1 HELLO PARENTS & GUARDIANS! Thank you for registering for one or more of our amazing summer camp programs this season. We are confident your child(ren) will enjoy themselves tremendously as they participate in a variety of creative, fun, active and exciting games, songs, sports, arts, drama, swimming, and so much more. Our staff makes a point of getting to know each camper individually, and it is our team goal to make this the best summer of their lives. Whether your child knows other campers or is new to The Waeg (or to Halifax), our camp buddy-system will ensure they feel welcomed and engaged from the very first second. Our truly unique summer camp experience offers you the peace of mind that comes with knowing your kids are active, engaged, and having the time of their lives in a safe, fun environment. We hope you will partner with us this summer to provide the most positive experience for you and your camper. As a start, this parent/camper information package will answer many questions concerning the upcoming summer day camp experience. As a follow up, you will also receive a Camp Newsletter and a personal "Camper Call" from your child's camp counselor. 2 STAFF Our Summer Camp Staff are carefully selected on the basis of their past experiences, skills, enthusiasm and their ability to work with children. We guarantee the safe supervision of your child by monitoring and maintaining staff-to-child ratios for the appropriate age group. We want you to feel confident that your child is in a caring and safe environment. All staff are supervised by a Camp Coordinator who reports directly to Katelyn Matheson, our senior administrator of programming and recreation at the Club. In addition to our core staff, our summer camp also benefits from the supervision of our 25+ fully qualified lifeguarding staff. All of our staff must attend mandatory training on topics such as leadership, motivation, teamwork, parent feedback, policies and procedures, as well as specifics about camp programs and management expectations. All of our staff are certified in Standard First Aid and CPR C. CAMP NEWSLETTER & PARENT COMMUNICATION In the week prior to the start of each week of our summer camp, parents will receive a Camp Newsletter detailing the weekly schedule, daily routine and specific camp guidelines for the week for which you have registered. We will also include information on the particular theme associated with the week you have registered. In addition to this newsletter, you will receive a "Camper Call" from your child's group counselor prior to the camp start date to welcome you and your child to our camp programs, as well as to review important camp details. Please note: only those with children registered in our full day camp will receive "Camper Calls." In the unlikely event that a day of camp must be cancelled, or if there is a change in the weekly schedule, an will be sent directly to all parents and caregivers at the address provided to our staff. Notices will also be posted on our social media sites and our website. 3 ATTENDANCE & SAFE ARRIVAL If you know in advance that your child will be absent, please send a note to the Camp Coordinator or leave a voic on the camp phone. If your child is ill or cannot make a day of camp, please contact the Camp Coordinator as soon as possible. Marked attendance will be taken four times a day: at 9am, after morning break, after lunch and again after our afternoon snack. Safe Arrival - If a child has not arrived to the camp by 10am, a call will be made to the parent or emergency contact to notify the parent of the child's absence. FULL DAY CAMP HOURS & COMPLIMENTARY EXTENDED CARE Camp Waegwoltic runs from 9am-4:30pm Monday to Friday. Camp drop-off and pickup are on the Multipurpose Room (MPR) front deck. Parents are asked to use their own discretion when deciding whether they drop their child off directly at the MPR or if they drop them at the front gate, however, we strongly recommend dropping your child off at the MPR. All campers must be picked up directly from the MPR in the afternoons. Upon arrival, all campers are checked in by one of our staff and signed out at the end of the day. Early Pick-up: early pick-up times must be prearranged with the Camp Coordinator. If you have not made prearrangements but need to pick your child up, we ask that you visit the Main Office and they will direct you to the location of the camper, and will contact our camp staff (wherever possible) to ensure your child is ready to go. Parents requiring extended care will be happy to know that we are providing a complimentary early drop off and late pick-up service. Campers can be dropped off as early as 8am and picked up as late as 5:30pm. There is no need to pre-register or notify the Camp Coordinator to use this great service. We will have staff on hand from 8am until every child is picked up. Extended Care Procedure: Children are to be dropped off between 8am and 8:50am at the MPR. Extended Care staff members will be in a bright green shirt. All campers are to report and sign-in with the staff member. Early arrivals will be supervised together until 8:50am when they join their camp counselor and group. If you are dropping your child off early but they do not require supervision and would rather do their own thing until the start of camp, please do not have them sign-in with our extended care staff as they will then be required to remain at the MPR once they have signed in. At 4:30pm, all campers who have not been picked up will reconvene at the MPR to wait for their parents to pick them up. The latest pick-up time is 5:30pm. Failure to do so will result in a penalty of $1.00/minute according to our clock and sign out sheets.
