1 MONROE COUNTY YMCA SUMMER CAMP 2018 Parent Guide for the Southeast Y Welcome to Monroe County YMCA Camp Arrowhead! Thank you for choosing YMCA camps as your summer fun destination! Our trained staff is committed to providing your family with a rewarding and memorable experience. This parent handbook is designed to prepare and assist you with sending your child to summer camp. It contains helpful and pertinent information that will make camp a positive experience for your whole family. Please read this handbook carefully and review the camp rules and guidelines with your child. If we can provide you with any additional information or be of any service to you throughout the summer, please do not hesitate to contact Matt Osgood, Southeast YMCA Youth and Sports Director, at or , mosgood@monroecountyymca.org YMCA Mission To put Christian principles into practice through programs that build a healthy spirit, mind, and body for all. GENERAL INFORMATION FOR ALL CAMPS Camp Arrowhead focuses on the four core values that influence everything we do: caring, honesty, respect, and responsibility. Our summer program is based on educating our campers about these values while simultaneously teaching them about the environment and helping them build self-confidence and independence while challenging them physically, mentally, and emotionally. We emphasize the importance of healthy lifestyles that is taught through fun activities to help your child incorporate this concept into their daily lives. Camp Start Date For your convenience, camp start dates are based on the school calendar. If the schools must make up a snow day, the first day of camp will begin when students are out of school. Camps will be pro-rated if shortened due to a change in the school calendar. A refund will be available to those who had paid for a full week.

2 A Typical Day at Camp Camp Arrowhead provides campers ages 3-15 with supervised activities that teach core values, conflict resolution, and leadership skills. Every day campers will participate in a variety of activities such as group games, crafts, camp songs, swimming, and physical activity that encourage new friendships, self-confidence, teamwork, and growth in self-reliance. Staff Camp Arrowhead is directed by Matt Osgood, Youth and Sports Director. Annie Schaffer, the Preschool and Camp Coordinator at the Southeast Y, will oversee the daily operation of camp and staff, as well as the Counselors in Training program. We will also have a Site Supervisor present each day to assist in many ways. All supervisors have multiple years of experience working with children of all abilities. When your child arrives, they will be greeted by many familiar faces as we have quite a few returning counselors this year. Although returning counselors are great, they can t do it alone. We have also hired new staff members who will bring new ideas and enthusiasm to our program. Each counselor is required to participate in over 20 hours of training. Certifications and trainings include team-building skills, YMCA child abuse prevention, emergency procedures, character development, behavior management, special needs training, universal precautions, basic first-aid, and CPR. We take pride in the high expectations we set for our summer camp staff and evaluate them and the programs regularly throughout the summer. May 1 Registration and Payment Policies If a refund is requested before May 1, you will receive a full refund. If a refund is requested after May 1, you may transfer your child to another week of camp if space is available for a $10 fee. Cancellations after May 1 will be given no refund. Due to the popularity of the camps and our important counselor/camper ratio, cancellations will only be considered if there are children on the waiting list. Any cancellation request after May 1 must be submitted in writing to Matt Osgood prior to the first day of the session for which your child is signed up. Member Service cannot issue a refund. EMERGENCY INFORMATION/ MEDICAL FORM (This is really important!) At registration time, either online or at the front desk, you will be asked to provide our staff with general information about your child, including allergies, possible medications, and emergency numbers where counselors can reach you if necessary during the day. There is a place for you to list who you have authorized to pick your child up from camp. As a safety measure for every YMCA camper, anyone who picks up a child from camp MUST be listed on this form. Photo identification will be required. The camper will not be allowed to go with the person until he or she is added to the list by a parent or guardian. Each camper must be signed out we do this for the safety of your child. Medication Administration Camp Arrowhead will administer prescription medication provided that is in the original container and has been listed on the Emergency/Medical form in the medication fields. All medication must be turned in to camp staff. Only the Camp Director and Camp Coordinator will administer medication (with the exception of emergency medications such as EpiPens and inhalers, which will be kept with Lead Counselors). Medication will be administered per doctor s orders only. If the dosage has changed from what is listed on the bottle, please bring in a doctor s statement indicating proper administration and dosage. Camp Arrowhead may also administer certain over-the-counter medications if parent permission is given on the Camper

