2 IDLS BACKGROUND one network, one team IDLS2014 is the 14 th International Data Links Symposium! In 2001, the first IDLS was organised in Malvern, UK with the intention of being an open forum not dominated by any stakeholder for data link network communications and interoperability professionals. Government and industry joined to discuss their programmes and products, their challenges and ambitions. End users operators presented their real-world needs in tactical, logistical and training terms. Acquisition agencies described programmes and plans intended to meet operational requirements. Industry was given the opportunity to describe and demonstrate their solutions. Candid discussion was encouraged on all points. IDLS2001, with the encouragement of the UK MoD and the US DoD, drew about 125 participants, almost all from the UK and US. IDLS now attracts between 400 and 600 delegates every year including many of the original 125 from around the world, but the original lofty goal of being a level playing field has been kept. While the goal is accomplished through formal, thematic presentation tracks, training tracks, exhibit stands and cross-nation, cross-company demonstrations, it is generally agreed that the most value gained from IDLS is the spontaneous, ad-hoc networking that takes place among the delegates. IDLS is a 3-day window to accomplish a year s worth of undistracted interaction with colleagues in the data link community including customers, potential customers, operators, teammates and potential teammates. Training Day For the third year running the symposium will be preceded by a training day to be held on Tuesday 4 November. The Training Day will be take place in the Andel s Hotel Berlin, Germany. The IDLSoc Events team is currently planning on four training courses and corporate members have the opportunity to submit proposals to run a training course. All proposals must be submitted by 31 January IDLS2014 A foundation of the IDLS success has been the Corporate Packages. The exhibit stands are exhibitors venues-within-the-venue to highlight their capabilities and products, but they are also the anchor meeting places for all delegates for three uninterrupted days. The range of packages available for IDLS2014 is detailed below. As in the past, the Bronze, Silver and Gold packages include paid delegate registrations and promotional opportunities.

3 SYMPOSIUM DETAILS DATES Wednesday 5th - Friday 7th November VENUE one network, one team Andel s Hotel Berlin, which has 577 bedrooms and 3,800 square metres of conference space, is one of the largest meeting and congress hotels in Berlin. The Society has reserved the conference area, for IDLS2014. The principal symposium areas are: EXHIBITION: The Rubin and Onyx, which are located on the basement floor and accessible by two truck lifts capable of lifting up to 30 tonnes for loading and unloading. The total space of the two connecting rooms is 1,973 square metres. DEMONSTRATION: Based on feedback from IDLS2013 the plan will be to locate the demonstration area within the exhibition hall. SESSIONS: The Saphir ballroom located on the ground floor is where it is planned to hold the Main sessions and the Educational sessions. The Main sessions will be in Saphir 1 and the Educational sessions in Saphir 2 and 3. Although, as the demonstration is moving into the exhibition hall an alternative location may be used for the Educational sessions. HOTEL Andel s Hotel Berlin is located in the eastern part of the German capital. The historical Alexanderplatz, today one of Berlin s most important transport hubs, is just a few minutes by car from the hotel. With an adjacent metropolitan railway station, the hotel offers guests quick and easy connections to the city centre and eastern railway stations and the city s two international airports (Tegal and Schönefeld). Bronze, Silver and Gold packages include hotel room reservations at the Andel s Hotel for each package badge holder. This offer is dependent on the package deposit being paid by Friday 4 April Hotel Rooms Hotel room reservations included in the packages are for check-in on Monday 3 November and check-out on Friday 7 November Delegates wishing to arrive earlier or depart later will be responsible for co-ordinating their personal arrangements, but should be able to book additional nights at the agreed IDLS2014 rates using the IDLS2014 Booking system. IDLS2014 Industry hotel room rate is USD including breakfast and taxes. Please note when booking additional rooms the Society reserves the right to pass on any additional increases to German tax rates.

7 EXHIBITION DETAILS LOCATION AND FLOOR PLANS one network, one team A floor plan is currently being designed to ensure good visibility and access to all stands. Maximum traffic flow will be encouraged. Exhibition space will be allocated once the deposit has been paid. The draft floor plan will be issued after March 2014 and will be a guide only and maybe subject to change. The number of exhibition stands is limited and so will be allocated on a first-come, first-served basis. MOVE-IN / MOVE-OUT TIMES Move-in and set-up: Monday 3 Tuesday 4 November 2014 from 0900 to 2200 Tear-down and move-out: Friday 7 November 2014 from 1530 Exhibition staff will be on site from Sunday 2 November 2014 to assist exhibitors. EXHIBITION HOURS The exhibition hours will be: Wednesday 5 November Thursday 6 November Friday 7 November Exhibition Area Only Passes Following requests from exhibitors we are offering exhibition area only passes for $600 each. These passes are solely for exhibition personnel to enable them to access to the exhibition area during the symposium. The pass will also allow the holder to partake of the refreshments at the coffee, tea and lunch breaks but does not include hotel accommodation. Please note that these passes are only available to exhibitors and do not give access to the main sessions, demonstration or educational areas.

8 HOW TO BOOK; DETAILS OF PAYMENT DEADLINES BOOKING Early booking is essential as space is limited. Stands will be allocated as and when deposits and signed contracts are received. If you wish to exhibit at IDLS2014 then please or stating which type of package you require. Your event paperwork will then be issued. In order to confirm your exhibition space the contract must be signed and returned by mail or facsimile. Your 50% deposit must be made by cheque/check or wire as described in the event paperwork. Your deposit must be received by 4 April 2014, and the balance received by 1 July A 3% discount is available on package prices if payment made in full before 1 February All deposits are non-refundable. If you need to cancel, please refer to our cancellation policy below. CANCELLATION POLICY All cancellations must be made in writing. If an Exhibitor terminates the agreement the International Data Links Society shall retain the following sum: Before 4 April % Deposit of package price After 4 April % of the package price NOTES The production of banners, transparencies and any promotional material is the responsibility of the sponsor.
