1 2018 Vendor Booth Application Welcome to the 43 rd Annual Tecumseh Corn Festival held at Lacasse Park in the Town of Tecumseh on Friday, August 24 through Sunday, August 26, The Town of Tecumseh appreciates the vital role our booths and vendors have in contributing to a vibrant, successful festival. We welcome your interest and provide on the following pages the application to participate and other pertinent information. Please read all of the Terms and Conditions carefully before completing the application. We look forward to this year s Corn Festival and hope you will join us and be a part of our eventfilled Weekend of Family Fun. Application deadline is Friday, August 10, SPACE IS LIMITED. 2 Tecumseh Corn Festival Vendor Booth General Terms & Conditions ADMITTANCE - Admittance to the Tecumseh Corn Festival will be determined solely at the discretion of the Town of Tecumseh. The Town of Tecumseh reserves the right to accept and/or limit the number of booths selling a particular item. Criteria for acceptance includes, but is not limited to, compliance with all dates and regulations in this agreement, presentation and appeal of booth or display, previous relationship with Tecumseh Corn Festival and date of application. Confirmation of acceptance/approval will be sent via to all those who are successful in the application process for the 2018 Tecumseh Corn Festival. BOOTH LOCATION - Location of booths will be determined by the Town of Tecumseh. Booth location will be determined based on, but is not limited to, booth size, electrical/hydro requirements, and type of sale items. Requests for change in booth location may be made at time of arrival but location changes are not guaranteed. CARTER SHOWS LTD. - Carter Shows Ltd. has exclusive rights to the sale and distribution of Cotton Candy, Candy Apples and Caramel Corn. RESTIRCTIONS - The Tecumseh Corn Festival promotes family oriented goods. ABSOLUTELY NO knives, lighters, articles with profanity, body piercing services or drug paraphernalia, etc. are allowed to be sold at the Tecumseh Corn Festival. Please pay particular attention to wording on t-shirts and hats. If there are any questions to the suitability of a particular item, it will be up to the Festival s Site Logistic Supervisor to make a determination. SET-UP TIME - You may set up your booth on: Thursday, August 23, 2018 from 10:00 am until 8:00 p.m. Friday, August 24, 2018 from 8:00 a.m. until 11:00 a.m. All booths must be set-up and ready for business starting at 12:00 p.m. on Friday, August 24, Booths will not be permitted to set-up during festival hours of operation. VENDOR BOOTH INSPECTIONS - Vendor booth inspections (Health Unit, Building Department, and Fire Department) will be conducted two (2) hours prior to the start of the Festival. All vendors must be ready for the inspections and have a representative onsite to meet with the inspectors. Vendors that do not meet the requirements of the inspections will not be permitted to open. VENDOR VILLAGE HOURS OF OPERATION - Friday, August 24 th 12:00 p.m. to midnight Saturday, August 25 th 12:00 p.m. to midnight Sunday, August 26 th 12:00 p.m. to 7:00 p.m. Booths must open at start up time each day of the festival and must remain open throughout the festival operating hours. Booths may begin closing at 10:00 p.m. and must cease sales by midnight. Tecumseh OPP will close down those that remain open past closing. 2
3 SERVICE AND DELIVERIES - All service and delivery personnel are to be in and out of the park one hour prior to the start of the Festival. No deliveries or service personal will be allowed into the park during regular Festival hours. The gate will be closed to these types of vehicles. TYPE OF VENDORS - Food Vendor Merchandise / Product Vendor Informational / Promotional Vendor Arts & Crafts Vendor Arts & Crafts are hand-made products derived from raw materials including but not limited to paintings, sculptures, wrought iron works, wood working, candles, and home décor and/or existing products with a handmade value added component including but not limited to tie-dyed t-shirts, polished rocks and minerals. VENDORS/BOOTH PRICES CALCULATIONS & PAYMENTS All booths must be staffed and in operation for the three (3) consecutive days of the Festival and must reserve a minimum 10 x 10 sq. ft. site. No additional booth space can be added to your site once you arrive in the park. Please ensure that you request sufficient space for your vendor/booth site and that the frontage is listed correctly on the application. Vehicles are strictly prohibited in the booth and concession area. Selling outside your allocated space is also prohibited. Vendors