Destination NSW Focus On India Prospectus Workshop & Dinner 12 March 2019
Event Overview Focus On India 2019 will take place in New South Wales (NSW) from Sunday, 10 March 2019 to Saturday, 16 March 2019. Tourism suppliers from NSW are invited to attend a one-day workshop held in Sydney on Tuesday, 12 March 2019 to meet with 30 key Indian travel agents. The structured workshop will include one-on-one appointments with Indian agents, followed by further networking at a dinner event. The Indian agents will also attend a pre-workshop familiarisation program in Sydney and a post-workshop familiarisation program in Regional NSW. Focus On India is designed to showcase Sydney and NSW products and destinations to key Indian trade partners. Ultimately, the event is designed to increase overnight visitor expenditure to NSW. Market Profile India is NSW s seventh largest inbound tourism market. Visitor arrival figures from Tourism Research Australia (TRA) for the year ended (YE) June 2018 indicate NSW received 158,400 overnight visitors from India - up by 17.7% on YE June 2017. Visitors from India spent nearly 6.3 million nights in NSW - up by 16.1% on YE June 2017 and contributed 6.6% of visitor nights in the State. Indian overnight visitors spent $343 million in NSW down by 2.1% on YE June 2017 and on average, visitors spent $2,166 and $55 per night in the State. Destination NSW (DNSW) will continue to showcase the strengths of NSW as a destination in cooperation with industry partners, as well as highlighting the welcoming and multi-cultural elements that make NSW an ideal place for Indian visitors. DNSW has an office in Mumbai and works closely with its industry partners to promote NSW as one of the world's premier tourism and major events destinations. Event Objectives The objective of the Workshop is to grow overnight visitor expenditure in NSW by: Increasing destination and product awareness Raising the profile of NSW tourism suppliers Growing business opportunities for NSW tourism suppliers with key trade partners Establishing and strengthening travel industry relationships with product Creating opportunities for NSW tourism suppliers to contract with relevant Indian key partners Educating agents on Sydney and NSW tourism products via familiarisation and workshop programs. 2
Event Participation With a maximum of 30 registrations available, preference will be given to NSW tourism suppliers who meet the eligibility criteria. New tourism suppliers who are export-ready are strongly encouraged to apply. Each applicant must demonstrate how they meet the criteria in their application. In order to showcase the depth and diversity of NSW tourism products and to maintain and stimulate interest in the destination, DNSW reserves the right to determine final participation. The cost of participation covers every element of the event, and there will be no pro-rata discount for partial attendance. If the number of NSW tourism suppliers meeting the selection criteria exceeds the maximum number of registrants for the event, DNSW has the right to apply a 'first in first served' limit based on the date and time the application is submitted, prior to the registration deadline. Eligibility criteria: Suppliers must be an export-ready tourism product (for e.g. accommodation, visitor attraction, tour/activity provider or tourism transport) and paying commissions Availability of relevant nett rates for your product/s or service Suitability of export-ready product/s for the Indian market Availability of export-ready product/s in the Indian market, appropriate booking facilities or distribution via an Inbound Tour Operator (ITO) or international wholesale program Evidence of your product/s or service as internationally active in the Indian market which may include one or more of the following in the past three years: o Attendance at one or more trade event/s held in Australia or internationally o Involvement with the DNSW Trade Famil Program o Demonstrated international marketing and promotional activities including advertising in trade/consumer promotions o Marketing product collateral relevant to the Indian market (therefore, brochure, factsheet, online collateral) Tourism suppliers representing destinations other than NSW will be requested not to promote those products or services Attending Destination Networks must be representing a range of export-ready product/s type (minimum of six products) in the region suitable to the market that are not represented at the event. Destination Networks may not use Destination NSW operational funding to attend the event. Therefore, the participation fee and travel costs must be met by local operators or other revenue sources Tourism suppliers must be represented by an Australian-based representative therefore preference will be given to those utilising an Australia-based representative to attend Tourism suppliers must have public liability insurance to a minimum of $20,000,000 Tourism Suppliers should have an up to date, live listing on sydney.com or visitnsw.com Inbound Tour Operators are not eligible to attend the event Tourism suppliers must have no outstanding debts with DNSW Tourism suppliers must ensure receipt of requested materials and payment by deadline dates. 3
