3 Webelos Adventure Camp Mission Statement Webelos Adventure Camp supports and utilizes the aims and methods of Scouting as an integral part of the camp program. Through advancement, outdoors activities, adult association and the reinforcement of Scouting Ideals, it is hoped that all Scouts who come to camp will grow in moral strength and character, develop physically, mentally and emotionally, and become better citizens. At Webelos Adventure Camp, all of this is accomplished by giving the campers opportunities for hands-on fun and learning. The camp program encompasses a variety of different skill sets and interests, designed to engage all of the Scouts who come to Camp Coker. Through their experiences at Webelos Adventure Camp, it is hoped that these Scouts will begin a mental and behavioral transition to Boy Scouts. That is to say, each Scout will have a better grasp of leadership and teamwork, and the important roles these skills play in leaving the world just a little better than they found it. The goal of each Webelos Adventure Camp staff member is to ensure that every Scout who comes to camp has fun with a purpose. Every staffer has a personal and professional goal of having a positive and meaningful impact on the campers by guiding them through new activities and challenges, helping them learn valuable and interesting skills, and enabling them to achieve success. The staff of Webelos Adventure Camp takes great pride in being part of the camping network which serves all the Packs in the Pee Dee Area Council on an annual basis, and strives to continue this tradition of excellence Webelos Adventure Camp Dates Sunday, June 25, 2017 through Wednesday, June 28,

4 Pack Preparation For Camp Each Pack must be under the leadership of a registered adult (over 21 years of age), preferably the registered Cubmaster or Webelos Den Leader. If the Cubmaster or Webelos Den Leader is unable to attend, the Pack Committee must select an adult camp leader. The Pack must have at least two adults in camp at all times in accordance with national policies of The Boy Scouts of America. Additionally a ratio of one adult for every four Webelos (1:4) must be maintained. The camp leader is expected to participate in the daily leaders meeting to receive any schedule changes or other important information. He or she assigns and coordinates the responsibilities of all adult leadership for the Pack while in camp. Other Adult Leaders: 1. One adult attending camp must currently be registered as a leader of The Boy Scouts of America for insurance and liability purposes. A Pack can and should have parents as substitute leaders at camp. All adult leaders who are in camp must have completed the adult leader youth protection training. A copy of the completion certificate for each leader in camp will be required to be turned in with your registration package. 2. All camp leaders are responsible for maintaining the organization and discipline of the Pack at all times at camp. 3. At camp, only those activities that meet the standards of the Scout Oath and Scout Law are permitted. Your cooperation and understanding in helping maintain these high standards of morals and personal behavior is appreciated. Scouts With Special Needs Webelos Adventure Camp is meant to be fun for everyone! The camp staff is dedicated to providing a fun and exciting program to all campers, regardless of any mental or physical limitations. Webelos Adventure Camp has alternative programs, transportation, and dietary systems in place to provide the full camping experience to anyone who wants it. If you have any youth or adults who you feel may need assistance, please contact the Council Office in advance so that the proper preparations can be made for your arrival. 4

