2 What is a Klondike Derby? Briefly, this is it. Many years ago, men raced by means of dogs and sledges across the frozen tundra of the Northwest Territory in Canada in search of GOLD!!! Scouting has capitalized on this theme and has developed the Klondike Derby as an activity for Second Year Webelos Scouts (5 th graders). First, Packs must be notified and patrols have to be prepared. SLEDGES must be built by the Scouts (a sample design is in this packet). Incidentally, don t let the idea of sledges scare you. It is not essential to have snow for this event, and many of the best Klondike Derbies are held without snow. Each dog sledge team (so called because 4 to 8 Webelos Scouts act as Huskies) acts as a separate expedition, following a course outlined on a map given to them. The map guides the team over a field course to simulated cities named for Scout Ranks. Each sledge driver (Denner or Patrol Leader) is handed sealed orders at the starting line which contain his patrol s instructions for reaching its final destination, the North Pole. Teams are checked for readiness and the proper equipment and are then lined up at the starting line and, at the roar of the starting signal, are set off on the trail. Some distance away is a break in the trail where each team can quickly open its sealed orders containing their course direction and map. Each team gets its bearings and starts off for a different city as indicated on the map. A specific and different problem solving task involving basic Scouting skills and/or Webelos activity skill will be encountered at each city. Patrols will have a scorecard marked and will be awarded gold nuggets depending upon how well the team works out the problem. Once completed, the team makes for the next city. After the last city, the final stretch is the journey to the North Pole. Team leaders check in with the assayers who will mark the completion time and number of gold nuggets collected on the tally card. Awards are presented accordingly. Sounds good? You re doggone right!! Every Webelos Scout will want to be in on the Derby. Look over the enclosed plan, talk it up with your Webelos dens and leaders, and get the patrols to begin preparing NOW!!! 2
3 KEY DETAILS Scheduled times: Arrival and check-in between 8:30 am - 9:30 am. Start of race 10:00 am. Lunch any time after 11:00 am, at the Klondike city of each patrol s choice. Lunch must be completed and cleaned up before 2:00 pm. Last city Competition at the last city prior to the North Pole must be no later than 2:15 pm - NO EXCEPTIONS. If a patrol is still working at 2:15 pm, the mayor will instruct that work be stopped and will send the patrol back to the North Pole. Closing ceremony 3:00 pm (whether or not all patrols have checked in at the Assayer s Office). Winners will be announced based on scores as tallied at the Assayer s Office. Wrap-up 3:30 pm. Logistics at the beginning of the day: Sledges are to be dropped off at the West side of the Corral by the Webelos Assayer s Office. Webelos Patrols should wait next to the North side of the Corral. Unit leaders (only) check-in at the Webelos Assayer s Office. Each unit leader must submit a Unit roster form (a copy is supplied toward the back of this packet), along with any payment due. At registration, the unit leader receives one scorecard per patrol, which is then to be given to each Patrol Leader. After registration, when Patrol Leaders receive their scorecards, patrols may then proceed to Juneau to check-in their sledges. Patrols next proceed to Fairbanks (the starting line) and assemble there. Sealed orders and maps are given out at the starting line immediately prior to the start. After the starting signal, Patrols proceed to the designated spot where they open their sealed orders and proceed to their first city. If the team arrives at the correct first city, the mayor will give the team an additional five nuggets. The mayor then gives the team the Scouting challenge for the city and instructions on what to do when they finish. After the team completes the challenge, the mayor gives the team the number of nuggets they have earned and they are off to the next city. The mayor at each city is the judge of that event and HIS/HER WORD IS FINAL!! SAFEGUARD YOUR GOLD NUGGETS A word to each patrol: Carefully stow your nuggets. Only nuggets turned in at the end of the event count toward the final score, regardless of the scorecard record. The scorecard is for each patrol to rate its own performance after the Klondike Derby. TEAM SPECIFICATIONS As of the day of the Klondike Derby (January 27, 2018), each patrol may have: No more than 8 WEBELOS SCOUTS PER PATROL (No adult help is permitted. This is a competition.) Only 2 nd Year Webelos Scouts (5 th Graders) can participate. 3