Participation Package Participant cost for a NSW tourism supplier is $1,800 (inclusive of GST) per person. A maximum of two delegates from the same company will be accepted. If successful, the following will be offered for one delegate: Attendance at the full-day workshop and dinner function on Tuesday, 12 March 2019 Welcome pack including Indian market intelligence, name badge, uniform and a manual outlining the attending Indian agents details Inclusion in the NSW tourism product supplier directory which is provided to all attending agents Market briefing hosted by DNSW (if required) in Sydney office Meals as indicated in the program. There is no pro-rata discount if an element of the event program is not undertaken by you. The participation package excludes the following: Meals and beverages not outlined in the program Accommodation Access to equipment such as Internet, email, printers, scanners, photocopiers, stationery etc. Transport to/from the event locations Travel insurance Other personal incidentals. Payment Upon confirmation of participation in the Roadshow, tourism suppliers will be issued with an invoice of AUD $1800 (inclusive of GST) or $3600 for two delegates (inclusive of GST). Tourism suppliers will be required to adhere to the terms and conditions stated on the invoice. Please make note of the cancellation policy in this prospectus; fees may apply in the event of late payment or cancellation. This event will consist of a minimum of 20 and maximum of 30 suitable NSW tourism suppliers. Should the minimum number not be reached, the event may not proceed and this decision will be made at the discretion of DNSW. The decision will be made by Tuesday, 11 December 2018 and all registered applicants will be advised. For cancellations received on or before: Monday, 28 January 2019 5pm (Sydney time) refund of total fee AUD$1800. For cancellations received after: Monday, 28 January 2019 5pm (Sydney time) no refund will be provided. Key Dates and Deadlines Please take note of the key dates and deadlines outlined below. Adherence to these deadlines will assist you in planning your participation in the event. Applications open 23 November 2018 Applications close 7 December 2018 Acceptances advised 11 December 2018 Signed confirmation of your participation required 18 December 2018 Invoices issued 28 January 2019 Cancellation fees applicable from 28 January 2019 Final payment due 28 February 2019 Workshop Format The workshop is a one-day event followed by a dinner function at a separate venue. NSW tourism suppliers will meet with the agents in one-on-one table top appointments. The venues for the workshop and dinner function will be confirmed shortly. NSW Familiarisation Program The event will incorporate a one-day Sydney and a three-day NSW familiarisation program. Where possible, preference for inclusion in the NSW familiarisation program will be given to participating NSW tourism suppliers. NSW tourism suppliers will need to offer free-of-charge or discounted industry rates to DNSW to be included in the familiarisation program. The final familiarisation itinerary and NSW tourism product inclusions will be at the discretion of DNSW. Freight and Collateral Participants will receive a NSW tourism supplier directory. This directory will be distributed to all agents and will contain tourism suppliers product information. The directory is invaluable during the event. It reduces the need for tourism suppliers to bring hardcopy brochures and it serves as a reference tool for wholesalers and agents after the event. Contact details, a company logo, one product image and a company biography will be included for each tourism supplier. You will be required to upload your company logo, one product image (hi res.jpg or.eps file format) and a 250-word biography during the application process. It is suggested that you bring a minimum of 30 brochures to distribute during the workshop. USB/memory keys are a common form of information distribution and are welcomed by the travel trade. We also recommend you bring 30 business cards. 5
Theming and Giveaways The workshop venue will be themed with DNSW branding. Each NSW tourism supplier will have a small area to theme. These items can include an ipad/tablet, small table-top brochure rack, tent-card or laptop plus table decor. Pop-up banners are also allowed (pending space available). You are welcome to provide small giveaways (approximately 30). Prizes NSW tourism suppliers are encouraged to donate prizes and offer complimentary accommodation, tours, attractions so that the prize winners can experience your product. DNSW will source and supply return airline tickets. The prize package will be drawn at the dinner function on Tuesday 12 March 2019. If you would like to donate prizes, please outline your offer during the application process and advise of any applicable terms and conditions. You will also need to supply a voucher for the prize to DNSW prior to the dinner. Insurance All participants are responsible for any personal travel/accommodation, health insurance, public and product liability insurance, workers compensation and property insurance coverage for the event. DNSW does not accept responsibility or liability for any loss suffered by participants; does not provide or arrange any insurance for or on behalf of participants, and does not provide any indemnity for loss or injury suffered by participants. Terms and Conditions Terms and Conditions apply to participate in the DNSW Focus On India event. These are outlined during the application process and NSW tourism suppliers are asked to sign indemnity forms on acceptance of their place in the Workshop. Draft Program Sunday, 10 March 2019 Agents from India arrive in Sydney. Monday, 11 March 2019 Agents attend a full-day Sydney familiarisation program. Tuesday, 12 March 2019 AM/PM - One-On-One appointments at workshop PM - Dinner function for agents and participating NSW tourism suppliers Wednesday, 13 March Friday 15 March 2019 Agents transfer to Regional NSW for the familiarisation program. Agents return to Sydney on the evening of Friday, 15 March for a final group dinner. Saturday, 16 March 2019 Agents free time and departure (pending return flight times). 6