5 Camp Promotion & Planning Preparing for camp is an easy process, but does require planning ahead. The Cubmaster and the Pack s camp leader are the most important links in this preparation. The following checklist is designed to guide the pack leadership in pre-camp planning for the summer at Webelos Adventure Camp. Remember to include the Bear Cub Scouts and their parents in the planning and camp promotions for Webelos Adventure Camp. By the time camp begins, all Bear Scouts will have progressed into Webelos. Webelos Adventure Camp will give these brand new Webelos a jumpstart on their advancement. 6 Camp Theme Nothing can make learning new skills and overcoming challenging obstacles quite as fun or memorable as putting a unique spin on the entire program. For this reason, Webelos Adventure Camp strives to use a fun and dynamic theme as a basis for each summer s program. For Webelos Adventure Camp this year the theme is Pirates on the Horizon. The purpose behind this theme is not only to learn how to build physical fires, but also to ignite the spark of passion for the Scouting Ideals in each camper. It is the hope of the whole staff that the Scouting Spirit will burn brightly in each Scout by the time they leave camp. Webelos Adventure Camp General Information Webelos Adventure Camp offers a wide variety of advancement opportunities for its participants. However, it is important to note that fun and adventure are emphasized over just advancement. As such, the staff will be focusing on providing the Scouts interactive and exciting opportunities to experience new things, completing advancement requirements in the process. These opportunities include shooting sports, aquatic activities, and much more. Each day at camp will begin and end with a flag raising and lowering ceremony, to provide an example to the Scouts of how to show proper respect for the United States flag, and to honor the principles and ideals which have made this country great. The staff of Webelos Adventure Camp is trained and knowledgeable in programs designed for pristine as well as inclement weather, and is prepared to provide and interactive and meaningful program under most any conditions. Camp Coker has a variety of facilities which are made into an active part of the program. Some of these facilities include Boney Finger Island, the Stallworth Lodge, the Handicraft Pavilion, the Shooting Ranges, and much more! These facilities will be decorated in a manner that supports our theme of Pirates of the Horizon. All of this to provide a unique experience to Webelos Adventure Camp, and make the program distinctly fun and memorable. Please ensure the boys understand that the decorations and props are not toys and should not be disturbed in any manner! Physical fitness is a natural part of the program at Webelos Adventure Camp. The campers spend a large portion of the program day up and moving around, staying active. That being said, ample time for rest is scheduled, and nutritious meals are provided. Nine hours of sleeping time is scheduled every night so that every camper has the opportunity to get the amount of sleep recommended for the Scouts. The staff of Webelos Adventure Camp believes that the opportunities camp offers have the potential to positively influence any and all Scouts. As such, the entire staff is dedicated to providing a quality camping experience to every Scout who wants to participate, and is more than willing to work with every camper to guide them through the activities to the best of the camper s abilities regardless of physical and mental abilities or limitations. 6

7 Webelos Adventure Program In the Webelos Adventure Program, we are excited to offer a variety of adventures covering not only requirements but also electives. At camp, the Webelos Scout will have the chance to work on up to six adventures. There are three activity periods a day that last up to 2 hours each, for a total of six for the duration of camp. The adventures being offered this summer will include two requirements, First Responder and Webelos Walkabout, and four electives, Aquanaut, Into the Woods, Into the Wild, and Build It. All adventures will be offered at different times during the days. All Webelos will also spend time on the Range with BBs and Archery instructors. Arrow of Light Scouts Adventure Program A separate program is planned for the Arrow of Light Scouts. They will work on two requirements, Building a Better World and Camper, and two electives, Art Explosion and Castaway. In addition, Arrow of Light Scouts will build and race a boat for a Raingutter Regatta and compete in a row boat relay. Of course, time will be spent on the range with our BB and Archery instructors. 7

Raingutter Regatta Arrow of Light Scouts will be given their raingutter regatta kits at Check-In. They are able to work on them during their free time. Limited supplies are available to personalize their boats. However, it is a good idea to bring some materials to decorate their boats. Suggested materials include: markers, crayons, stickers, etc. The Scouts will be able to use their pocket knives to carve their boats, but this is not necessary for construction. Be sure that each Scout brings their Whittling Chip card and has completed their knife safety course. 9