4 SLEDGE SPECIFICATIONS SAMPLE KLONDIKE SLEDGE DESIGN Front View Materials 2 used skis as runners 6 cross supports 1 x 1 x 18 4 floor boards ½ x 4 x 5 2 hand rails ½ x 2 x 6 8 upright supports 1 x 2 x 3 2 rear uprights 1 x 2 x nd -rear uprights 1 x 2 x nd -front uprights 1 x 2 x 20 2 front uprights 1 x 2 x 10 1 tow bar at front 2 x 2 x 18 Approximate Size: 6 feet long, 18 inches wide Towing Bridle Suggestions: You can modify this design if you like, but the above design is authentic. Use skis for the base. Varnish and/or wax the bottom of the runners. Paint the sledge bright colors! A canvas or plastic snow guard on front and sides can keep equipment dry. When assembling, use screws instead of nails. Drill first to avoid splitting wood. SLEDGE SPECIFICATIONS Sledges must be constructed from raw materials by the unit/patrols. Store-bought sleds may be used if desired. Sledge must display pack number and patrol flag. The design shown above is not required; and a team may opt for its own design. THE USE OF WHEELS IS PROHIBITED REGARDLESS OF GROUND CONDITIONS. If sledges are so equipped, wheels must be removed or the sledge in question will be disqualified. Disqualified sledges will be permitted to run on the scorecard ONLY. 4
5 PATROL JUDGING Juneau Boy Scout Law Boy Scout Oath Boy Scout Motto Boy Scout Salute Boy Scout Slogan Webelos Scout Shirt & Neckerchief (all members) Pack & Patrol Markings 2 nuggets After completing the Derby at the North Pole, the sledge will be judged for: Sledge in good condition All equipment tied down 2 nuggets MINIMUM EQUIPMENT NEEDED BY EACH PATROL: Notebook and pencil Pouch for nuggets Two blankets (camp style) Two six foot staves or poles Eight six-foot lengths of rope (strong sash cord, ¼ clothes line, or similar). Patrol Flag Uniform (Webelos Scout Shirt, Neckerchief) and rain/snow/cold weather gear for each Scout Lunch supplies (see lunch instructions), pot, mess kit, other cooking gear, or lunch bag. Adequate clean-up material for cooking One (1) gallon of water for every 4 boys Patrol first aid kit At least one (1) triangular bandage or cravat for each member of the patrol. Material for splinting Webelos Handbook and (1) Scout Handbook Time piece (clock or watch) Plastic zip lock bags, 1 gallon size, at 8 per patrol 6 x 6 tarp or larger Compass Fire Starter only Flint and Steel NUGGET OR COIN POUCH Each team will need a sturdy leather, canvas or plastic pouch. It should be marked with Pack number and Patrol name, have a draw string, and measure about 9 by 3 inches. LUNCH Each team will be expected to bring either a bag lunch or something to cook. If hot dogs are your choice, you must bring a pot to cook in, and you must also bring in your own water. There is no place at Muttontown Preserve to get water. If you are cooking your lunch make sure you bring wood for your fire, especially if there has been snow or rain. The wood at Muttontown Preserve will be wet. 5
6 SCOUT (WEBELOS) SKILLS Each team will be required to demonstrate proficiency in basic Tenderfoot skills during its participation in the Klondike Derby. As a minimum, each patrol is encouraged to review the appropriate parts of the Webelos Handbook that cover the following skills. (Another reference you should use is the Boy Scout Handbook.) FIRST AID KNOTS MAP & COMPASS TRAIL SIGNS FOLDING THE US FLAG PACE & DISTANCE LASHING demonstration will be given and then scouts will try to do their own lashing. FIRE BUILDING BEAR BAG During your participation in the events, remember that outstanding teamwork, leadership, sportsmanship, as well as demonstration of specific talents may enter into the scoring. UNIFORMS Participating Webelos Scouts and Leaders will be expected to wear a Scout (Webelos) shirt and neckerchief. All Webelos Scouts should be prepared for stormy weather. NO JEANS OR SWEATPANTS AND NO SNEAKERS. SCOUT PANTS AND WINDSUITS ARE RECOMMENDED. END OF THE TRAIL The final city of the derby is NOT the Webelos Assayer s Office, but the North Pole. In the past, patrols coming off the trail have sometimes gone directly to the Webelos Assayer s Office. Each patrol MUST check in at the North Pole and complete the skill (flagpole raising) before going to the Assayer s Office. The North Pole is located just east of the Corral. NAVIGATING AROUND MUTTONTOWN We will be using a map provided by the Long Island Orienteering