INSTRUCTIONS FOR COMPETITORS AND SENIOR OFFICIALS Thank you for your entry in The 2018Abingdon Motorsport CAR-nival Stages ARRIVAL AT ABINGDON ON SATURDAY The Dalton Barracks is located to the West of Abingdon, adjacent to the A34 and should be accessed via the 'Marcham Interchange' following CAR-nival arrows to the venue. PLEASE NOTE THAT ACCESS VIA THE SOUTHERN AIRFIELD GATE A ON SATURDAY IS AFTER 6PM AND BEFORE 8AM ONLY. Outside of these hours, access will be via Abingdon and the Honeybottom Lane Gate B - Follow CAR-nival Arrows. (See attached map). NO ACCESS VIA COTHILL, FORD OR DRY SANDFORD FOR ANY REASON BEFORE 6PM: From the Honeybottom Lane Gate turn left for Scrutiny, Noise and Documentation. AFTER 6PM: From the Southern Gate the route to Scrutiny, Noise and Documentation will be up the Main Runway, turn right at the top towards the White Marquee, turn left to the unloading area (as signposted). Please drive quietly and courteously through the surrounding area as we rely on the support of the local population for the continued use of the venue. Remember, 600 Competition, Service and Marshals cars will be traveling along these routes early and it will only take one indiscretion to upset the natives and lose the venue. Upon arrival, please park in the unloading area - Trailers should be left in the Trailer Park. DO NOT UNLOAD ON THE APPROACH ROAD TO THE MARQUEE AS THIS IS IN USE FOR THE SPRINT AND AUTOSOLO AWARDS ETC. NO SCRUTINEERING BEFORE 3PM PLEASE PARK SENSIBLY ALLOWING ACCESS ON ALL ROADS NOISE TEST, SCRUTINEERING & DOCUMENTATION LOCATION & TIMES YOU ARE SPECIFICALLY REMINDED THAT ALL SCRUTINEERING WILL TAKE PLACE ON SATURDAY 10 TH JUNE, WITHOUT EXCEPTION. SUNDAY SIGNING ON (7 8AM) FOR 1 MEMBER OF THE CREW IS ONLY AVAILABLE BY APPOINTMENT, MADE PRIOR TO WEDNESDAY 6 th JUNE AND AT AN ADDITIONAL CHARITABLE CONTRIBUTION OF 25 (See SR16). PLEASE NOTE THAT ALL HELMETS AND OVERALLS MUST BE AVAILABLE FOR SCRUTINY ON SATURDAY. ANY CREW NOT SIGNED ON BY 7PM ON SATURDAY 9 th JUNE (SUBJECT TO ABOVE) WILL BE EXCLUDED AND THEIR PLACE ALLOCATED TO A RESERVE. NOISE ANY ANTI-LAG SYSTEM CREATING EXCESSIVE NOISE (e.g. Early generation) ARE PROHIBITED AND COULD LEAD TO IMMEDIATE EXCLUSION WITHOUT QUESTION THERE WILL BE NO SECOND CHANCES. If you have the latest style of ALS then its use is totally at your own risk as it is the noise generated, rather than the technology that is totally prohibited. In all cases, the decision of the Environmental Officer is final and immediate. SCRUTINEERING & DOCUMENTATION On successfully completing the Noise Test, you will be issued with a Scrutineering Card containing all the information relative to your entry. Please check and, if appropriate, complete or amend the information shown before you report to Scrutineering. You should then proceed to Scrutineering as soon as possible. YOU ARE REMINDED THAT COMPETITION NUMBERS WILL BE ON SALE FROM DOCUMENTATION IN THE EVENT HQ BUILDING (See map) AND THESE SHOULD BE IN PLACE PRIOR TO SCRUTINEERING. Please help our Scrutineering Team by having items such as overalls, helmets ready for inspection. Once vehicles have passed Scrutiny, competitors should park and then proceed on foot to Documentation in the event HQ building (See map) where you will be required to produce all documentation relative to your entry inc. Licences, Club Cards and Championship documents, together with any outstanding monies etc. You will then be provided with ALL the paperwork relative to the event including Road Book, Time Cards, Competitor Bulletins and any other instructions. NOTE THE NEW LOCATION OF RALLY HQ SPECIAL NOTES Due to Military restrictions, the stage route now passes in opposite directions at J4 J6 and is very narrow, featuring immovable concrete blast walls. We recommend that (if possible) before we start on Sunday morning, crews walk along the perimeter fence to this location in order to familiarise themselves although you will not be permitted to enter the gates. PLEASE NOTE THAT AS PER J.20.5 IN CAR CAMERAS MUST BE INSTALLED BEFORE SCRUTINEERING AND A REQUEST FOR PERMISSION IS ATTACHED. THIS SHOULD BE DOWNLOADED, COMPLETED AND HANDED TO THE SCRUTINEER FOR SIGNATURE
SERVICE Please strictly observe the prohibited area inside Dalton Barracks. This is an active MoD location and so Armed Patrols will be in operation at all times. DO NOT ALLOW YOUR VISITORS OR SERVICE CREW TO WANDER INTO THE AREA OPPOSITE THE SERVICE AREA AS THIS IS A TRAINING AREA WITH HIDDEN CESS PITS AND ALIKE If you breakdown you must remain with your vehicle Refueling is be permitted in the Service Area although your attention is drawn to the need for safety precautions and your requirements and responsibilities under the Health & Safety at Work Act. THE WARMING OF TRANSMISSIONS IS ONLY PERMITTED PROVIDING THE VEHICLE IS ON AXLE STANDS, FACING YOUR SERVICE BARGE AND HAS A SUITABLE PERSON SITTING IN THE DRIVERS SEAT. Please ensure that you take your litter home with you or place it in the skip provided. PREVIOUS YEARS IT HAS TAKEN NEARLY 2 DAYS TO CLEAN UP THE VENUE AND COST OVER 500 OF THE CHARITIES MONEY TO REMOVE BUMPERS, USED TYRES, OLD BARBEQUES, BROKEN PLASTIC CHAIRS AND FUEL CANS! maovernight CAMPING (FRI & SAT) Those camping or caravanning may pitch upon arrival and as directed by the officials. Caravans and trailers must not be parked in the areas which have been specifically mowed for the comfort of those using tents. Camping, Caravanning (or sleeping in cars / vans) are prohibited from, or around, the Main Runway. Abingdon is an Operational Emergency Airfield and the runways must remain accessible outside the hours of competition. There is adequate space in the officially designated areas please use it! FACILITIES ARE AS IN A FARMERS FIELD AND YOU CANNOT RELY ON THE SUITABILITY OF WATER SUPPLIES! SLEEPING IN TRAILERS, CARAVANS OR MOTORHOMES IS NOT PERMITTED IN THE SERVICE AREA OVERNIGHT BY ORDER OF THE MoD AND ANY VEHICLES / PERSONS FOUND WILL BE REMOVED Conversely, due to Health and Safety requirements, it should be noted that Servicing will NOT be permitted in the Camping Areas. PLEASE NOTE: We feature a quiet camping area (see map) in which you are required to cease all social activities by 11pm. Additionally, generators and external lighting is prohibited. Security Patrols have been instructed to enforce these requirements rigorously. PLEASE - NO OPEN FIRES OF ANY KIND! SATURDAY ACTIVITIES Due to popular demand, the Bar and TV s will be in operation from 4pm. During and after Rally Scrutineering / Documentation there will be a Bar B Que / Hog Roast courtesy of The Friends of Stowford plus the usual licensed Bar. Evening Entertainment (Club Comedians) is planned for 9:00pm which we urge you all to enjoy. Please note that this may be adult comedy. However, viewing of the complex is available for support crews adjacent to the Service Area. YOU ARE REMINDED THAT MILITARY LOCATIONS ARE ON HIGH ALERT! All other areas are prohibited, and anyone found outside of the Service Area will be deemed as potential threats - Please advise your Service Crew etc. FUEL, TYRES, PHOTOGRAPHY & VIDEO You are reminded of your responsibility for the safe use of fuels and the removal of any containers therein. Spent fuel cans left at the venue will threaten future use. You are also requested to removal all worn or damaged tyres as last year one kind crew left a pile of 12 cases which had to be disposed of at a cost to the charities that is simply not fair. Tyre Services will be available from Slick Tyres (01142 470485) who advise that customers providing an address within the Channel Islands will receive zero rated VAT invoices. It should be noted however that any footage recorded must be for personal use and must not be used in part or full for financial gain without specific authority from the organisers. Additionally, the posting or publication on the internet of any footage recorded within the confines of Dalton Barracks may be considered as a breach of these conditions and of the Official Secrets Act applying to these locations. Appropriate action may be taken by the relevant authorities (as has been done in the past). With regard to copyright, all rights rest with the event organisers and footage must not be broadcast without specific written consent. By presenting your vehicle for Scrutiny with specific video equipment fitted you are accepting these terms in full. ABINGDON MOTORSPORT CAR-nival A Weekend of Charity Fund-Raising Motorsport CAR-NIVAL CAMPING THE RULES Whilst everyone is welcome to camp at CAR-nival between Fri 8 th and Mon 11 th June, there are one or two rules to make sure that everyone has a great time and we keep the event safe and sound. These are: DO NOT PARK, UNLOAD OR WORK ON ANY VEHICLES ON THE APPROACH ROAD TO THE MARQUEE AS THIS IS A VERY BUSY AREA AND WILL BECOME CONGESTED IF YOU DO. NO CAMPING OR CARAVANS IN THE RALLY SERVICE AREA (Otherwise the local authority will stop the event) Do not park trailers or caravans in the TENT ONLY area. Do not section off areas as this reduces the overall space available. Caravans should be parked on the hard standings at the side of the road approaching the Trailer Park (Not in the Trailer Park as this is the main entrance / exit to the Off-road event on Sunday or in the cut grass area intended for tents). Those using the Quiet Area should respect the rules (No generators, lights or noise after 11pm) - This will be enforced! All generators should be turned off by 12 midnight. NO OPEN FIRES - If you are using a barbeque then please ensure you place a fire extinguisher close to hand (it s your kit that will burn down first!). DISPOSALBLE BAR B QUES MUST NOT BE PLACED CLOSE TO TENTS Please don t be stupid last year! Do not put hot ashes in the plastic wheelie bins, even if you are Welsh! Do not empty chemical toilets in the individual units there is a special disposal unit available for these facilities. Put all rubbish in the bins and skips provided. When packing up, pack up your rubbish as well! A First Aid Post and Fire Point is located adjacent to the 5 ways junction. Respect the instructions of the Officials and Overnight Security. Remember that you are responsible for your children and a lack of supervision resulted in a serious injury last year. Water is available outside the HQ Building Other than that please treat the facilities as a Farmer s Field. NO CAMPING IN AREAS OTHER THAN THOSE SHOWN OVERLEAF, IN PARTICULAR THE MAIN RUNWAYS AHEAD OF THE SPRINT EVENT. There is a large Supermarket 500mts from the Marcham Interchange as well as 2 large Petrol Stations. The Friends of Stowford will be providing a Barbeque as usual from (4-8pm Sat and 4-7pm Sun). The Bar will be open from 4-11.30pm Sat and 4 7pm Sun) and there will be evening entertainment (club comedian) from 9:3pm. Have fun, drink sensibly and be considerate to others who may not think it so funny!