10 Planning Timeline January Promote Webelos Adventure Camp to Bear Scouts and Webelos at the January Pack meeting using Leader s Guide and registration forms. Provide printed handouts to parents, which include dates and costs, and registration information and deadlines for all fee payments. Recruit Scout and leader participants (1:4 Leaders to Scouts ratio). Ask parents to serve as camp leaders they are often willing to help if they are asked. Stress the fun, learning, and advancement opportunities Begin planning for camp physicals for Scouts and adult leaders. February Begin projects to help Scouts with camp fees. Invite Scouts to attend Webelos Adventure Camp, highlighting the fun and advancement opportunities. Recruit extra leaders for the 1:4 Leader to Scouts ratio. Continue camp promotion at February Pack meeting. March Begin arranging transportation to and from camp. Arrange for camp leader and other adults to complete Youth Protection Training. Continue camp promotion with Bear Scouts and Webelos. Contact parents of Bear Scouts and Webelos not signed up to attend camp. Ask why their son is not yet registered. Highlight the advancement opportunities and not wanting to miss out. May Early Bird Discount for Scouts ends May 26, Conduct a parents meeting to review camp details. Check to ensure medical forms are current for each Scout and adult attending camp. 10

11 Two Weeks Prior to Camp Send dietary restrictions and special needs to the Council Office to the Attention of the Camp Director. Send requirements for essential medical equipment (electrical, special transportation, etc.) to the Council Office to the Attention of the Camp Director. Remind all Scouts and parents of dates, arrangements, equipment needs, departure times medical forms, etc. Check on transportation arrangements. Day Before Camp Gather receipts for camp fees paid in the Scout Service Center and be prepared to submit them during check-in. Remind campers to bring their medical forms to check-in. Be prepared to list all medications for the health officer at check-in. Remind campers to wear swimsuits to camp to speed along check-in and swim checks. Check on final transportation arrangements. Transportation Most Packs either carpool from their pack meeting place or have each family meet at Camp Coker. All drivers must have a valid driver s license and be at least 18 years of age. Trucks, trailers, and campers shall not be used to transport Scouts and leaders, except in the cabs with seatbelts. All transportation will be parked in the Camp Coker parking lot either across from Stallworth or across the street from the main gate. Tag-a-Longs Unfortunately, Webelos Adventure Camp is not designed to accommodate Tag-a-Longs and, as such, none will be allowed to attend Webelos Adventure Camp. Tag-a-Longs are any child that is not a Webelos or Arrow of Light Scout, such as a brother, sister or younger/older Scouts. 11

12 Medical Considerations BSA Medical Form Part A & B are required for all Scouts and Adults at Camp. Webelos Adventure Camp has a fully qualified health officer on duty 24 hours a day. Some Scouts and adults have special medical needs, such as electricity to charge a wheelchair, operate a sleep apnea machine, or nebulizer. Some campers have medications they require, either prescription or over-the-counter. Campsites have limited electrical availability. Any Pack requiring electricity for essential medical equipment must inform the Council Office two weeks before camp begins. In accordance with the policies of The Boy Scouts of America and South Carolina state law, all medications for Scouts and adult leaders (both prescription and over-the-counter) must be logged at camp and remain in a locked box that the unit leaders will turn over to the Health Officer who will keep locked in the Health Lodge. Medications that must be kept cold will be refrigerated. Medications will be logged by the unit leader and the records will remain at camp after their departure. The only medications that should remain on the camper s person are those that, the absence of which, could place the camper in a life-threatening situation. Examples include bee sting kits, heart medication, emergency asthma inhalers and Epi-Pens. Medications should be in their original containers with the owner s name on the outside. If a camper has more than one medication, please place all of one camper s medications in a Zip Loc bag. For ease of identification, include a 3x5 card with the Scout or adult s name, Pack number, and times medication is normally administered. Check-In The staff is not able to accommodate early check-in times due to preparation for campers and checking in other packs. When arriving at Webelos Adventure Camp, please be sure that the Pack s camp leader reports to the check-in table located at the Stallworth Lodge. We ask that Packs checkin all scouts and adults together. The camp check-in process will include unloading of gear, verification of fees and receipts, medical checks, tour of camp, and a swim test. Your schedule for these activities will be set at check-in and is subject to change. Bring three copies of the up-to-date pack roster and all medications for all Scouts and adults. Only two vehicles will be permitted on each side of the lake at one time. Therefore, your Pack will only be allowed to use one vehicle to move equipment into your designated camping area. No other Pack will be allowed to drive into the camp area until you have reported back to the check-in area. Please unload your vehicle as quickly as safely possible and return your vehicle to the camp parking lot at the front of the camp property. 12

