Webelos Woods is district-organized event that culminates in a weekend of fun outdoor activities with the intent of providing opportunities for advancement and to aid with the Webelos-to-Scout transition. Webelos and their adult partner will get an interactive preview of the Scouting program through a series of fun-filled activities accentuating the scouting experience. Share meals and a campfire to learn how your scout will camp when crosses over to Scouts. Learn about the Patrol Method while enjoying the comforts of Camp Trevor Rees-Jones, with electricity in the campsites and amenities better than some State Parks. 2 REGISTRATION INFORMATION: Online registration for this event will be on the event page on the Northern Trail Website. There are separate links for Webelos Unit registration and Scout Staff registration. The web signup gathers participant information to aid event planning. Friday night each group checks in at the headquarters building (check-in opens Friday night September 28 at 7PM and closes at 10PM). Fees: $10 per participant adults and scouts. Campsite assignments will be provided at the time of checkin. Checkout is by 11AM Sunday at the headquarters building. You will need to get your campsite inspected by event staff before you can leave. Stay tuned to our District s web site: for details as they develop. For Webelos Woods questions, please contact our leader distribution list using webelos_woods@ntrail.org FOR RETURNING PARTICIPANTS: The Saturday format of rotating between instruction stations is similar to what we have done in past years. Scouts will teach the material under the supervision of adult leaders from their Troop. To avoid hiking back to campsites at lunchtime, you may want to arrange for sack lunches the Webelos can prep after breakfast and bring with them in their day packs. FOR NEW PARTICIPANTS: Welcome to Webelos Woods! The objective is to learn first-hand how much fun it will be for you and your scout to cross over to a Scout Troop. And to satisfy Webelos Badge and Arrow of Light requirements while you do so. Some logistics: Friday night, when you arrive at camp, your first stop is the headquarters building. You will need to pay your event registration fee, update your roster, and review any paperwork such as BSA med forms and proof of YPT. Registration at the headquarters building opens at 7PM and closes at 10PM. If you need to arrive early, please contact event staff at webelos_woods@ntrail.org On Sunday morning after you pack up your gear, please have your Webelos search the campsite to clean up any litter or debris. We want to teach the scouts to "Leave No Trace". Patches and checkout packet will be available (after your campsite is inspected) at the headquarters building.

5 MEDICAL There is not a medical officer or staffed medical lodge for the event, so unit adult leaders will need to have basic first aid kits and keep control of any required medications for youth or adults in your unit. As with any campout, each unit should have paper copies of a BSA medical form (sections A and B with health insurance details) for each participant (youth and adult) in their possession at all times. When you check in at the Headquarters building, event staff will check your BSA med forms against your unit roster to ensure that you have a form for each individual in your group. Note that the event staff will not keep the med forms -- they will be returned to you so that you have them available in the event of an emergency. Any prescription medications must be kept in a prescription bottle. Youth should not keep their own medications -- each unit should designate an adult who can maintain control of the medicines preferably with them at all times such as in a day pack) and administer them to the youth in their unit under schedule and conditions specified by parents on the BSA med form. Medical Form Download: MEDICAL PARKING PASS In general, we need to minimize driving in camp to prevent accidents. Each campsite can keep one vehicle in the campsite (usually the truck that tows the Troop trailer) that can be used in an emergency. When you unload, please drop your gear and move the car to the parking lot. Each unit will be given one driving pass so that they can take turns unloading. If an individual in your unit has a medical reason that they cannot walk and a car is needed, please contact event organizers at check-in to request a medical parking pass. Note that most of the program areas are not accessible by a road, and we can t have vehicles driving among the Scouts who are moving from station to station. A legal handicap sticker or license plate will suffice for this. EMERGENCY In the event of an emergency in-camp, go to the ranger kiosk at the camp entrance and contact the camp ranger using the radio that is mounted to the kiosk s wall. The camp ranger can notify local authorities and direct them to the correct location to provide the fastest possible help. For routine event questions, one of the event staff should be available at the Headquarters building.

