CHECK IN/OUT PROCEDURES A staff member will meet you to assist with check-in unless other arrangements are made in advance. A week prior to your retreat you will receive Check-out Procedures included with your Check-in Letter. We appreciate your cooperation with the check-out procedures as your assistance helps keep our costs and your expenses as low as possible. While at Barefoot, sports equipment etc. can be checked out of bin on the cafeteria porch. Please plan to complete final check-out procedures with a Barefoot staff member prior to departure. DEPOSIT, CANCELLATION & INVOICING Securing dates for your retreat requires a non-refundable deposit equaling 25% of the minimum guarantee or $500, whichever is greater. At 6 months out, a 2nd non-refundable deposit of 25% is due, and again at 3 months out. If no damages occur, the deposit will be credited toward your balance on the final invoice. If cancellation occurs after 90 days out, groups are obligated to pay 75% of minimum guarantee. A food count must be provided 7 days before your arrival, and final numbers from your retreat must be submitted to BRC within 24 hours after your retreat. We will invoice your group based on reservations (for food) and usage (for lodging). Please make checks payable to Barefoot Republic Camp. Payment is due in full upon receipt of invoice, and a late fee of 3% will be charged for every 10 days after invoice is issued. HEALTH & PERSONAL SAFETY Barefoot Republic Camp is a smoke-free environment. No drugs or other controlled substances are permitted. Firearms, weapons of any kind, and fireworks are prohibited. Campfires may only be built with permission of the staff in designated areas. All fires must be monitored and put out before leaving the area. Guests should be aware that the property is a nature-filled setting with inherent risks such as poison ivy, tree roots & limbs, rough terrain, mosquitoes, ticks, etc. Guests are requested to park vehicles in the gravel parking lot for the duration of their stay. Barefoot Republic Camp is not responsible for lost or stolen personal items. Medical services & supplies are not available on site. If desired, guests should provide their own currently certified CPR/First Aid personnel and medical supplies for their group. An AED and mini-fridge for medicine storage are available. Barefoot Republic Camp does not furnish camper/guest/retreat group insurance. Guests should check with their sponsoring authority regarding coverage for off-site activities. Please observe speed limits and property boundaries at the camp entrance and on the way to the lake house. CATERING Barefoot Republic Camp provides catering for our retreats. Meals are $8/person. Meal times are set at 8am, 11:30am & 5:30pm or 9am, 12:30pm & 6:30pm. Our daily menu is chosen by the chef, and each meal consists of an entree and side items. Dessert is served at lunch and dinner. Please note we need a food count 1 week ahead of your arrival. Once food is ordered, you will be charged per meal for the food count you provided. While we can not accommodate all allergies, we will do our best to meet the needs of your group. Please let us know ahead of time of those dietary needs. Those who have severe allergies are welcome to bring your own food, as we can not guarantee an allergan free kitchen. We have a microwave available in the cafeteria and a refrigerator in the staff lounge to store your food in. 2

FREQUENTLY ASKED QUESTIONS Does our group need to have individuals sign a hold harmless agreement and/or medical waiver? No. However, we do ask that if you are part of an organization, such as a church, school, etc., that you provide proof of insurance for off-site activities. Can we build a bonfire? Yes, bonfires may be scheduled in advance with our staff. Please communicate the date and time desired, and your bonfire will be prepared in designated areas. Do Barefoot Republic Camp staff live on site? No. However, our on-call staff are located at our staff house across the street. Their contact information is included in our welcome packet for groups renting the facility. What type of audio/visual equipment is available? We have a digital, 16-channel board, sound system, projector and screen available in our large group meeting space (gym) for no additional charge. We also have a small, portable PA that is available at no charge. What are best places to stop between Nashville and Barefoot Republic Camp for fuel and meals? We recommend stopping for fuel off of exit #2 or exit #6 right after you enter Kentucky. These exits have the cheapest fuel. Exit #2 has a Walmart, Cracker Barrel, Zaxby s and Burger King. Exit #6 has a Wendy s and Subway. Alternately, you may take Hwy 31 through Gallatin. Chick-fil-A, Starbucks and grocery stores are available along this route. We also recommend grabbing a meal in Scottsville on the way to the camp. Earl G. Dumplins is our favorite spot along the way. Or, you can always stop at Pizza Hut, Taco Bell, Subway, Rey San Jose, Dairy Queen or Las Mariachas. Do you have paintball equipment? Yes, we own Tippmann 98 paint ball guns. These are available to rent for $15 per day per gun, which also includes CO2 refills (tank on campus). We also supply paint balls at cost ($45/case and 2,000 paintballs in a case). We do require that you use our paint for our guns to help us preserve the life of our equipment. Please feel free to bring your gear if you would like to play as well, but make prior arrangements so a BRC facilitator is available and we can insure the trails and field are prepared in advance for your group. Can our group use the low ropes course? Yes, though insurance requires that we provide a trained facilitator for your group. We currently have 9 initiatives on the low ropes course (wild woozy, single-line traverse, mohawk walk, climbing wall, all aboard, spiders web, nitro crossing, whale watch and fireman s chute). Our fee per facilitator is $100/hr, and a facilitator is required for every 10-12 people in your group. Can our guests ride the horses during our retreat? Yes, the horses are available to use during your retreat, ONLY with a Barefoot Republic facilitator. Facilitators are available for $100/hr for free-ride or $200/hr for trail rides. What is your alcohol policy? If you would like to bring alcohol on site, you must make prior arrangements and send us a copy of your insurance policy with Barefoot Republic Camp listed as being additionally insured. Can we bring more than 204 people on our retreat? Yes, we have had groups squeeze more than 204 folks into the treehouse cabins, barn and multipurpose building. The numbers we list, however, are what we would recommend. The lake house may also be rented separately for additional accommodations (see below). Groups are also welcome to bring tents for outdoor camping and there is 1 RV hookup located on campus. Is there a private place for a guest speaker, pastor, family, etc. to stay? Yes, we have two rooms in the multipurpose building set up with bunk beds (full bath in the basement) and there is also a lake house (that may be rented for an additional charge) on property adjacent to the camp. The lake house sleeps up to 16. Camp rates apply and there is a minimum nightly fee of $175 per night. How many people can your corporate meeting spaces accommodate? We have 250 chairs in the gym, though the space can seat up to 400. The Sparrow Amphitheater can seat 125, with 75 additional outdoor chairs for groups up to 200. The DC comfortably seats 50-75. Can we have exclusive used of facility? The number given on group s contract represents the minimum guarantee. Barefoot reserves the right to book another retreat if your group s minimum guarantee is less than 130 people. Is there a refrigerator available to use? There is a mini-fridge for medications in the nurse s station and a one in the staff lounge available to put specific allergan-free food for guest needs. Do you provide transportation? Barefoot has a 40 passenger(+luggage) school bus which is available for retreats for an additional fee. 3
