The conference is designed to facilitate extensive networking and provide examples of leading practice. The ACLA Conference has a history of strong support across the country. The Awards Dinner is an impressive night with the in-house community joining together to celebrate excellence in the profession. SPONSORSHIP AND EXHIBITION GUIDELINES Please sign and return with your application to confirm your acceptance of these guidelines. Sponsors and exhibitors participate on the understanding that: 1. By returning the signed Sponsorship Agreement ( Agreement ), you agree to be a non-exclusive Sponsor of the Australian Corporate Lawyers Association ( ACLA ) National Conference and/or Awards Dinner being held at Wrest Point, Hobart from 27-29 November 2013 on the following terms and conditions set out below. 2. Upon receipt of your signed Agreement together with payment of the deposit, acknowledgment of receipt will be sent in writing with a Tax Invoice. 3. You agree to pay: a. a deposit equal to the amount of 50% of the total amount payable; and a. the balance of the total amount payable by 30 October 2013. 4. Sponsorship entitlements will not commence until the deposit has been paid. 5. The deposit paid is non-refundable. 6. No cancellations will be accepted if requests are received by ACLA and/or Conference Works (the Conference Organiser ) after 30 October. Sponsors will be liable for the total amount payable if written requests are not received prior to that date. 7. Cheques are to be made payable to Australian Corporate Lawyers Association and are to be payable in Australian dollars. 8. EFT Payments should be made to Australian Corporate Lawyers Association, the details will be provided on the invoice. 9. All amounts stipulated in this Agreement include a 10% goods and services tax (GST). ABN 32 003 901 657. 10. Please note that your requested category of sponsorship may have a limit to the number of sponsors as specified in the attached documentation. Applications will be processed strictly in order of receipt of application form and deposit. The Conference Organiser will notify you if you are unable to participate in your requested category. 11. Exhibition space is not negotiable. The purchase of additional booths in any sponsorship category to create a larger space is not permitted. Exhibition booths in any category cannot be amalgamated and are to remain as separate spaces. 12. Sponsorship and exhibition monies will facilitate the successful planning and promotion of the conference in addition to subsidising the costs of management, communication, invited speakers, programs, publications, etc. Sponsorship exposure and acknowledgement is facilitated by the credits in the conference program. Sponsorship monies are not expended on any entertainment incurred which is incidental to the activities of the conference. 13. Should Sponsors and Exhibitors wish to purchase additional delegate registrations (not included in the sponsorship package), the appropriate registration must be completed with payment of the applicable registration fee. 14. The Conference Organisers may at their discretion use your logo, symbol, trade mark or registered mark in acknowledging your sponsorship in the conference literature where this is offered as part of your particular sponsorship package and no payment shall be made to you for such use. You will be responsible for forwarding your logo, symbol, trademark or registered mark by the deadline. We request that all logos be supplied in an EPS and JPEG format. Should an alternative format be received, the Conference Organiser cannot be held responsible for the quality of the logo displayed in any of the promotional material. 15. Provision of banners and any other promotional material is the responsibility of the sponsor. 16. Colour reproductions will be printed as close to the specified colour as practicable. 17. The conference logo is available for sponsors and exhibitors to use in their own promotions. However, all use must follow the strict guidelines as set by the Conference Organiser and is subject to approval. 18. A sponsorship and exhibition kit will be provided to all sponsors. The schedule will cover details relating to sponsorship entitlements, deadlines for receipt of advertising materials, information on available catering, audio/ visual requirements, preferred suppliers and general information. 19. Should the exhibition floor plan require expansion or retraction, the organisers have the right to make the necessary changes. We note that furniture, extra lighting and power are to be ordered from the exhibition contractor. 20. Credit card payments will attract a 2% fee. 21. Privacy Legislation - due to privacy legislation, the Conference Organiser cannot guarantee the inclusion of all participants names on the delegate list. 22. Participation in the Exhibition does not imply any endorsement or approval by ACLA. ACLA takes no responsibility in relation to the displays, products, representations or promotional material of the participants. ACLA has not assessed, endorsed or approved any display, product, representation or promotional material. 23. Nothing contained in this Agreement will be deemed to constitute a partnership, joint venture or agency relationship between you and ACLA and/or the Conference Organisers and you must not do anything where you will in any way be represented that you are a partner of the ACLA National Conference and/or the Conference Organiser. 24. The Exhibit company, ACLA and the Conference Organiser (Conference Works) will be indemnified and held harmless in respect of all costs, claims, demands and expenses to which they may be subject as a result of loss, injury, damage arising to any person or equipment during the duration of the exhibition, including set up and dismantle times. Please therefore ensure that your insurance will cover your involvement in this exhibition. 25. The Conference Organiser will not be under any responsibility or liability whatsoever for damages to exhibits by loss, damage, theft, water, storms, strikes, riots or any other cause whatsoever and it shall be a pre-condition of this Agreement that the Exhibitor arrange their own insurance of the exhibit to cover loss or damage by any of the above mentioned means. The Conference Organiser will also be entitled (but not obliged) to inspect such policy prior to the Exhibitor entering the Exhibition. 26. The Exhibitor will be liable for any damages to the venue in which they exhibit and shall not damage, paint or otherwise alter any floors, wall or other fabrics. 27. The Exhibitor shall take out a Third Party Policy with a reputable insurer containing public liability cover.