are requested to submit a photograph of their booth along with the application. Law enforcement may be on site to regulate booths selling knock-offs or unauthorized merchandise. Illegal merchandise will result in automatic cancellation of the agreement and removal from the Festival grounds. Those using propane must meet the requirements of the Technical Standards and Safety Act, Ontario Regulation(s) and applicable Code(s). Pursuant to all applicable regulations, all booths must have an approved fire extinguisher. PAYMENT IN FULL is required with the application. The Town of Tecumseh will accept certified cheques, money orders, or bank drafts made payable to the Town of Tecumseh, cash, debit and Visa or MasterCard. VENDOR / BOOTH RATES - Rates are calculated on the square footage of the booth including storage, signage, awnings, anchors and hitches. 4 REFUNDS Refunds will be processed as followed: 100% refund prior to July 1, 2018; 50% refund from July 2 to August 10, 2018; and 0% after August 10, 2018 SITE SERVICING - The Town of Tecumseh is responsible for providing space only. Tents, tables, etc. is the responsibility of the vendor applicant and subject to approval of the Town of Tecumseh. An electrical fee of $50.00 for each 15 amp 125 volt receptacle for anything other than illuminating lights will be charged. A fee of $75.00 will be charged for each 30 amp volt receptacle required. A fee of $25.00 will be charged for water hook-up. Applicants must list all site servicing requirements (electrical requirements) on the application. There will be no additions allowed after the application deadline! A $25.00 fee will be assessed for any changes to application after August 10, For example, upon arrival to park, any vendor requests for hook-ups for water/power which was not indicated on the application, a $25.00 fee will be charged. All equipment/extension cords must meet the approval of the Electrical Safety Authority. All booths requiring electricity are subject to an inspection by the Electrical Safety Authority. Direct entries into electrical boxes are NOT allowed. The Town of Tecumseh does NOT supply extension cords. Generators are allowed for emergency measures only and/or at the discretion of the Festival s Site Logistic Supervisor. Trailers must have an approval label recognized and accepted by ESA. Booth maintenance and site clean-up is the sole responsibility of the Lessee. For those using charcoal, please bring proper containers to dispose of hot coals. Financial penalties will be assessed by the Town of Tecumseh for non-compliance. All used cooking oil must be either removed from the park or disposed of in the designated containers provided on site. All Vendors/Booths must meet the criteria or standards of the Windsor-Essex County Health Unit, Tecumseh Fire/Rescue Services, Electrical Safety Authority, Technical Safety Standards Association, the R.C.M.P., and any other regulated authority. All Vendors/Booths are required to dispose of grey water in accordance with regulations. Onsite disposal is available for a $25.00 servicing fee. 4
5 INSURANCE CERTIFICATE - All applicants must provide a Certificate of Insurance that names The Corporation of the Town of Tecumseh as an additional insured for the Tecumseh Corn Festival from Thursday, August 23, 2018 to Monday, August 27, 2018 of an amount not less than $2,000,000. The Certificate of Insurance must be submitted at the time of application. All applications that do not have a Certificate of Insurance will be considered incomplete and will not be accepted/approved. When including the Town of Tecumseh as an additional named insured, please use the following name and address: The Corporation of the Town of Tecumseh 917 Lesperance Road Tecumseh, ON N8N 1W9 The Certificate of Insurance may list the event name Tecumseh Corn Festival and the event location Lacasse Park but it must correctly list the above Name and Address. The Town of Tecumseh, their employees, volunteers, agents, the property owners, management, etc., shall not be liable to the Vendor, their employees, agents, or customers for any personal injury or damage to property. Everything brought to the show premises by the Vendor, their employees and agents or customers, shall be entirely at the risk of the Vendor or others for any loss or damage in accordance with Canadian Insurance Laws. The Vendor shall be responsible for the insurance of his own property. PROPANE ACKNOWLEDGEMENT FORM - All vendors using propane are required to submit a Propane Acknowledgement Form (Page 9) with the festival application. WINDSOR-ESSEX COUNTY HEALTH UNIT FORM - All food vendors are required