13 Swim Checks All Scouts and leaders must participate in a swim check and be classified according to their ability on Day One during the check-in process. Scouts and leaders should have their swimsuits and towels within easy reach to speed along the check-in process. Swim checks will be conducted at the lakefront with qualified lifeguards and adult supervision. Please note that swim checks are conducted until 4:45pm so plan your arrival time accordingly. Any group arriving after 4:45pm will need to wait until the following morning to do swim checks. Each Scout and adult will be assigned a buddy tag. All swimming and boating activities will be conducted with a buddy. Webelos Adventure Camp does not allow pre-camp swim checks. Equipment Provided at the Camp Site 1. All have a lighted pavilion with electrical lights, ceiling fan, and picnic tables. Exceptions to this are Shaw and Horry campsites. 2. Wall tents on platforms with 2 cots each. Shaw and Horry campsites have Adirondak-style bunkhouses with electricity. 3. Flagpole 4. Additional equipment is available upon request. Damaged Property Scouts and adults are expected to take care of all property and equipment they use. Close adult supervision can usually prevent any damages from occurring. Sometimes, however, property is damaged and it needs to be replaced or repaired. The camp staff will inspect all campsites and camp issued equipment before a Pack checks out. Damages could include broken or lost equipment, or defaced shelters, latrines, or buildings. If property is misused by the Pack, the cost of any damages must be settled before a Pack leaves camp. Damages should be reported to the Camp Director The Scout Uniform The uniform of The Boy Scouts of America is an easily recognizable symbol of the proud heritage of leadership, honor, and service of the organization. While at Webelos Adventure Camp, you will notice all of the camp staff in full Field uniform and/or Activity uniform at all times. Campers are strongly encouraged to bring their uniforms to camp to wear at evening meals, chapel, and closing campfire. Wearing the uniform is a great way to show individual and Pack spirit, and breaks down barriers between diverse ranges of people, reminding Scouts that they all share common values and common bonds of Brotherhood. 13

14 Equipment Checklist The following list is suggested but certainly is not all encompassing Complete Scouts uniform or appropriate leader s uniform for evening meals, campfires and flag lowering Clothes (shorts, 1 pair of jeans, t-shirts, pajamas, or sleeping clothes, underwear, and socks) for at least 4 days Extra socks Jacket, sweater, or sweatshirt Swimsuit Towel (one for lake and one for showers) Athletic shoes or comfortable hiking boots and 1 pair of shoes that can get wet Plastic bags for wet clothing and towels to travel home Poncho or raincoat Backpack or duffle bag that can be easily carried to campsite Sleeping bag or blankets and sheets and a small pillow Toiletry kit (toothbrush, toothpaste, soap, comb, etc.) Notebook, pencil/pen, Webelos handbook (small drawstring bag to carry stuff in) Sunscreen and non-aerosol insect repellent Flashlight, Watch, First Aid Kit $50 spending money for souvenirs and snacks at the Trading Post What NOT to Bring to Camp Electronic games or radios Sheath or Fixed Blade Knives Skateboards Guns or Archery items Alcohol and Illegal Drugs Candles, Fireworks ATVs, RVs, or Bicycles Pets Expensive cameras or valuables of any kind 14

