3 Letter to Parents and Pack Leaders Hi, and welcome to Cub Scout Day Camp! Your son will enter into a world of fun and have the time of his life at our 2017 Cub Scouts SCI-FI Camp! This guide has been prepared to help you feel comfortable about the Day Camp Program giving useful information whether you are planning to volunteer or send your son to Day Camp and to answer your questions. For those of you who have sent your son to Day Camp before, you should be familiar with much of this information. This guide will serve as a very good review. Whether you are new to Day Camp or a camp veteran, it is important to read the entire guide as it contains new information and answers many of your questions and concerns. Day Camp is planned and conducted by a volunteer camp director and program director. The day camp can only be held with the assistance of volunteers such as yourself. Without the assistance of large numbers of parents day camp could not occur. For example, each group(16) of boys will need two adults to supervise them. (32 adults to supervise the boys in each of the 16 groups) Each program activity such as crafts, archery, or games needs one or more adults to staff it (16 activity stations). We need a minimum of 50 adults each day to run camp. As you can see we do need your help. When you volunteer at Day Camp you will be helping to provide a great camping experience to the scouts that attend. As a Camp Director I know from personal experience how much the boys enjoy and appreciate your involvement. Begin your plans and preparations for a great Day Camp experience. 4 What is Day Camp? Cub Scout Day Camp is a 2 day outdoor experience under the supervision of specially trained volunteers. The Camp Director and the Camp Program Director have attended the Boy Scouts of America National Camping School and have completed certification standards set forth by the BSA national office. Additionally the BB gun and Archery range officers receive Shooting Sports training and certification. The Golden Empire Council takes pride in assuring that our Day Camps meet the requirements for national accreditation. The National Standards are established to ensure the health and safety of every camper, leader, staff, and visitor while at camp and to ensure that every Cub Scouts will have a high quality fun filled Day Camp experience. Besides the fun he will have, each boy will learn from his time here at camp. He will meet other Cub Scouts and Leaders from around the district, and as with any Scouting Program, it will help to instill in him the values and character he will need to become the kind of man you want him to be. Day Camp: Provides the Scout with an opportunity to begin work towards their next rank in Cub Scouting Encourages participation so that Cub Scouts benefit and grow with a good outdoor experience. It assists in the recruiting and inspiration of future Cub Scout Leaders and helps strengthen den and pack organization. Provides continuation of the Cub Scout program through the summer and assists the pack in qualifying for the Summertime Pack Award. Who is Day Camp For? Camp is open to boys who have completed kindergarten through boys going into the fifth grade and are registered in the Boy Scouts of America. If your son is not yet signed up for Cub Scouts he may join before the start of Day Camp. Those finishing kindergarten will come to Camp as Tiger Cubs and must have an Adult Partner with them at all times. Boys who have completed the first grade and who were Tiger Cubs during the school year will come to Day Camp as Wolf Cubs. Boys that have completed second grade will be a Bear. Boys going into fourth or fifth grade will be a Webelo. 3

6 Volunteering The Boy Scouts of America is an all-volunteer program. The successes of all events are possible because of the dedication and willingness of all the youth and adults who volunteer to help make these programs run. Each Cub Scout Day Camp has 30 to 40 adult positions to fill each year and they must be filled by parents and leaders of the boys attending camp. So yes, we need your help! You do not need to be a Den Leader or Cubmaster to help. A parent who has a week, a day, or even a few hours can volunteer to help their son and others have a memorable time. We will need a few parents to help with check-in each morning. Any amount of time you can spare will be put to good use. Parent volunteers will need to arrive 30 minutes before the start of camp so that you may be briefed on your responsibilities. You will be expected to follow the same policies as the Day Camp Staff. You will be required to wear the official 2016 Day Camp T-shirt while on Scout Hill. Smoking is prohibited on Scout Hill. Please contact the Camp Director if you are interested in helping. Adult supervision from each of our 16 groups is essential to run Day Camp. BSA National Camp Standards mandates that we have 1 adult for every 4 boys who attend. Therefore, we are requiring each Pack registering boys for Day Camp must provide a minimum of 3 adults each day at camp for sufficient adult supervision and program staff. A registered Cub Scout or Boy Scout leader, parent, guardian, or a person 18 years of age or older may be a Day Camp Volunteer. If you are assigned to be a walkabout adult you are responsible for guiding the boys in their groups from location to location throughout the day, assist with activities and keeping the scouts focused. Please note this is not optional: our Day Camp is planned, organized, and staffed by volunteers. The camp cannot operate without pack and parent assistance. All Adult Volunteers, are required to complete Youth Protection Training! Boy Scouts, Venture Crew or Explorer Scouts, age 14 and older, may volunteer as a Day Camp Aid. Volunteering at Day Camp offers these Scouts an opportunity to display leadership skills, pass on useful information to younger Scouts and encourage those younger Scouts to continue on in Scouting as well as gaining service hours to use toward their rank. The positive influence of these Scouts on our Cub Scouts helps to further build our Scouting program. 7 Transportation Transportation is the responsibility of each parent/guardian. Transportation permission forms are required if a child is riding with someone other than their parent. An entrance pass is required to enter the park. If you do not have the pass you will have to pay at the gatehouse for a Park Day Pass. PACK ARRIVAL TIMES Arrive at Camp no earlier than 8:00 a.m. Packs in the Pollock Pines/Pleasant Valley area 8:10 a.m. Packs in the greater Placerville area 8:20 a.m. Packs in the greater Cameron Park area 8:30 a.m. Packs in the greater El Dorado Hills area 8:40 a.m. Packs in the Rescue area 8:50 a.m. Packs in the Folsom area Drop-off and Pick-up Everyone entering camp must be signed in at the Sign in booth at the entrance of camp each day. Everyone on Scout Hill will be required to be registered and checked in and given a wrist band. Scouts will not be released until closing flag has been concluded. Parents will need to wait behind the registration line should wait until the closing ceremony is completed before signing out their Scouts. Each Scout must be signed out with their group leader to ensure safety. Special Needs Please contact the Day Camp Director in advance if you have special needs. The BSA promotes the inclusion of youth with disabilities and/or special needs. We recognize that each child is unique, and no single plan will work for every scout. We will work together to provide an enjoyable Day camp experience for your son. Medication If your son requires medication during camp hours, only the parent, guardian or the attending adult who has been given permission by the parent, may dispense the medication. No medication (this includes over-the-counter meds) may be given by the Day Camp Staff this includes the camp medical officer. Medications shall only be carried by an adult. Exceptions to this are for those individuals who need to carry emergency medication at all times such as asthma inhalers, Epi-Pens or similar prescribed bee sting kits, diabetes kits, nitroglycerin tablets, etc. Any medications brought to camp must be in the original pharmacy or manufacture s container with the patient s name, medication name clearly labeled with dosage instructions. List all medications on the Annual Health and Medical Record 6