3 Emergency/Medical Form. These medications may include Calamine Lotion, Hydrocortisone, generic cough drops, Aloe, Children s Tylenol, and antibiotic cream. Confidential Camper Information A confidential camper form will provide camp staff the opportunity to know a little more about your child before camp begins. The information you provide on this form will enable the counselors to give each camper the support they may need to be successful in our day camp program. This optional form provides staff with helpful information. It can be picked up from the front desk or on the first day of each week of camp. Behavior Management Policy The number one goal for Y Summer Camp is that all campers have a safe, rewarding experience. To accomplish this goal, discipline sometimes becomes necessary. Staff have been trained to recognize and diffuse potential conflicts between campers, but if all efforts to settle conflicts at camp fail then a parent or guardian will be called. Some examples of why a call to a parent/guardian would be made include, camper refuses to participate in a safe manner, won t stay with his or her camp, or is uncooperative with staff. If oppositional or disruptive behaviors continue, campers may be dismissed. This will be done at the discretion of head counselors and the Camp Director. If you, as a parent, are aware of possible or impending difficulties with your child, please alert us in advance so that we can all prepare and work together to make this a successful camp experience for everyone. Please read and review the Behavior Management policy with your child. As in all behavior management, we will adapt the techniques used to be age appropriate for the child. Forms to Be Completed and Reviewed Prior to the First Day of Camp Emergency Information/Medical Form (available online or at the Welcome Center) Confidential Camper Information (Optional) YMCA Camp is designed to be as inclusive as possible, including all children no matter their ability. While we are proud to offer high staff to camper ratios, we are unable to provide one-on-one staffing. If your child has a special need, please notify the Camp Director and/or the Camp Coordinator. If you would like to schedule a conference before camp, please contact Matt Osgood at The more information that you share with the camp staff, the more we can assist your child in having a fun, safe, and positive camp experience. What to Send and How to Dress for Camp Please send your camper with these items to camp every day and put your camper s name on all of their belongings in permanent marker (first and last name please). Campers should come to camp in clothing that can get dirty and is suitable for an active day at camp. HELPFUL TIP: Many items that come to camp every day, such as towels, lunch boxes, water bottles, etc., look identical. Please send older versions of these items as they often get misplaced or left behind at the end of the day. SEND: Healthy, filling lunch Ice packs (suggested) Reusable water bottle Swimsuit and towel Hat or bandana Sunscreen (SPF 40 or higher) Clothing that CAN get dirty Close-toed shoes with socks Book or quiet activity Backpack Bug spray DO NOT SEND: Electronics- ipods, ipads, video games Toys or personal belongings Valuables Weapons Trading cards Sandals/flip flops CELL PHONES *This list is not exhaustive. If camp staff feels like an item is inappropriate or disruptive, it will be confiscated and returned to your camper at the conclusion of the day. Camp staff is not responsible for lost, stolen, or damaged items. Campers are responsible for their own belongings.

4 Helpful Tips To Prepare For Camp The following information is geared toward the younger/first-time camper, although any parent might find this information helpful. 1. The night before camp, you and your child could prep and pack the backpack your child will be taking to camp. Make sure all items are labeled with your child s first name and last initial. If you know your child is going to spend most of the summer in Jr. Explorers, for example, you could write the group name. This helps us and helps you too! 2. Have your child practice carrying their packed backpack. If it is too heavy then choose a smaller backpack or items of a different size; smaller water bottle, old bath towel instead of large beach towel, etc. *Large beach towels are great for lying on a sandy beach, but when they get soaked with pool water they become even heavier and aren t easy for small children to carry, so we encourage families to keep these at home. Hooded towels or capes for young children are best, and bath size towels are best for older children. 3. You and your child are excited about camp and think it would be nice to purchase a new lunch box, water bottle, towel, etc. However, we would like to remind you that the majority of camp is OUTDOORS and these items won t be new for long. Please, please, please, send items that have already been well loved and save the purchase of new items for the beginning of the school year. 4. Please keep personal items at home. Children love to show their toys to their friends, but these items can easily get mixed in with camp toys or end up in someone else s backpack. If your child is having difficulty with separation and a particular item is reassuring for them to have, please make sure a camp counselor is aware of this and discuss with them and your child that there may be times during the day (ex. swimming) that the item will need to be put in their backpack for safekeeping. Sun and Water Safety Please apply sunscreen to your camper prior to their arrival at camp! Encourage your camper to continue applying sunscreen throughout the camp day. Camp staff will monitor sunscreen application at set times throughout the day. If your camper has a tendency to get sunburns, let your child s counselor know, and be sure to send any special sunscreen your camper may need. All swimming will occur with certified lifeguards present for the duration of the swim time. Additionally, all camp staff will be in and around the pool deck to ensure everyone s safety. Once a camper has been swim tested for the summer, they won t need to be again, unless requested by a parent wishing to allow a camper access to the deeper areas if their swimming skills have improved throughout the summer. For campers who do not pass the swim test, they will remain in the shallower areas of the pool. These decisions are made by the Aquatics Director and her appointed staff based on the swimming ability of an individual child to ensure everyone s safety. Drop Off and Pick Up Procedures Camp sign-in is at a specific location for each camp. Please park in the parking lot and WALK your camper to the appropriate location. An adult MUST accompany each camper on the first day of each session. Parents will be asked to list anyone eligible to pick up their child when they register for camp. It is the parent s responsibility to keep the YMCA informed and up to date with the appropriate information, such as who can pick up the child and emergency contact information. Pick up will be at three locations for Arrowhead programs ending at 3 pm Little Leaders, Jr. Explorers, and Explorers pick up at a sign-out table on the SE end of soccer field (next to woods and parking lot) Voyagers and Trailblazers pick up at a sign-out table on the other side of the soccer parking lot next to the Trailblazer shed. Challengers and Into the Wild pick up at the Lower Shelter behind the YMCA. Please sign in NO EARLIER THAN 8:50 am each day to allow counselors the necessary time to prepare for camp. (EXCEPTION: On the first day of camp, sign-in will begin at 8:40 am). We do offer a morning Extended Day program for families who need care before 9:00am. If your child has any field trips (Voyagers and older) or overnights (Trailblazers and Teens) during the session, be sure to pick up a permission slip from the counselors. If you have any questions regarding where to drop off your child, ask a member of the camp staff or the Welcome Center. To ensure the safety of all the campers, we will require photo identification when picking your children up on Monday of each session. *Photo identification may be required at other times at the staff s discretion.