Club, which is the most-accurate and current map of the Preserve available. Part of the challenge of the Klondike Derby is for the patrols to use their map and compass skills to make their way around Muttontown; please make sure your Scouts understand those skills prior to the event. Scouts might also want to visit Muttontown Preserve for a day hike prior to the event in order to familiarize themselves with the terrain and trail layout. Many unmarked shortcuts exist, but they can also be deceiving and throw the Scouts off course. We will do our best to clearly mark the locations of each city on the maps. However, as in all events, don t expect perfection. (Just take it as a bonus if it happens.) PRE-REGISTRATION (to earn the 5 Nugget Pre-Registration Bonus) To qualify for the pre-registration bonus of 5 gold nuggets for each participating patrol, the Council office (544 Broadway, Massapequa, NY 11758) must receive pre-registration forms (attached as the last page of this packet) or you must have completed online registration by January 19, A non-refundable unit fee of $25.00 (checks made payable to Theodore Roosevelt Council, BSA) must be submitted with the preregistration form. If received after January 19, 2018, in addition to losing the pre-registration bonus of 5 gold nuggets for each patrol, a $10.00 late fee will apply. 6
7 UNIT ROSTER FORM AND PER-SCOUT FEE The completed roster form found at the back of this packet (immediately before the pre-registration form) must be turned in on the morning of the Derby. In addition, a fee of $8.00 per Scout and Scouter is needed to cover the costs of the patches, prizes, insurance, use of Muttontown Preserve, and other expenses incurred in the running of the Klondike Derby, and will be collected with the roster form on the day of the Derby. ADULT PARTICIPATION Scouting is a youth run organization. Adult participation in skill competition and patrol navigation is NOT permitted. If an adult insists on ignoring this rule, all mayors have instructions to warn the adult and patrol in question ONCE ONLY to stop. If the adult in question continues to ignore the rule and the mayor s warning, the patrol in question will receive a zero (0) grade for this skill and no nuggets will be awarded. Additional penalties will be assessed for adults observed to be participating in navigation. STAFF SUPPORT Each unit is required to provide at least two staff members to support the Klondike Derby staff on the day of the event (and more, of course, are welcome). On the pre-registration form, please indicate the name and contact information of the adult(s) who can support us. (Also please indicate if the volunteers are interested in helping with planning the event in advance. We d love the help.) All staff members should be at the Klondike Derby by 8:30 AM, and are able to have a hot lunch provided by the district for the nominal cost of $5.00. Please note on the pre-registration form if the staff member wants to be included in the staff lunch. The $5.00 fee is payable at check in the morning of the event. Important Note: Staffing is for the entire day. If no staff member is provided for the entire day, each patrol in the pack will lose 5 gold nuggets. The patrols will also lose the 5 nuggets if the staff member does not show up or leaves early without providing coverage for the area they are staffing. AWARDS Every participant will receive a Klondike Derby Patch and sled dog patch with the year on it. First time participants will receive a sled patch (Additional sled patches will be available for sale at a nominal fee). The patrol with the most points will be awarded a plaque that can remain in their possession for the year. Remember, no adult help is allowed. Nuggets are deducted when an adult helps. The city mayors have the final word. COME OUT AND HAVE A GREAT TIME! 7
8 DIRECTIONS TO MUTTONTOWN PRESERVE: From the Long Island Expressway: Get off at Exit 41, heading north. Take Route 106 North for 2.5 miles from the point where it splits off from Route 107. The entrance to the Preserve is on the left. From Northern Blvd. (Route 25A): Take Route 106 South for 1.0 miles. The entrance to the Preserve is on the right. PARKING: Parking of all cars will be at the direction of the staff. The parking lot is very tight, and therefore we will appreciate the cooperation of all drivers in order to maximize the use of the parking lot. TOUR PERMITS: The Klondike Derby is a Shelter Rock District sponsored event. Therefore, individual Unit Tour Permits are not required to be filed at the Council Office.
