 6 th February 2016. Please ensure that your child is at the Academy by the times detailed above as the trip leader will need to register all attendees, collect any medication and spending money before the group can leave for the airport. On the return journey on Saturday, 13 th February 2016, if the flight runs to schedule, we anticipate the coach departing from Heathrow airport at approximately 5:30/6pm, with an approximate arrival at the Academy of 8pm. It may be worthwhile checking the expected arrival time of the flight that afternoon in case we are delayed. Our arrival time is subject to change and returning back to Oasis could be earlier/later than expected. When we have more accurate information we will ask students to telephone or text parents and carers and also try to update our Academy Facebook page. Refreshments You may want to provide your child with a snack to eat before check in and some money (GBP sterling) to buy refreshments on the flight. They should also be reminded to keep some Bulgarian Lev to buy food at Sofia Airport on the way home. Code of Conduct Your child will be expected to behave sensibly and respectfully whilst on the trip so that everyone can stay safe and enjoy the experience. A full written report of any misconduct will be provided by the trip leader. The student will be expected to serve any consequences imposed both on the trip and on return. In serious circumstances the student may be sent home at the parents expense. If the student breaks the law, the local police may become involved. Please complete, sign and return the attached student conduct form to East OR West Reception by Wednesday 3 rd February marked for the attention of Mr Slater

Oasis Academy Ski Trip Pamporovo Bulgaria 6 th 13 th February 2016 I understand that photography will take place at this visit and that Oasis Academy hope to publish details of the day on our website and through newsletters and bulletins. The photographs or images may be used for displays, publications and on the Academy website; they may also be used by the local media. Oasis Academy assume consent to photography unless the opt out form enclosed has been completed (please also indicate below). I refuse permission for my child s picture to be taken and have completed and returned the opt out photography form Photographic Permissions Opting Out During your child s life at Oasis Academy Isle of Sheppey there will almost certainly be occasions when we wish to take photographs of activities that involve your child. Photography will only take place with the Principal s permission and under appropriate supervision. When photography is carried out by the news media, children will only be named when there is a particular reason to do so. It would be appropriate if they had won a prize, individual accolade or feature in an Academy activity; home addresses are never given. Entrance fees will be payable locally by the trip leader students will need to contribute to activities Approx: 10 = 26 Bulgarian Lev Damage and Behaviour Deposit This accommodation does not usually require a refundable damage deposit to give on arrival. Please check rooms on arrival and report any existing damages to the Trip Leader. There is also no damage/lost deposit for the first room key card but if you required a second key for a room there will be a refundable deposit of 5 Lev. The Trip Leader will expect your child to keep their room tidy at all times, particularly on the last day before departure. Ski Lift Passes Please remind your child to return all ski lift passes to the Trip Leader on the last day. Any lost or damaged ski passes will be charged 50 Lev each. Helmet Hire It is a requirement of our Winter Sports Insurance policy that all students and staff taking part in the skiing activities are required to wear a safety helmet. We have arranged for helmet hire (unless students have stated that they have their own helmet and will need to bring this with them) and expect all students to wear a helmet for their own safety

I also acknowledge: (i) The need for my son/daughter to be obedient and act responsibly. (ii) The Academy may refuse to take my son/daughter on the activity, if he/she exhibits serious misbehaviour before the activity. In the event of serious misbehaviour during the activity, the Academy has the right to exclude my son/daughter from the remaining part of the activity. In either case the Trip Leader s decision shall be final and I shall forfeit all monies paid in respect of the activity. I also understand that I may be requested to collect my son/daughter from the activity s venue at my own expense in the case of serious misbehaviour. (iii) That any photographs or video film taken during the visit must be solely for your individual family's use and must not be distributed more widely. Photographs may also be taken for publicity use by the Academy. (iv) That for some activities there may be occasions when a member of Academy staff or another parent will transport my son/daughter by private car as opposed to the use of a coach or bus. (v) That the Government Guidance states, "Trip Leaders should ensure that transport by road has seat belts and that students wear them". This is fully endorsed by Oasis Community Learning, who have further advised that, in the event of a student refusing to wear the seat belt, the Trip Leader has the right to refuse to take that student on the visit. STUDENT CODE OF CONDUCT Academy off-site visits are intended for students and accompanying staff to experience sights and activities, over and above those available in the classroom, in a safe, enjoyable and disciplined manner. Students are expected to behave sensibly and respectfully whilst on such trips so that everyone can stay safe and enjoy the experience of learning outside the classroom.
