The 1st General Assembly of the Association of African AviationTraining Organization (AATO) (Zanzibar, United Republic of Tanzania 1 3 October 2014) 1. VENUE OF THE MEETING: GENERAL INFORMATION FOR DELEGATES At the kind invitation of the Tanzanian Government, the general assembly of African Aviation Training Organisation (AATO) will be held in Zanzibar, United Republic of Tanzania from 1 to 3 October 2014 at the Zanzibar Beach Resort. MEETING ARRANGEMENTS: 2.1. The Assembly will commence on Wednesday 1 October 2014 at 9:00 am. The working hours will be from 8:30am to 17:00 with a break from 13:00 pm to 14:00 pm for lunch and short coffee breaks in the morning and the afternoon. A detailed programme is attached. 2.2. Working Languages: The proceedings of the Meeting will be conducted in English and French, with simultaneous interpretation services provided in the two languages. 2.3. Registration of Participants: Online registration is available at www.tcaa.go.tz. Based on the duly completed preregistration forms received by the organizers, name badges will be issued on site. Delegates will be required to reconfirm their registration at the registration desk at the conference venue from 8:00 am. 3. CLIMATE Zanzibar, (54 feet AMSL) and being near to the equator (06 13 29.61 S 039.63 E), is warm all year around, but officially, summer and winter peak in December and June respectively. Experiences ideal holiday weather for most of the year. October (is onset of short rain season) has mean maximum temperature of 31 degrees centigrade and mean minimum temperature of 21 degrees centigrade and the general weather is partly 1

cloudy with sunny periods. The summer heat is seasonally often cooled-off by windy conditions, resulting in pleasant sea breezes, particularly on the North and East coasts. Local Time Zanzibar local time is GMT+3 4. ENTRY FORMALITIES: 4.1. Participants should obtain their visa from Tanzanian Immigration in their respective countries. Where there are no Tanzanian Immigration, participants could obtain their visas from the nearest Tanzanian Immigration accredited to their countries. Participants travelling from outside the countries where there are no diplomatic missions or consular representative of the Government of Tanzania, are requested to communicate by e-mail or fax to the Secretariat, details of their names, dates of birth, nationality and passport numbers at least one week before their departure to arrange for the issuance of entry visas on their arrival at the airport in Dar es salaam. Visa fees are charged approximately $ 50 depending on the nationality and type of passport. For entry into the United Republic of Tanzania, inoculation against yellow fever and cholera are usually required on arrival. RECEPTION AT ZANZIBAR INTERNATIONAL AIRPORT AND LOCAL TRANSPORTATION OF DELEGATES In order to assist the delegate s entry formalities at Zanzibar Airport, all participants are required to contact AATO reception desk which will be set up at the arrivals at Zanzibar Airport. Upon receipt of the completed Registration Form, transport will be arranged to meet the participants at the Zanzibar International Airport, and transfer them to their respective hotels. Shuttle buses to and from hotels and the Conference Centre, and back to the airport for departure, will also be made available. 2

6. SECURITY ARRANGEMENTS: Adequate security arrangements/provisions have been made on arrival and departure during the duration of the Plenary Session. 7. HOTEL ACCOMMODATION: 7.1. A list of centrally located hotels in Zanzibar containing Information on the special rates offered to AATO delegates is attached herewith. Participants should make their own accommodation arrangements. Please make reservations directly with the Hotel of your choice. We recommend that this be done soon as possible to avoid disappointment. 7.2. When making bookings, participants must mention they are attending the AATO- CATC Conference. 8. DOCUMENTATION DISTRIBUTION: Documentation produced during the Conference will be distributed from 7:30 to 18:00. A conference pack will be issued on registration on the first day of the conference i.e. 1 October 2014. 9. CURRENCY: The currency used in the United Republic of Tanzania is the shilling (Tsh). Major international currencies, traveller s cheques and credit cards are accepted by hotels and for other transactions. There is no limit to the amount of foreign bank notes or traveller s cheques which visitors may bring them to Tanzania. The commercial banks in the city centre, forex bureaus and hotels provide exchange facilities. Rates of exchange fluctuate and were as follow as at 1July 2014. 3

HEALTH Participants must ensure they have travel insurance (including health) from their home country for the duration of their stay in Zanzibar. A yellow fever vaccination certificate is mandatory for travellers over one year of age coming from infested areas.