8 Emergencies The camp maintains a list of persons certified in CPR and basic first aid procedures. A Camp Health Officer is in camp at all times. In case of an emergency or accident involving your child, you will be notified by the camp director. We request that you add any information to the Annual Health and Medical Record form that we may need in case of an emergency. Please notify us if there are any changes or additions to this information prior to camp. If you have an emergency and need to get in touch with your child while he is at camp, please call the camp director or the Golden Empire Council Council at (916) Uniforms at Camp/ What to Bring Everyone attending camp is required to wear this year s Day Camp T-shirt every day. While they look great and the boys love them, these shirts serve another purpose. These shirts let us know at a glance if the wearer is a Cub Scout, an Adult Volunteer, or a Staff member. We can spot visitors or strangers in camp at a glance. For this reason it is imperative that your Cub wear the Day Camp T-shirt each Day. Along with the T-shirts each boy will be provided a camp back-pack and water bottle. Please make sure your son has the following items each day in the provided back-pack. Label all items with your son s name and pack number. 1. A hat, 2. Sun screen 3. Camp Provided Water Bottle 4. Everyone must wear CLOSED toe & heal shoes and socks at all times 5. No sandals or open toe/heal shoes (including CROCS) are allowed at camp this applies to Scouts and Adults. DO NOT BRING: Pocket knife, Matches, Portable Radio/CD player, ipod, Handheld Video Games. Pack Set Up & Takedown Tuesday, July 11 th 4-6pm Each pack will have a designated area to set up a canopy, chairs, ice chest and pack flag. This will be where your pack meets after checking in and at lunch time. We ask that you set up your area on the designated day and time. There will be no vehicle access up to the camp area after 7pm on Tuesday. After camp has concluded on Saturday (7/15) and all scouts are off the hill one vehicle may enter camp to load up pack equipment. 7

9 Cell Phones While at camp cell phone use is prohibited as this is a distraction and diverts your attention from the scouts. You are here to supervise the Scouts and it only takes a moment for a Scout to get into mischief. We do understand we all have emergencies and lives around camp. Please let the camp director or staff member know if this is an issue. Photography Please do not post any images on the internet including any social media until the Monday following the close of camp. Tobacco & Alcohol Use BSA policy is enforced. There will be no use of and type of tobacco or alcohol while on Scout Hill. This is strictly prohibited. The perimeter of scout Hill is from Entrance and exit of the main road. Anyone seen violating this policy will be asked to immediately leave Scout Hill. Day Camp Rules (Please follow the Scout Oath, Law, Cub Scout Motto and Leave No Trace) 1) The buddy system will be in affect at all times during camp. Buddies must stay together, this includes going to the restroom or medic. 2) Scouts will be assigned to a group, and are to stay with their groups. 3) Scouts must have their group Leader s permission and a buddy to leave the group anytime during Day Camp. 4) Everyone is required to walk at all times while at camp, running is not acceptable 5) Climbing, horseplay or fighting will not be tolerated at any time while at camp. 6) Stay within the marked area for Day Camp. 7) Absolutely No tobacco, alcohol, or drugs on Scout Hill. 8) Practice Leave No Trace skills by disposing your trash in garbage cans. 9) Boys will be respectful to all Staff, Adults, other Scouts & their property. 10) There will be no Disrespectful/rude language tolerated during camp. 8

10 Required Forms to Attend Day Camp Anyone attending camp is required to complete all parts of the BSA Health Form Parts A & B(2 pages). A Firearms Release Form is required for each scout. All Adults are required to complete and turn in a copy of their valid Youth protection Training Certificate. This training can be taken online at my.scouting.org. You will need to register if you do not already have a log in. Advancement at Camp While at camp the boys will complete some of the requirements in their hand books as well as additonal awards. At the conclusion of camp each pack will receive an with each scouts name and what he has completed. Awards earned at camp should be given at your next pack meeting. In Conclusion, we are looking forward to meeting you at camp and providing a great camp experience for your scout.