4 Parents are required to sign their child out with our extended care staff. If your child is remaining on the property after camp and does not require extended care, arrangements to release the camper must be made with the camp coordinator. SAFETY Each Camper is required to have a Camper Information Form filled out prior to attending camp (attached to this guide). Please complete and return this form as soon as possible. Please ensure that all medical concerns and/or special care requirements are documented in your Camper Information Form. Should your child require medication, use of an asthma inhaler or Epinephrine pen while at camp, it is required that the child or parent/guardian leave any medicine with one of our camp staff. We also request that you provide a signature on the Camper Information form below, granting permission for our staff to assist with administering medicine to your child. We also ask that parents ensure their online account has the most up-to-date contact information and includes an emergency contact. We are dedicated to providing a positive accessible inclusive experience at Camp Waegwoltic. Should your child require support to participate, please contact Katelyn Matheson, Program Manager at katelyn@waegwoltic.ca or ext.2. We have a zero-tolerance bullying policy at the Waegwoltic Club. Any incidents that may arise will be dealt with directly by David Greaves, Chief Operating Officer. If you have any concerns during your child's time with us, please contact him directly by david@waegwoltic.ca or phone ext.111. Either you or one of the three (3) listed people in the camper information form will be required to sign your camper out each day unless alternative arrangements have been made and communicated to our camp staff. Attendance will be taken 4 times daily: 9am, after morning break, after lunch and again after our afternoon snack. All campers will be signed in at the beginning of the camp day. Safe Arrival calls will be made after 10am. Our summer campers will be divided into groups according to age. Each group will be identified by a differently-coloured pinnie that campers will wear for the duration of the day. All staff on the property are trained in CPR C and First Aid. In the event of a serious injury parents will be notified immediately. Minor incidents that occur during the day will be reported to parents at pick-up time. ILLNESS PROTOCOL If your child becomes ill during camp hours, the parent/guardian will be notified immediately to pick up your child. The child will remain in the care of our Main Office staff until the parent or guardian arrives. For the safety of all campers, if your child has a communicable disease (i.e. pink eye, chicken pox, infection, etc.), please refrain from bringing him/her to camp until they are no longer contagious.
5 CLOTHING, SUNSCREEN & LOST AND FOUND Campers should wear comfortable clothing that is weather-appropriate. For their safety and protection, it is strongly recommended that they wear closed-toe shoes, hats and sunscreen. Please discuss with your child(ren) the importance of caring for and keeping track of their belongings. Our staff is not responsible for lost or missing items. No toys or special items should be sent to camp. Please label your child(ren)'s clothing and personal items so that lost items can be identified. Campers are advised not to bring valuables to camp. A labeled bottle of sunscreen can be sent with your child on the first day of camp. All campers will be required to reapply during the day. We recommend that children arrive at camp wearing sunscreen. SNACKS & LUNCHES Please remember to pack lunches and snacks that will not spoil (or alternatively, include an ice pack). Two or more drinks are advisable, preferably in a refillable container, as campers will be outdoors and active throughout their day. Please be sensitive to those campers with life threatening food allergies. All camps are "NUT AWARE". We ask that you do not send products containing nuts. While our staff makes every effort to accommodate summer campers with food allergies, we have only limited control of the food products brought on site. It will be the parent's responsibility to provide: Lunch or canteen money Morning snack Water bottle A healthy afternoon snack will be provided by the Club each day. Healthy brown bag lunches can be purchased at a cost of $40 per week. For $5, summer-campers can enjoy Big BBQ Fridays (included in price of lunch plan). SWIMMING & WRIST BANDS For camps that will be swimming during the week, qualified Aquatics staff will be on deck to supervise and maintain pool regulations while your child(ren)'s camp counselors will be in the water with them. Alternative activities will be provided for any camper who is not interested in participating in swimming/water play. All campers will be required to complete a swim test in order to receive a bracelet, allowing them to swim in the pool unaided. All other campers will be required to wear lifejackets or a flotation device. This is an informal test, done through observation by our Head of Aquatics. Parents are required to provide the necessary flotation device for their child.
6 SWIMMING & TENNIS LESSONS Putting your child into our summer camp does not mean they need to miss out on our regular programmed tennis and swimming lessons. You can register your child in any lessons that happens on the property between 9:30am and 11:30am, and we will make sure they are ready and get there safely. Lifeguards and tennis instructors will come to the camp on the hour and half-hour to pick up children for lessons. They will then ensure that the children gets ready and are taken to the area of the lesson. They will be escorted back to the camp at the end of the lesson. As a reminder, all regular programmed lessons run for 2 weeks and camps only run for one week.

9 OFFSITE PERMISSION FORM In the event of persistent inclement weather, a portion of our campers and counselors may be traveling on foot to First Baptist Church (1300 Oxford Street, approximately 8 minute walk) to use their indoor recreational space. Please fill out the form below if you are comfortable with your child participating in this potential outing.