5 YMCA Day Camps Pathfinders (Age 3) Sign in at 9:00 am (M-F) in the Conference Room Pick up at 12:00 pm at the same location Friday pick up from water play by Lower Shelter Scouts (Age 4-5) Half-day only Sign in at 9:00 am (M-F) in the Multipurpose Room Pick up at 12:00 pm in the Multipurpose Room Little Leaders (Age 4) Sign in at 9:00 am, Upper Shelter Pick up at 3:00 pm at the southeast corner of the soccer field (by the woods) Jr. Explorers (Age 5) Sign in at 9:00 am, Upper Shelter Pick up at 3:00 pm, southeast corner of soccer field (by the woods) Explorers (Age 6) Pick up at 3:00 pm, southeast corner of Soccer Field (by the woods) Voyagers (Ages 7 and 8) Pick up at 3:00 pm, Trailblazer Shed Trailblazers (Ages 9 and 10) Sign in at 9:00 am (drop off at southwest corner of soccer parking lot) Pick up at 3:00 pm Trailblazer Shed, southwest corner of soccer lot Challengers (Ages 11-13) Pick up at 4:00 pm, Lower Shelter Into the Wild (Ages 11 and up) Pick up at 4:00 pm, Lower Shelter On rainy days there will be a staff member in the front lobby to direct you to your child s camp drop-off area, and a sign to direct parents to each group s pick-up area.

6 Teen Options for Leadership Development Counselors-In-Training (C.I.T.) (Ages 12-15) This program provides an opportunity for participants to learn valuable leadership skills through the experience of assisting both campers and counselors in the day camp setting. They will be given the chance to practice both their social skills and leadership skills while taking on responsibilities for the care and supervision of others. CIT s may be asked to plan activities, crafts, or lead a group game. There will be some group work and team building practices for the CIT s before implementation in a camp group setting. This is an excellent opportunity for participants to exhibit their creativity and emerge as leaders in the program, potentially as future camp staff. After the CIT has completed their session, volunteer opportunities will be evaluated on an individual basis and must be approved by the Camp Coordinator. CIT s performance will be evaluated by the program supervisor during each session, and they will be provided with insightful feedback to help them grow as a leader. Extended Day We are excited to offer complimentary AM Extended Day beginning at 7:30 am to any camper, age four and up, enrolled in a morning camp. Beginning at 8:45 am camp staff will escort children from Extended Day to their camp. Camp staff has a full day of fun planned every day for your camper so arriving on time is important. If you arrive by 8:45 am or after, please bring your camper directly to their designated drop-off location. Weekly Morning Hours Days: Monday Friday Time: 7:30am 8:45am Included if camper is enrolled in a 9:00am camp and is over 4 years of age. Weekly Afternoon Rates Days: Monday Friday Time: 3:00pm 6:00pm Cost: $35/$40 Daily Afternoon Rates: $10/$15 If you have any questions regarding Extended Day, please contact Matt Osgood, or mosgood@monroecountyymca.org. What about Rain? Camp is held rain or shine! We remain outside as long as possible, unless the weather becomes threatening. In the event of inclement weather, a camp staff member will be outside to direct you to the appropriate drop-off or pick-up point inside the YMCA. Although it is always a challenging time when pick up or drop off is changed, we will do our best to make it as easy as possible for parents, always putting the safety of our campers first.
