Thank you for registering for ON Helix 2015 on Tuesday 14 July 2015! 3 The conference and exhibition opening times are 09.00-18.30 with the on-site Registration Desk open at 08.00. When you arrive on site simply go to the registration desk to collect your badge and Delegate Handbook. You will need this badge in order to gain entry into the conference and exhibition areas. The main conference and exhibition is taking place in the Auditorium with additional exhibitor area in Hinxton Hall. Please ensure that you wear your badge prominently at all times. Failure to do so may result in you being refused access to the event. When leaving at the end of the conference, please deposit your badge in the badge drop off boxes situated on the registration desks. Please note that until payment has been received, any stand reservations cannot be confirmed and partnering login details will not be issued. If you are a sponsor or exhibitor then your 100 word company profile will feature in the ON Helix Delegate Handbook, a sample of a company profile is below. Venue Location,Directions and Accommodation Wellcome Trust Conference Centre Wellcome Trust Genome Campus Hinxton, Cambridge CB10 1RQ Tel: +44 (0) 1223 495 000 www.wtconference.org.uk 5 By car From the South: Leave the M11 at junction 9 (signed A11 Newmarket) and take the first exit signed A1301 towards Cambridge. From the roundabout take the first left (about 800 m). At the next small roundabout follow the signpost left for the Genome Campus. From the North: Leave the M11 at junction 10 (note that M11 junction 9 is restricted and only accessible from the South). Turn left at the roundabout and straight over the next roundabout. Travel a mile or so on the A505 in the direction of Saffron Walden. At the next roundabout take the third exit (signed A1301 towards Saffron Walden). Pass two turnings to Hinxton village (these go to the village only), and take a right, at the next roundabout, signposted on to the Genome Campus. By train Cambridge is on the main line from London King s Cross. Whittlesford, Great Chesterford and Audley End stations are also on the line from London Liverpool Street to Cambridge. The journey time from London is under an hour. Please note that Whittlesford and Great Chesterford stations do not have a taxi rank or telephone. Please use either Cambridge or Audley End stations if a taxi has not been pre-booked. London Heathrow and London Gatwick are about one and a half hours drive. The Wellcome Conference Centre is just a 10-mile drive from Cambridge city centre or 8 miles from Cambridge Station. 6 Conference Schedule Exhibitor Build up Date Tuesday 14 July 2015 07.00-08.00 Schedule Setup of stands NB: All stands must be constructed by 08.00 as delegates start to arrive by this time. Conference Opening Hours Date Schedule Tuesday 14 July 2015 08.30-18.30 Exhibitor Breakdown Date Tuesday 14 July 2015 Schedule Breakdown of stands 18.30-19.00 NB: All boxes must be labelled with the collection note which can be found on page 9. For safety reasons, breakdown cannot commence until ALL visitors have left the exhibition area. All exhibitor stands must be cleared by 19.00 on Tuesday 14 July 2015. Anything left on a stand after this time will be deemed as rubbish and disposed of by the venue. Charges to exhibitors for this service are high.
General FAQ s 7 What do I do upon arrival? On arrival, please check in at security and display your parking permit* in the windscreen of your car at the barrier to gain entry. Security will direct you to the relevant car park. Please park and follow signs on foot to the Conference Reception in order to register your attendance and be directed to your conference room. *Parking permits will be sent out in advance of your attendance. Will I receive a name badge? Upon arrival please report to the registration desk where you will be issued with a badge, Delegate Handbook and Delegate List. You will need the name badge to gain entry into the conference and restaurant exhibition area. Please ensure that you wear your badge prominently at all times. Failure to do so may result in your being refused access to the event. Is on-site storage available? Yes, goods can be stored in the conference reception for 48 hours. Is there WIFI? Sponsored WIFI is available on site, you will find details on the signage or please approach the helpdesk. Are there sponsorship opportunities? If you have already decided to sponsor ON Helix 2015 then as part of your package you have an advert in the Conference Handbook. Please submit your advert to nadia@onenucleus.com. The ad spec is as follows: A4 portrait plus 3mm bleed, artwork must be as a high resolution PDF. I need to arrange for deliveries and collections, what do I do? Delivery and Collections Notes are available on pages 8-9 or visit www.onhelix.con/exhibit to download them. All deliveries will be delivered directly to your stand, please make sure your boxes are labelled with your stand number and company name. Please ensure all deliveries are made prior to 12.00 on Monday 13 July. Please ensure all collections are made no later than 18.00 on Wednesday 15 July. Exhibitor FAQ s How big is my exhibition area? The exhibition area forms the central Helix for delegates to meet and network, where refreshments will be served throughout the day. By exhibiting, you will be able to meet the right contacts all under one roof. In order to maximise the networking area, we have elected to have 30 prime exhibition spaces and your organisation will also have the additional opportunity to be profiled in the restaurant area of Hinxton Hall. A exhibitor space consists of a 2m x 2m clothed table and 2 chairs Please remember to email Nadia the two delegate names included in your with yourt exhibition package. What electrics are provided? We don t provide any electrics for the exhibitor stands, there are electric points should you need to plug in your devices. What do you recommend I bring? Exhibitors are reminded to bring tape, velcro, extension leads and collection notes for courier collections.
