The exhibitors will be informed of the final data and time a month prior to the conference. Cancellations and Reduction in Space Receipt of a signed Application for Booth Space is a commitment to exhibit at ICMDA 2018; therefore, notification of booth space reduction or cancellation must be in writing on company letterhead and submitted to the secretariat, and exhibitors are required to pay appropriate fees or cancellation penalties. Exhibitors that cancel their space will pay the following fees: For cancellation or reduction of booth space on or before 15th June 2018 the exhibitor will pay 50% of the total booth fee. For cancellation or reduction of booth space on or after 15th June 2018, the exhibitor will pay 100% of the total booth fee.

6 Exhibition 5 Badge and Registration Information Badges are required for admission into the exhibit hall. Each exhibitor is allotted complimentary badges based on booth size. Please refer to the Application for Booth Space for complimentary badge allowances. Fees for Additional Badges Exhibitor: (INR 5000/- for 3 days) The above fees apply only for those companies exhibiting at ICMDA Exhibitors Requirement An Exhibitor Service manual will be provided to the official contact for each exhibiting company one month before the conference. The Exhibitor are requested to inform the organizers of their stall requirement which may include powerpoint, audiovisual equipment, floral, booth furnishings, signage, and booth cleaning services. Exhibitors are encouraged to place orders 30 days prior to the opening of the meeting. Exhibitor Housing CMAI will recommend specially negotiated rates for accommodation nearby the conference venue at an additional cost. 7 Exhibition 6 Distribution of Product Information Product information cannot be distributed at any scientific session or in hotel lobbies. Posters or tabletop exhibits are not permitted immediately outside or inside the session rooms. Companies may not display or demonstrate products, processes, or services, solicit orders, or distribute advertising material at any location (within or outside the exhibit hall) other than in their assigned exhibit space. The booth may be subject to forfeit if the guideline is violated. Fire Protection All materials used in the exhibit area must conform to local fire ordinances. All displays are subject to inspection by the local fire and safety authority. Fire stations and fire extinguisher equipment are not to be covered or obstructed in any manner. General Conduct of Exhibitors Exhibits must be adequately staffed during exhibit hours Canvassing or distributing advertising material outside the exhibit hall is prohibited Electrical and mechanical apparatuses must be muffled to prevent noise from interfering with other exhibitors Industry personnel may not enter another company's exhibit area without that company's permission Aisles must be kept free of any materials at all times Exhibitor personnel may not solicit attendees in aisles Security Each exhibitor must make provisions for safeguarding goods, materials, equipment, and display at all times.
