IronOaksTennis Club (IOTC) Board Meeting Minutes: October15, 2012 2:30PM - Oakwood Lounge In ttendance: OFFICERS: Rick Kenny, Dick Harrold, Vivian Guimond, Jerry Rex CHIRPERSONS: Judy Gahide, Ted Miles VISITORS: None Previous minutes: The minutes of September 10, 2012 were approved as written. REPORTS (=ction items) PRESIDENT - Rick Kenny Racquet Committee Report n ad hoc committee was formed to review pickleball in our HO community. There will be representatives from several areas, such as master planning, finance and facilities. Sound barriers for Pickleball courts 1 & 2 are being studied. new reservation system continues to be researched. Review of Events - three month outlook Events for the next three months were identified and planning stages have begun. VICE PRESIDENT - Dick Harrold Communications Update D Harrold reported an increase in IOTC WEB activity soon after the clay Court Tournament, but a decrease in the past week. Publication Review Carol Mellinger has begun as contributor to the Splash starting with the November issue. The article included a "Save the Date" piece about our Holiday

Dance on Friday, December 14, 2012. It also included information about our Nov 3rd Garage Sale. D Harrold will send an email blast midweek prior to the event to encourage members to donate and participate. SECRETRY - Vivian Guimond Communications received (SB &Web) One comment card was received about landscaping being done during Prime Time, causing unhealthy dust and disturbing noise. The card was submitted to Heide Gilbert who informed Maintenance to not trim Tuesdays and Fridays and never before noon. Membership Review Early annual renewals began on September 13 & 14 using the new IOTC member information forms. Enrollments after those dates have produced sporadic completion of the new forms by members, resulting in an incomplete census by IOTC. Heide Gilbert will submit the total member count until V Guimond can meet with personnel at the IronOaks Tennis and Fitness Center to verify the renewals. D Harrold will send an email blast to the members to remind them of the new form that needs to be completed. Per Heide Gilbert, the total membership at this time is 219. This includes six new members and one returning member. dding the two honorary members brings the total to 221. The count increases daily as returning part-time residents continue to enroll. Monthly Certificates of ppreciation (CO) Review There were two new CO's received to add to the log. Perspective future recipients were targeted and board members volunteered the dispersion of more certificates. TENNIS PLY DIRECTOR - Jerry Rex Tournament results The UST Southwest Clay Court Slam Event was successfully executed. The IOTC has decided not to host it next season due to the time of year and the limited resources for volunteers. There were 4 cases of all-purpose balls left over and it was decided that theses would be used for future socials and tournaments.

Review of upcoming play (tournaments, socials, mixers) The Sun Lakes Mixer, IronOaks vs Cottonwood, will be hosted by the IOTC on October 20,2012. Jerry Rex, Bob Walk from Cottonwood, and Heide Gilbert have jointly scheduled the pairings. The next three events - Mixed Club Championships (November 12-17), Sun Lakes Mixer (Sun Lakes CC @ IronOaks on December 1), and the Singles Club Championships ( December 10-15) are being planned. EX OFFICIO MEMBER - Greg Mather new suggestion box was made and donated by Greg Mather. COMMITTEE REPORTS UNFINISHED BUSINESS Membership - Judy Gahide Three new items were added to the new member packet - a welcome letter from the IOTC President, tennis ball machine instructions, and information about guest passes. Facilities - Ted Miles The IronOaks HO has made a decision not to paint the clay court fencing at this time. The awning between Courts one and two is ripped. The clay court watering system is in poor condition. The two ball machines were repaired. request for a new ball machine has been put on the 2013 budget. The final decision for approval will be made by the IronOaks HO Board. Identifying Event Chairman - next 6 events ( through December) tournament chair is needed for each of the upcoming Club Championships - Mixed Doubles and Singles and for the December 1st Sun Lakes Mixer. Recommendations of potential members were made. J Rex will follow up with the recommendations. Food & Beverage Chairs have been identified. Continuation of December 31st New Year's Eve Social It was decided that since the New Year's Eve Round Robin is scheduled on the IOTC calendar brochure that a sign-up will be posted. If the response is not significant, it will be cancelled and not included in next year's events. It was also decided that Heide Gilbert will chair this event. R Kenny will inform H Gilbert of this decision.

Shirt and towel sale review Ten IOTC logo Competitor Tees were sold at the USTSW Clay tournament, leaving an inventory of eight shirts. Five IOTC logo towels were also sold leaving a towel inventory of eleven. There is an IOTC logo tote bag inventory of 140. Update -HO ctivities Open House on October 20, 2012 - IOTC Support V Guimond met with Heide to plan the event. The following items will be at the table: 1) a poster displaying tennis activities and an aerial photo of the tennis center 2) handouts, such as a flyer encouraging FREE use of the courts by all IOHO residents and a flyer promoting IOTC membership 3) calendar brochures and information about tennis rates 4) sign-up sheet for a free lesson with Heide 5) promotional flyers for Nov 3rd Garage sale and Tennis/Fitness Open House which includes a Food Drive. V Guimond and D Harrold will help H Gilbert host this event. Holiday Dance - Friday, December 14 - update Targeted action dates are: 1) Monday, October 29 - an email blast by D Harrold to remind members about the date and sign-up period 2) Thursday, November 1 - Signage and flyers by B Carr and V Guimond to advertise details of sign-up 3) Thursday, November 1 - Guest sign-up book for tables by B Carr and V Guimond Update - Tournament Board J Rex presented a proposal to create a new tournament board made of cork on one side and magnetic board o the other side. There was a motion by Dick Harrold that Jerry Rex design and build a new tournament board not to exceed $250.00. It was unanimously passed. Updating/Replacing Championship Plaques Tabled until next meeting. NEW BUSINESS Meeting dates - next six months ll IOTC board meetings for the next six months will be held on the second Monday of the month at 2:30pm in the Ocotillo Room except for January. Due to a conflict, the

January meeting will be held on the first Monday. V Guimond will confirm the place and time for this meeting. Volunteer Recognition Tabled until the next meeting Clothing sale for charity at Sun Lakes Mixer - October 20,2012 It was decided that Heide Gilbert continue her established clothing sale for charity and that she present the check to charity and not add it to the IOTC treasury for distribution.