to submit a Windsor-Essex County Health Unit Food Vendor Application Form (Pages 10 and 11) with the festival vendor application and comply with Windsor-Essex County Health Unit s Food Vendor guidelines ( The Town of Tecumseh will forward the Food Vendor Application Form to the Windsor-Essex County Health Unit in advance of the festival. All food vendors should be prepared for the Windsor-Essex County Health Unit to be on site to conduct inspections. PARKING - One (1) free on-site parking pass is provided per vendor. This pass must be displayed in the front windshield on the driver s side of the vehicle at all times. The vehicle must be parked in the vendor parking area only. Failure to do so may result in your vehicle being towed at the owner s expense. Requests for additional parking passes will be considered by the Festival s Site Logistic Supervisor. Vehicles are permitted in designated parking area only. However, on a daily basis, vehicles will be permitted on the festival grounds (subject to weather and festival ground conditions) up until one hour prior to the start of the Festival for the purpose of preparing and maintaining the vendor/booth site for customers. Vehicles will not be allowed in and out of the festival grounds during the festival hours and/or one hour prior to the start of the festival each day. PETS - ABSOLUTELY no pets are allowed in Lacasse Park during the festival. 5
6 SMOKE FREE The Tecumseh Corn Festival is a smoke-free event and adheres to the Smoke Free Ontario Act and the Town of Tecumseh s Smoke Free Outdoor Spaces Bylaw. Effective on January 1, 2015, the Smoke Free Outdoor Spaces By-law prohibits smoking, which includes the carrying of a lighted cigarette, cigar, pipe, or any other lighted or heated smoking equipment used to smoke or vaporize any tobacco or non-tobacco substance, as well as the use of smokeless tobacco, such as chewing tobacco (plugs, snus or snuff), in the following places: Parks, sports fields and recreational facilities; Within a nine (9) metre radius of any entrance of any building or structure under the control, supervision, ownership and/or operation of the Town of Tecumseh; and Within a nine (9) metre radius of a transit stop. The By-law will be enforced by any Provincial Offence Officer designated under the Smoke-Free Ontario Act from the Windsor-Essex Health Unit, Police Officer, Municipal By-law Officer or any other person appointed by Council to enforce the By-laws of the Town of Tecumseh. Any person convicted of an offence under this By-law may be fined a minimum of $100 to a maximum of $300. Any person convicted of a subsequent offence may be fined a minimum of $300 to a maximum of $1,000. VEHICLES No motorized vehicles of any kind, including but not limited to golf carts, personal transports, etc. are permitted in Lacasse Park during the festival. NON COMPLIANCE WITH ANY OF THE ABOVE WILL RESULT IN NON-ACCEPTANCE AND/OR BEING REMOVED FROM LACASSE PARK WITHOUT REFUND. 6

8 STAFF INFORMATION AND PARKING Please include the names of all those who will be working at your booth over the course of the weekend. Please identify what days they will be working. This information will assist the Vendor Coordinator in distributing staff admission armbands for Friday and Saturday. STAFF NAME: FRI. SAT. SUN. 10 2018 TECUMSEH CORN FESTIVAL PROPANE ACKNOWLEDGEMENT I, Vendor/Participant at the 2018 TECUMSEH CORN FESTIVAL do hereby agree and confirm that: 1. My workers, and I, as applicant are trained and knowledgeable in the operation of the propane tanks and that the equipment meets the requirements of the applicable legislation. 2. Cooking equipment: one (1) - 3A: 10BC extinguisher is required for trailers and booths, plus an extra extinguisher for outside/exterior cooking. 3. All other vendor type booths will require one (1) 3A: 10BC extinguisher. 4. Propane shall be located not less than ten (10) feet from any ignition source. 5. Propane cylinders must be secured and protected from mechanical damage or impact. 6. Propane cylinders used on MFSE (Mobile Food Service Equipment) must comply with the certified safety standards contained in the manufacturer s/owner s manual. 7. All vendors using propane must be in compliance with the Technical Standards and Safety Authority Fuels Safety Program Director s Order dated February 13, 2006, Reference No. FS and Revised Order dated June 1, See: 8. Non-combustible hoods must cover deep fryers from splattering grease in the event of rain. 9. All appliances must be CSA approved. All recognized symbols are available on the Corn Festival website All propane equipment to be installed by a Certified Gas Technician.
