4.6 Dismantling 13th March 2019 04.15 pm - 06.00 pm Please inform you staff about the dismantling time. It s forbidden to dismantle the booth before 04.15 pm! If you have you own booth builder who need more time for dismantling please ask for permission (sarah.kahl@bme.de) until 12 th February 2019. In the case the authorization is granted, the dismantling has to be finished at the latest by 11.00 pm on 13 th March 2019 not later. 4.7 Collection / Pick up 13th March 2019 04.30 pm - 06.00 pm for parcel services 04.30 pm - 08.00 pm for own booth builders Pick-Up on 14th March 2019 is not possible! 5. Arrival and Parking Facilities 5.1 Arrival Arrival: www.maritim.de/de/hotels/deutschland/hotel-duesseldorf/lage-anfahrt For position and arrivel please have a look into Form E logistic. The Maritim Hotel is perfectly integrated with the infrastructure at the Düsseldorf airport. A pedestrian bridge connects the hotel with Terminal C, and the hotel is just as conveniently linked to the autobahns A 44, A 52 and A 3 and to the Trade Fair. The inner city is just a few S-Bahn stations away. The main railway station is connected by the Route S11. Distance to Duesseldorf airport: 0.1 km Distance to main railway station: 7 km Distance to motorway A44: 0.2 km Distance to Koenigsallee: 7 km Distance to the ESPRIT-Arena: 4.5 km Distance to the Airport City: 0.1 km Distance to ICE railway station airport: 0.5 km Distance to trade fair centre: 4.5 km Distance to the old city: 7 km Leave the motorway A44 at exit "Dusseldorf Flughafen". Follow signs "Arrivals" and then "Airport City". The Maritim Hotel Dusseldorf is now directly in front of you. Follow signs "Arrivals" and then "Airport City". The Maritim Underground Car Park is located directly below the Maritim Hotel Duesseldorf. You will find there 470 parking spaces. If this underground Car Park should be full, you can use the Multistorey Car Park P8 (1,857 parking spaces). All information is supplied without liability! 6. Exclusion of Liability Please notice that the BME will not be liable for any belongings (lost and damage) of exhibitors/partners or any personal belongings of their employees neither in public areas, in lecture/workshop/round table/solution forum/s nor in store-rooms within or outside the hotel. Security Advise For lost or damage of clothing, bags or any other items in the wardrobe against payment and check the operator of the wardrobe is liable. In case of loss of valuables, jewelry, mobile phones, other items made of precious metal, cash or other instruments of payments, commercial papers, any kind of other documents, tickets, keys or any other item the BME is not liable at all. Please take care of your personal belongings and of the belongings of your company. p a g e 4

7. Promotion outside of booth and promotions within the booth Promotion outside of your booth is only allowed with written permission from BME Marketing GmbH. These are limited and liable to pay costs (2.000,- for 1 day and 3.500,- for 2 days plus VAT). Please contact Ms Ilka Schaper (ilka.schaper@bme.de) if you are interested in promotion. Examples for promotion outside of your booth: Active spread/display of flyers, presents or similar things outside of your booth or outside of the general brochure table Promotion inside of your booth is also only allowed with written permission from BME Marketing GmbH. These are also liable to pay costs (1.500,- for 1 day and 2.500,- for 2 days plus VAT ). Please contact Ms Ilka Schaper (ilka.schaper@bme.de) if you are interested in promotion. Examples for promotion inside of your booth: Sweepstakes, wheel of fortune entertainment active offering of food/beverage If you will go ahead with any promotion without permission of the BME, the BME will reserve the right to stop this promotion immediately and if necessary to place in account. Please inform your staff onsite the congress. Please note that the hotel maybe will charge the extra offer of food/beverage. 8. Food & Beverage within the booked booth and The contribution of any kind food & beverage as well as other services by the sponsor in the hotel, which are normally part of the scope of service of the hotel is only permitted by the BME. The hotel has the right to charge the offer of extra food/beverage. Please notice also point 7 Promotion outside of booth and within the booked booth area! 9. Waste Disposal During construction and dismantling several cage pallets will be placed within the, which could be used by the exhibitor for waste disposal. Each booth will receive on loan one (1) waste-paper basket (capacity approx.14 liters) free of charge. 10. Store Room Packing or consumable materials in small quantity could be stored in a separate room (from Monday evening, 11 th March 2019 to Wednesday afternoon, 13 th March 2019 04.30 pm). The store-room can only be entered accompanied by an employee of the BME. The material will be stored in room,,malta. The same as 2018. Please notice also topic point 6 Exclusion of Liability! 11. Security The will be guarded by security during the following hours: Monday, 11 th March 2019 10.00 pm to Tuesday, 12 th March 2019 08.00 am Tuesday, 12 th March 2019 06.30 pm to Wednesday, 12 th March 2019 08.00 am Please note also topic point 6 Exclusion of Liability! p a g e 5

12. Sub Exhibitors Please note that any sub exhibitor, who is not registered already before the congress and who will be present with displays or any other kind of marketing or advertising tools on the booth of the main exhibitor, will be charged! Price for each sub exhibitor: 2.500,- plus VAT 13. List of Participants You will get the list of participants as an excel- and PDF-file on 26 th February 2019. The list of participants is only valid for internal use of the sponsor and it is not allowed to pass it forward to third parties. Onsite the congress each sponsor will receive one (1) list of participants including first and last names as hard copy! Approx. two (2) weeks after the event we will send you an updated version including also first and last names. Contact with the participants before the congress is forbidden neither by e-mail, phone, fax nor by post. 14. Admission tickets You will receive the admission tickets onsite the congress. They will not be sent to you before the congress! To guarantee the access to and the exhibitor get together on 11 th March 2019 the employees of sponsors who are already onsite can receive their admission tickets already during the Pre- Check-In. Pre-Check-In: 11 th March 2019 from 04.00 pm to 08.00 pm. Before 04.00 PM they do not need an admission ticket. 15. Visitors of the exhibition without access to the lectures and workshops The visitors of the exhibition do not have access to the lectures and workshops. The tickets are only valid for customers of the sponsor from purchase department, neither for employees of any sponsor or any other provider or consultant. Admission as a visitor made by the BME before the event and is valid only with the prior approval of the BME. The BME reserves the right to exclude the visitor from the event or to charge the regular admission fee (beginning with 695,- to 1.995,-, all prices are net) for attendees published in the brochure. p a g e 6

Decoration 16. Decoration Damage Insurance All materials must comply with the fire regulations. The use of adhesives, adhesive tape, furniture stitches, nails, screws, etc. for attaching materials to walls, ceiling or floor surfaces is prohibited. The pasting, painting, spraying and any other damage to the walls, ceilings and floors is not permitted. Damage / Insurance The exhibitor is liable for all damages occurred by him. Should cause damage, they are reported immediately to the organizer who will forward them to the hotel. The hotel/organizer shall only be liable for lost or damaged items and other damages only if the loss or damage was demonstrably caused by the hotel/organizer. Damage to facilities, premises, technical equipment and other objects must be reported immediately. It is to pay attention to safety closure, on assurance of personal property as well as the exhibitor s equipment. The hotel and the organiser are not liable for any damage or insurance! 17. Advertising for other events Any advertising for events that coincide with the 10th BME-eSolution Days 2019 and are not supported by the BME is not permitted. 18. 21. Note to the workshops The number of participants of the workshops is limited. The participation is possible only after previous registration until 12 th February 2019 and after prior confirmation by the BME! Registration onsite the event for workshops are possible only if there are places available and registered persons do not appear. The decision shall take the workshop leaders shortly before the beginning of the workshops in front of the workshop room. 22.
