Present: Craig Thompson - President Michael Seddon - Vice President Gary Young - Secretary Bill Hayes - Treasurer Bob Carter - Committee Apologies: Sam Ball Ian Hooper - Committee - Committee Previous Minutes Motion to accept the previous committee meeting minutes of the 10 th May 2010 as a true and accurate record. Bob Carter Bill Hayes Business Arising 1. No mattresses purchased. All electric blankets have been removed. 2. Nothing further received from Valet Snow Sports BC to put link on PSC web site. 3. BC to check web stats to see where business is coming from. 4. Bob Scott and mates have updated fire system. Has been checked and passed by testing authority. Vote of thanks to Bob Scott & Geoff Helliwell for job well done at short notice. 5. Internet usage plan has been upgraded to 100 Gb plan. Currently using one Gb a day. Cost is approx $129 per month. MS is monitoring every day to check on usage & will liaise with Georgina if there is spike in usage. Incoming Correspondence

2 Invoice for $ from Victorian Snowsports Association re insurance that has not been authorised. Expression of interest returned but no policy has been taken out or signed off on. Secretary will respond & decline offer. Job applications various & all declined. Notification from HAS re Strategy Review Workshop. Outgoing Correspondence Letter to Brian Taggert regarding test & tag requesting him to do job. Motion to accept Correspondence Bill Hayes Craig Thompson Treasurer s Report Balance of accounts is as follows, Westpac chq a/c $2, Maxi Direct $28, CBA Cheque a/c $64, Term deposit $25, Total $120, Spa renovation completed & final cost is $31, Fire system cost $ for complete renewal of system. Window repair in lounge $1530 but insurance claim has been lodged and we ll get back all but $500 excess. Treasurer recommended that we place $40,000 in term deposit for 4 to 6 months. Treasurer to investigate rates and convenience, liaise with President re final placement. Motion to accept Treasurer s Report Michael Seddon Craig Thompson Booking Officer Report Guest bookings have been very steady since they opened on April 1 st. When the snow fell on opening weekend, however, the phone has run red hot. The first week of the school holidays is usually not well booked, but since snow has fallen, this week is now quite full. As in past years, the second week of the holidays is fully booked.

3 To date, a total of $ has been banked. This is made up of : 2009 maintenance levy $ maintenance levy overpayment $30 (this is being refunded by cheque by the treasurer) 2010 maintenance levy $ 5460 summer bookings $ 923 associateship payments $ 1580 (1new associateship paid in full, and a progress payment of another) winter bookings $ An amount of $ is yet to be paid for bookings already made. I have had contact twice with ski.com, to make changes to our site on their website. These were initially to change the rates, to remove the reference to the sauna, to change the check out time, and to include that we now accept payment by direct deposit. The second time is was to remove mention of the electric blankets. A number of local and overseas s have been received requesting employment at the lodge. As there is no way to know if these are genuine or not, I have answered each one politely, saying that we have no job vacancies, but wishing them well in their search for employment. I have printed these out and Gary has them to present. Alli and Raff have just been appointed managers at Brush Ski Club. Accordingly, they are cancelling all of their bookings with us, and I have done a refund to the credit card. This opportunity only came about over the opening weekend. As we did last year, the door code will be changing every Wednesday. (The schedule has been posted on the members section of the PSC web site.) This means more security for all guests and their belongings, whether members or not. We have a number of parties who will be with us more than once, so it will ensure that someone who may be with them once will not be able to enter again. A list for the year is as follows... The dates requested did not fall into the required time frame, so the booking did not go ahead. I conferred with Peter Grayson regarding the oversnow transport service. He is pleased to offer this to us again, at last year s prices, but made some requests for clarification as to its use. Accordingly, Claire has helped to re-jig the voucher with the additional wording that unless the voucher is PHYSICALLY presented at the time of loading, it will become a CASH load of $30. Peter cannot afford to spend time hanging around while someone searches through their bag for it, or gets the I didn t know I had to print it out excuse. We were more than happy to assist in this matter, and have had a positive response from him regarding the new phrasing on the voucher. It is very diplomatic, but quite clear as to its terms of use. Committee resolved that Complimentary over-snow arrival (not valid for departure or exit) transfer to be made available to guest families with children up to 12 years of age and first time users. School groups and Army are excluded from voucher entitlement. 24 Members and 19 Associates have paid their maintenance levy, leaving 4 Members and 8 Associates who have yet to do so. Pippa and Ben Sandow became parents on 3 rd February to Fredric Duke Sandow, who was born 2 weeks premature weighing 9lbs 4 ozs. Our congratulations to them, and to POP Sandow. We have had a request via Peter Sandow for the Citreon Car Club to stay at the lodge during the March 2011 Labour Day long weekend. As long as any maintenance tasks are not scheduled for this weekend, I don t see a problem with this request. After consultation with Bill and Linda, we have come up with a way for Bill to be updated via as soon as I do banking. Claire has made up an excel program that shows who paid what amount and what it was for, as well as the payment number and booking number it relates to on the computer booking program. This means that he knows what any deposits are for without waiting for the mail to arrive with my written pages. Maintenance Officer s Report Spa has been successfully completed & ready for use shower needs to be finished off. Vote of thanks to Gary for another fine effort.

5 Spa door has a lock on it which cannot be locked from the inside. Lockers are now all sorted with contents of food lockers located in freezer room all relocated to corridor site (24 food lockers) to allow more space for lodge supplies to be stored. If any member still has food stored in a locker in the freezer room please contact GY so we can get it moved and free up the space for lodge supplies. Manager s room has door locked with key, not key pad. One of the freezers has failed. Replacement from Bright is $1019 & need to transport it up the mountain via Hotham Freight. Bill Hayes to action purchase/freight as appropriate. Cushions okay to purchase $100 worth of cushions (5) from Spotlight for upstairs couches. Motion to accept Reports Michael Seddon Craig Thompson New Business 1. Lease renewal - close review of lease documentation by Secretary confirms that our lease officially expires October PSC must inform the lessor (Mt Hotham Resort Management Board) between 5 & 6 years prior to expiry, i.e. between 2011 & Initial lease duration was 24 years. Re-visit the lease issue in 2011 and confirm our intention to re-new. In the meantime monitor the situation with other lodges as they work through their lease renewals. Current lease document to be posted on members section of PSC web site. 2. President s theme for the annual President s Dinner (July 31 st 2010) is your favourite cartoon character. Light finger food to be organised, drinks are BYO, guest speaker to be invited.
