Welcome and introductions The Regional Chairman, David Coombes welcomed all to the meeting and thanked TG for hosting the meeting, once again. 2. Notes of last meeting 7 th September, 2015 at Bridgwater Notes of the last meeting were agreed and Action Points reviewed. 3. Matters arising from previous meeting TW reported that due to unforseen circumstances he had been unable to attend the last RAG Meeting. To date he had not received any minutes of notes from Corby and so agreed to follow up with Allison Glandfield and circulate them to the committee. Action TW DC on behalf of the committee requested that TW become the permanent representative for SW Region on RAG, to which TW agreed. Action TW DC reported he had not been able to attend the last NRCC, but that he would follow up to obtain the minutes and circulate them to the committee. Action DC PM reported that Corby were close to finalising revisions to Event Forms and Handbooks and that they will be issued shortly. All other matters were covered under the present agenda items. 4. Event planning for the 2015 season PM reported that the Regional event calendar had been circulated to members. DC reported that he had received emails of thanks from members for their copy of the Calendar. PM agreed to contact Stephanie to obtain a stock of SW Region Event Programmes. DC commended the efforts of the Committee and RO in increasing attendance at SW Events and PM suggested that future publications include a brief narrative to support each event. 1 September - Royal Geographic Society. PM advised that a 50 years membership certificate presented at the event to retired member Ray Armstrong, had been publicised in the local media. 15 September Bikespace. PM advised that 12 members attended the event. 24 September Hinkley Point. PM advised that 14 members attended the event in spite of a late change of venue. 14 October - Bristol Green Capital. BP advised that this will be deferred to a date in February or March. 20 October Jim Steer. Joint Lecture with the Universities of West of England and Plymouth. PM reported that there were over 100 attendees of which 20 were members. A clip of Jim s lecture is available on You Tube. 11 November James Freeman. BP has secured JF s agreement to speak and the new venue will be the Mercure Hotel. 26 people have registered for this event but DC expressed concern that it has not been publisied in Focus and PM reported that he had followed up with Stephanie regarding the omission. DC asked BP to arrange a suitable gift for JF in thanks for his contribution. & PM 17 November St Austell Brewery. GL observed that the host is very keen to secure a strong level of support for this visit, especially from those in the food logistics industry and that thus far 8 members had booked. GL is in touch with Ana Walker, Forums Administrator. Action GL New Event 1 December Inst of Civil Engineers Xmas Lecture at Bristol University Queens Building. This is a late request from InstCE, but the committee agreed to publicise the event to members. BP agreed to coordinate our efforts. New Event - 14 December UWE Winter Conference. BP has prepared the event form and sent it to Corby. 13 January Sue Morley. DC has secured SM to speak on new customs regulations, and organised with the Mercure Hotel to provide the venue for 120. TG requested this be billed directly to CILT at Corby. Action DC 19 January Simon Eagle. GL advised that this event is all organised and will be jointly sponsored by CIPS. 3 February - Morrisons RDC at Bridgwater. PM reported that Morrisons had requested we make a contribution to their charity, which as a charity ourselves is not possible, therefore members will be invited to contribute as individuals. 10 February Sustrans. Venue needs to be agreed, probably the Mercure Hotel. CILT SWR Committee 9 th November 2015 Notes Page 2
11 February GWR MD Mark Hopwood. Joint universities lecture. Arrangements in place, but event form needs to be prepared. Action GL New Event 3 March Dissertation Showcase with UWE. This event will include CILT Prizewinners (prizes from CILT Corby). PM to coordinate. 9 March - Box Tunnel. BP to press Mike Gallop for a response on this talk and speaker. 15 March Visit to Flybe, Exeter. Attendance is restricted in number, Passports will be needed airside for the Flybe event. GL coordinating. Action GL (13 April-Cotswold Airfield) BP is to make further contact with the manager, but the meeting felt that this might be a more appropriate visit for a Saturday later in the year. If this is the case, the Sustrans speaker (see 14 Oct) could be offered this date. 19 April First South West MD, Alex Carter. PM reported that the event form needs to be prepared and the meeting booked. 11 May - Howard Tenens visit to Sharpness and Dock. PM reported that this event, held over from last year, has now been arranged. 17 May - Gregory Transport. GL confirmed that this visit is arranged. 30 June - RTPI/CILT conference in Plymouth. PB is pulling together suitable speakers. Action PB 12 July - Exe Estuary Trail. GL confirmed arrangements for this event are in hand. TBC Cotswold Airport BP reported that he was still trying to arrange this event with Cotswold Airport. PM suggested that we also seek support from WM Region. 5. Report from Regional Officer PM reported that CILT now have a new CEO, Kevin Richardson ex-norbert Dentressangle (XPO) and will meet him at the December RO Meeting. PM reported that he had met the new Marketing Manager, Prue Butterworth and was very impressed by her enthusiasm and knowledge. He expects improvements to the CILT web-site and marketing materials to result from her appointment. PM reported he had met with UWE recently and will meet PLY Uni soon to encourage Student Membership. PM reported he had met Nadine Evans of IOM who was looking for support for IOM Members in the Region. DC reported that he had not had much success in opening communications with IOM via Corby. TW reported he had met Peter Karran FIOM and member of the IOM Steering Committee, he agreed to approach PK to open a dialogue with IOM. Action TW PM reminded the committee that the 2016 European Supply Chain Day is planned for 21 April, 2016. DC and BP agreed to develop ideas for a CILT SW Region Programme. 6. Policy matters BP reported on the Public Policies Committee, held on 8 th September, where progess had been made on theme Scenarios and Social Factors, the Bus Bill, National Investment Commission and the EU Referendum. BP reported that CILT had been represented at all major Political Party Conferences. TW suggested that CILT should give consideration to a position regarding the problems occuring at the Dover-Calais crossing as this was having a major impact on flows of people and goods to/from the Continent. BP agreed to raise the issue at the next PPC Meeting. PM reported reported on communications with the Office of the Mayor of London regarding connectivity from the Region via LHR. 7. Financial matters TG reported attending a Treasurers workshop at Corby on 8 th September. TG reported that the Region s budget for next year is 3,500, however we had underspent this year by 3,000 and it is recommended that we take steps to make more active use of these funds to promote CILT in the Region. TG suggested that we dedicate time on the agenda of our next committee meeting to brain-storm ideas how best to do that. TG asked that wherever possible any Regional expenses (i.e. hotel charges for events) be billed directly to CILT Corby. TG reported that Kim had now left Webber Buses and that her role had been replaced by Ian Ashurst (ian.ashurst@webberbus.com) TG asked that he be informed of any outstanding expenses. 8. Local Enterprise Partnerships PM reported attending the Heart of the SW LEP on 10 th September where he met the new MD of Stagecoach SW and circulated details of the Hinkley Point event to LEP members 9. Young Professionals and committee vacancies DC asked if we can look at our own business networks to propose a possible candidate for the committee Young Professional vacancy. DC commented that he was pleased to see the committee strongly supported and proposed formalising individual roles as follows: BP Policy and Bristol (although he will need to retire from the Bristol role within the nest year) GL Devon & Cornwall TG Treasurer TW - RAG CILT SWR Committee 9 th November 2015 Notes Page 4
It was agreed that the comprehensive events programme planned for 2015/16 provides a good platform to recruit members onto the committee, particularly those from a logistics background and Young Professionals. Action: All event champions. 10.
