1 2017 NHMA Rally Exhibitor Information & Registration Hello Fellow Enthusiasts, The Hamilton Pastoral Museum Incorporated is very proud to host the NHMA National Rally at Hamilton in We welcome you to the rally and will do our very best to make it a safe and memorable event. Yours Sincerely, Dennis WHEELHOUSE (President) Hamilton Pastoral Museum Inc. With the landscape dominated by the spectacular Grampians mountain range, ancient volcanoes, tranquil rivers and waterfalls and undulating pastoral land dotted with majestic red gums, the Southern Grampians Shire spans the heart of Victoria s renowned Western District. Hamilton, both the geographical and business hub of the region, has been the centre of a wealthy pastoral industry for over 160 years. It has grown to become a thriving city exhibiting style and quality, with excellent shopping, diverse architecture, an outstanding art gallery and stunning botanical gardens. With an hour travel in any direction, you will be in Warrnambool, Horsham, Portland, Ararat, Mount Gambier or a number of smaller regional towns along the way.
2 Activities nearby include arts and crafts, birdwatching, bush walking, dining, galleries, historic sites, museums, scenic drives, water based activities and wine tasting. This region is also one of Australia s major agricultural areas and supports a number of natural assets such as waterways, wetlands, forests and coastal, supporting a unique quality of life. With the 2017 National Historical Machinery Association Rally being held at the Hamilton Harness Racing Complex on Ballarat Road, the event is set to be a wonderful success. Arrival dates The Hamilton Pastoral Museum Inc. will be coordinating set-up and displays from Wednesday 19 April The final date and time for display set-up will 6.00pm Thursday 20 April. We aim to restrict movement of vehicles within the compounded areas between 10.00am through to 5.00pm for public and associated safety during the events three days. If there is a concern or an issue with meeting these requirements, please call our exhibitor co-ordinator on to discuss. Exhibitor information There will be a $25 registration fee per exhibitor. For those wishing to register with their clubs, please reference this on your registration form, along with your site requirements.
3 Club Registrations Clubs that are submitting a group registration and booking, please ensure you identify each member attending and, your association insurance details and exhibits. With this information the Rally Committee will be able to assist participants viewing displays in a friendly relaxed atmosphere, along with improving the opportunity for exhibitors to meet and socialise with others from differing regions. There is also an opportunity to purchase a 6m x 3m marquee with sides for your exhibit. These are available at $300 and yours to take when you leave. If you are interested in purchasing a marquee please ensure it is noted on your registration form on the last page. Insurance Clarification The 2017 NHMA Rally Committee will be accepting exhibitor registration from both NHMA affiliated clubs and those that are insured through other organisations. An exhibitor is required to provide evidence of the Personal and Public Liability to the value of $20 million with their exhibitor registration by including a copy of their Certificate of Currency. To ensure that you are covered sufficiently for the activities you wish to participate in, the Rally Organising Committee reserves the right to request a copy of Certificate of Insurance, if required. Those exhibitors that are under-insured or uninsured can take advantage of a short term membership, offered through the Hamilton Pastoral Museum Incorporated, of $20 for coverage from 1 April 2017 through to 30 June 2017.
4 Theme, Displays and Attractions of the event Hay baling and chaff cutting Tractor Pull with 3 sleds Steam traction engines displays Working Horse displays Emu Creek Steam Saw Mill Tractor Clubs Outside vendors, stalls and trade displays Ploughing demonstration Numerous engines Miniature train display Historical Military Vehicles Bulldozer working area Grand Parade NHMA Annual General Meeting & Saturday night dinner These two events will be held at the Hamilton Showgrounds off Horner Street. These events will be privately catered using local produce; further information on these events will be provided closer to the date.
5 Camping & Accommodation Information Self-sufficient exhibitor camping will be available offsite at the Hamilton Showgrounds, entrance through Horner Street. For convenience, shuttle buses will run on half hourly to the Rally. Fees are $30 per night per site powered and $25 non powered. Each site will have one vehicle space and a maximum of 5 people per site. Breakfast will be provided at the showground each morning and further information will be provided closer to the event. This camping site has very limited support infrastructure so campers need to be aware that self-catering is expected and there will be no supply of linen. If wishing to camp with your group or club, please ensure this information is provided when booking. In addition the following information will be required: Arrival day Departure day Number of people Number of sites required A Non-refundable $30 deposit per site will be required to be paid, to confirm and hold your booking with the balance to be paid on arrival at campground. To book your camping site, please post your completed booking form with your deposit as per the attached registration information. 6 Rally Dinner Saturday 22 April 2017 The Rally Dinner will be held at the Hamilton Convention Centre in Horner Street Hamilton. Doors will open at 6.00pm with serving at 7.00pm. All drinks will be at bar prices. The menu for the night will be a three course meal from local in-season produce and will be coordinated as an alternate plate setting. Cost for the meal is $45 with bookings to be made with your registration. Dietary requirements will be catered for, please include this information on your booking sheet. Tractor Pull Registration The Tractor-Pull is being run as a fun event however with strict adherence to NHMA Guidelines. Non-standard or modified tractors (including crawlers over 50 drawbar HP) will not be permitted to participate. There will be a cap on the number participating with those registering late may not be able to participate. Confirmation of entry and tickets will be available for collection at the site office on Rally check-in. Terms and Conditions Exhibits will be displayed as per the NHMA guidelines, which is available on the NHMA website Directions from Safety Officers / Marshalls will be adhered to without dispute. No loading / unloading in display areas during the hours the event is open to the public without permission from the Chief Safety Officer. Any cancellations less than 10 days prior to the event will result in fees not being refunded. All exhibitors must attend the daily safety briefings. To be included in the program please ensure all registrations are received by the NHMA Organising Committee by 1 February Exhibitors must carry current insurance information and any other required licenses (eg drivers license) at all times and display upon registration at site office at Rally check-in.
