1 Camp Dates/Times Dates: York Headwaters Beaveree/Cuboree 2013 Friday May 24 th to Sunday May 26 th, 2013 Location: Camp Theme: Camp Samac (Oshawa) Space and Science Costs: The following are the costs for the Beaveree/Cuboree itself. On top of these costs, groups will be required to fund their own group costs (eg. food {Mug Ups, Saturday breakfast, Sunday breakfast} and camping supplies) Youth attending entire weekend Leaders & Adults attending entire weekend Youth attending Saturday Only Leaders & Adults attending Saturday Only $40.00 each $20.00 each $25.00 each $10.00 each Registration: SPACE IS LIMITED Please have preliminary registration numbers submitted by to by April 28 th Scouters Club. Final numbers and cheques are due May 10 th See Registration Form. NOTE: Preliminary numbers are important to get in as they were serve two purposes: 1. Identifying how many groups will be participating and therefore allow for camp setup. 2. 2 York Headwaters Beaveree/Cuboree 2013 IMPORTANT INFORMATION Program The York Headwaters Beaveree-Cuboree 2013 theme is Space and Science. All activities will be run by Colony's/Pack's and are based upon the Space and Science theme. Colony/Pack activities have been planned for you, however each Colony/Pack will be given an activity to be responsible for running on Saturday. Although the Camp Organizers will be providing activities (plan and supplies), we need each Colony and each Pack to volunteer a leader to manage their activity. The Saturday activities will be done on a rotation basis. Leaders will receive their group s activity schedule and volunteer assignment on Friday night at the Leader-in-charge meeting at Kitchie lodge. This will be an outdoor standing camp. All youth and adults will be sleeping in tents. Washroom facilities will be limited (no showers). There will be campfire on Sat evening where groups will perform their favorite skits, cheers and songs. Please send in your choice of song skit and cheer to don.alexander@yhwscouts.ca as they will be taken on a first come, first served basis. Depending on the amount of colonies/packs participating you will probably be performing a song, skit OR cheer, not all three. Food & Equipment Each Group is to be a self-sufficient unit so remember to bring along whatever you require for the weekend. Groups are responsible for their own meals (except for planned lunch, snacks and dinner on Saturday) and evening mug-ups. Ensure your group has adequate camping equipment as set out in the suggested kit lists found in this package. Suggest Camp Lists have been supplied for both the Group and individual campers (see attached). Feel free to join with other groups to share any equipment required. Leaders for each participating group should be aware of any medical, food allergy and/or dietary needs (e.g., vegetarian, Kosher, no pork, etc.) of everyone attending from their group. Some participants have extreme allergic reactions to nut products. Please use caution when planning your meals and snacks. No foods containing nuts or traces of nut products are allowed at camp. Each Colony is asked to bring a hand held GPS with them to camp: One of the activities colonies will be participating in will be a GPS treasure hunt (Geocaching). If any of your leaders, volunteers or parents have a hand held GPS suitable for Geocaching please bring them along. Ones designed for a car are NOT suitable. If none in your group has one available that's OK. We will match you with a group that does have one. Some smart phones may also have the ability to follow a set of coordinates. Please come prepared with the knowledge of how to input a set of coordinated into your device and be able to follow it to where it leads.
3 Administration & Adult Supervision Leaders & parents must be on hand to watch over their own Beavers/Cubs and ensure everyone has a safe and fun experience. This includes both during the daytime activities and overnight (for those camping overnight). Other The Leader-in-Charge for each participating group must ensure the Camping & Outdoor Activity Application is prepared in advance of the camp and has received Group Commissioner Approval. Group Commissioner s approval implies all items outlined in the Safety Checklist are properly managed and all participating adult volunteers and youths in a responsible position are in compliance with all Scouts Canada Volunteer Training & Screening requirements. For more information, please consult The Leader-in-Charge for each participating Pack/Colony will be responsible to ensure their group have the following: o For Each YOUTH: Copy of the completed Program Participant Enrollment Form for each of their participating youth o For each LEADER and Registered VOLUNTEER: Copy of the completed Application for Membership and Appointment of Volunteers Form o For Each PARENT: A signed Code of Conduct form A signed Hold Harmless form A completed up to date Physical Fitness Certificate for Non Members. If this has been filled out for a previous camp, check to make sure nothing has changed As per Scouts Canada policy, Parents attending camp must have watched the Child and Youth Safety training video. It is each groups responsibility to make sure this has been done prior to camp For Beavers, the camp is considered Family Camping and hence families have the option to sleep together if they so choose. o They cannot sleep in a tent with a child that is not their own. o It is understood that the Parent/Guardian s primary responsibility lies with their own child. That said, it is acceptable for Parent/Guardian's to provide occasional assistance with meals/activities, etc. provided they do so while under the supervision of two registered Scouters. There are no official uniforms for the Beaveree/Cuboree. Groups may wish to have their Beavers/Cubs wear a common t-shirt with their group name on it, or wear their group scarves to be able to more clearly see & identify their Colony/Pack while out at activities or around the campgrounds. Photo Release: All participants may be photographed during the Beaveree/Cuboree. Please ensure that all participants have consented to the photo release on the youth/adult Scouts Canada application form or completed a Photography release form. This will allow Scouts Canada to use your photograph or video footage as a result of your participation in this Scout approved event.

5 SUGGESTED CAMP LIST - GROUP Each group must come as a Self-contained camping unit. This means you are responsible for bringing everything you need for the weekend. 6 SUGGESTED CAMP LIST EACH CAMPER Below is a list of suggested items that each camper should bring to make sure they are ready to enjoy the weekend. Just in case things get lost over the course of the weekend, please ensure that each article is labeled with the Beaver/Cub s Name (and possibly Group Name) so that any lost items can get back to their rightful owner. CLOTHING Appropriate clothing to suit the weekend s anticipated weather Warm pyjamas (it gets cool at night) Long Pants / Sweat Pants / Shorts Sweat Shirts / Sweaters / T-Shirts Socks & Underwear Sun Hat/Baseball Hat Warm Gloves/Mitts, Hat Warm Jacket Rain Gear (Jacket, Hat, Boots) Comfortable Shoes/Runners CAMPING ITEMS Tent & Ground Sheet (if not being provided by your Group check with your Group Leader) Mess Kit Plastic Mug, Plate, Bowl, Fork, Spoon, Knife Toiletry Kit Toothbrush, Toothpaste, Towel, Washcloth, Soap Water Bottle Flashlight and/or Lantern Warm Sleeping Bag, Pillow, Blanket Foam Pad or Mattress Bug Spray Sunscreen Plastic Bag (for dirty clothes) Small Backpack Book(s) to read, Paper/Pencils for drawing, etc (during free time) DO NOT BRING the following items Game Boy, Nintendo DS, or any other electronic games MP3 Players, Portable DVD Players or Radios Food, Candy or Gum (your Group will provide food & snacks) NO NO NO