7 Frequently Asked Questions Q: I am not a den leader or a cubmaster. Can I lead a group to Webelos Woods? A: All that we require is that you and other adults with you have YPT. Q: The flyer says that every adult needs Youth Protection Training (YPT). A: This is a requirement for any scout activity. If you don t have a current certificate, it can be completed online. Q: We don t have equipment like tents. Can we borrow a tent. A: Contact the staff at webelos_woods@ntrail.org and we will find a troop who will assist you. Q: How do I find out what campsite we are assigned to? A: You will receive this information at check-in in the Headquarters building. Q: Can Webelos share a tent with their parents or must they be in their own Patrol area? A: Yes this is within the guidelines. The key thing is to avoid YPT violations. Follow the guidelines described in the YPT course and insure that others comply also. Q: Do my Webelos scout and I sign up individually or do we sign up as a group: A: It is ideal to have den leaders sign up their Webelos Patrols as a group. It is OK if multiple Webelos Patrols (W1, W2) sign up together as a Pack. It also is OK if each Webelos Patrol in a Pack signs up independently. A: If you are the only one going it s OK to sign up as your own group. Q: Can we just go out during the day Saturday and not camp? A: While the event is organized as a 2-night campout to show Webelos how Scouts camp, it is better to have only part of the experience than none of it. So it s OK to come in for the day. However, you will need to pay the registration fee, and you ll need to arrive in time to register at Headquarters (please see the agenda page for times). Q: May we bring siblings to Webelos Woods? A: This is a Webelos / Scout event, so if possible please just bring adult leaders (including Scout parents with YPT), Webelos, and Scouts. However, if circumstances dictate that you must bring along a nonparticipant sibling, then please ensure constant supervision for non-participant siblings, and please be aware that non-participant siblings generally cannot participate in Webelos activities, which are chosen to be age appropriate for 4th and 5th grade children who have the proper Scout training (for example

8 Whittlin Chit is needed when a knife is used), so please bring along quiet activities and snacks to keep non-participant siblings busy and happy. Thanks for reading our FAQ. Campers should bring comfortable clothing appropriate for the weather, including their uniform. Basic toiletries only, don t go overboard. Don t forget a sleeping bag, rain-gear, sunscreen, insect repellent and a water bottle. Don t bring things like video games etc., the scouts will be busy and they will be a distraction. Most scouts bring far more than they need. If in doubt, leave it at home. Each unit is responsible for their own food, so consider your food as a group and bring needed eating and cooking equipment utensils. If you need assistance with what to bring or equipment, please contact the staff and they will get you some help. WHAT WEBELOS LEADERS NEED TO DO: BEFORE CAMP: 1. Please fill in the registration link on ntrail.org: 2. Gather the following for each cub scout and adult: a. Medical form - Parts A&B need to be completed. Download the form here: b. Tenting arrangements - you will need to bring enough tents g. Mess kits - You need to bring your own. h. Grub fee - Most units collect a grub fee from each person to pay for groceries, discuss these arrangements before your unit before shopping for provisions. i. What time will the unit arrive at camp?

9 CHECK-IN FRIDAY NIGHT: (HEADQUARTERS BUILDING BY THE PARKING LOT) 1. Please have one of your Webelos adult leaders check you in as a group. 2. You will need to correct any roster differences from your web signup entries and pay the event fees ($10/participant, including adults). Note that the event fee is the same even if you miss part of the event. 3. You need to have a BSA med form (sections A and B) for each youth and adult. These will be shown to event staff at check-in, however you will need to keep them with you. 4. If you have medicines, they need to be in the control of a designated adult in your group, preferably in a locked container. They need to be in prescription bottles. At check-in, event staff will ask you how you are handling medications. 5. Event staff will need to see proof of youth protection training for every adult your roster who will be in camp for all or part of the weekend. 6. If you have a medical need to keep a vehicle in your campsite or to drive around camp, then please request a medical driving pass from event staff at check-in. Legal hangtags or license plates are sufficient, however. WHEN YOU GET TO YOUR CAMPSITE: 1. You may arrive at the campsite before others. If so, please set up your tents in a limited area of the campsite, to leave room others to set up their tents and cooking areas. 2. Please unload with only one car in the campsite at a time, and please leave all cars in the parking lot across from the headquarters building.