15 Food Service Webelos Adventure Camp has employed a dedicated food service staff to provide quality food for Scouts and leaders in the Camp Coker Dining Hall. A licensed dietician has reviewed the menus for balanced nutrition. Encourage your Scouts to eat all their food. Special Dietary Needs We want your stay to be an enjoyable one at camp. If Scouts and Adult participants need special meal substitutes because of dietary restrictions, please notify the Camp Director in writing two weeks prior to your Pack s arrival. Upon your arrival, please speak to the camp health officer to ensure that over the course of the sessions your meals are sufficient and correct. If you have any concerns after arrival about your meals or any of the Scouts meals, please speak immediately with the Camp Director to ensure that your needs are met adequately. Pack Leadership Role of the Leader A teacher, a listener, a motivator, a disciplinarian, these are just a few of the roles of a Scout leader. In camp, this is only amplified. Every Pack is required to have at least two adult leaders (at least one must be 21 years of age) in camp at all times. Though a leader s role in camp is probably the most challenging, it is also the most rewarding. The staff at Webelos Adventure Camp understands the challenges and the rewards, so we are always willing to help when needed. Daily Camp Leader Meetings There will be an important Camp Leaders meeting on check-in day held after dinner in the Dining Hall. Daily mandatory Camp Leaders meetings are held after breakfast at the Dining Hall. 15

16 Camp Policies At Webelos Adventure Camp, the Boy Scout Oath and the Boy Scout Law are our guiding principles. We expect each leader to provide the guidance within the Pack to follow these principles, the policies of Camp Coker, and the Pee Dee Area Council. Alcoholic beverages and illegal drugs are not permitted at Camp Coker. Possession or use of them on camp property will be cause for removal from camp. No personal boats are allowed at Camp Coker Campers will only be released early from camp to custodial parents Camp will provide BB Guns, bows, arrows and ammunition at the shooting sports ranges. Under no circumstances should ammunition and firearms be brought to camp. Fireworks, including sparklers, are strictly prohibited! Hazing is strictly prohibited. Hazing can lead to serious consequences, both to the physical well-being and emotional stability of the Webelos. Even a mild incident can convince a Webelo to leave Scouting, i.e. snipe hunting. Be aware that new campers are particularly susceptible to hazing. Knowledge of any abuse should be reported to the Camp Director immediately. If you plan to leave camp, please sign in and out at the camp office located in the Training Center. While camp is in session, lost and found items will be maintained in the Dining Hall. Mosquitoes frequent the woods of Camp Coker. All campers should use a nonaerosol mosquito repellent for added protection. The camp is not responsible for lost or stolen items. If such an unfortunate event occurs, it is recommended that a police report be filed for insurance purposes. Individuals with disabilities desiring to bring a golf cart type vehicle to camp must apply for a permit through the Camp Director in writing at least two weeks prior to arriving at camp. No pets are allowed in camp. Open-toed shoes and flip flops are not permitted to wear around camp, except while actually in the showers. Closed-toed shoes must be worn to and from the showers. This includes Crocs and Croc type shoes. Smoking is prohibited on the entire camp property. The camp speed limit is 10 MPH. There are many campers roaming the area. All visitors must check-in at the camp office when coming into camp and checkout when leaving. No bicycles are allowed in camp. Trucks, trailers, and campers shall not be used to transport Scouts and Leaders except in the cabs with seatbelts. No Sheath or Fixed Blade Knives are allowed in Camp. Only pocketknives are allowed. 16

17 Trading Post The Webelos Adventure Camp Trading Post provides a full selection of items for your stay. The following is a list of our available items: T-shirts Flashlights and other camping items Snacks and drinks Credit card service is available in the Trading Post for Visa and MasterCard. Cash and checks are also accepted. Outdoor Ethics Camp Coker is a beautiful property, filled with natural wonder. Getting to experience nature is an important part of the Scouting program, and is an opportunity every camper should take advantage of at Webelos Adventure Camp. It is also important to preserve the natural splendor of the camp for all future campers. For this reason, it is important to review the Leave No Trace practices with your Scouts before coming to camp, and actively practice them while at camp. Refund Policy The Pee Dee Area Council Refund Policy is posted on the Council website or can be obtained from the Council Office. Visitors Parents and families are always welcome at Webelos Adventure Camp. Please register in the Camp Office upon arrival at camp. The Camp Office is located in the Training Center near the front gate. The campfire held on Tuesday night is the best time for visitors. 17
