5 CHEFS DE MISSION SEMINAR & OFFICIAL DINNER December 2017 In the spirit to provide the latest development of Jakarta and Palembang preparations to held Asian Games 2018, and to accommodate inputs from all the participating NOCs, Indonesia Asian Games Organizing Committee (INASGOC) were holding Chefs de Mission (CDM) Seminar on December th, Held at the Grand Ballroom 3 of Hotel Mulia Jakarta, the seminar were opened by the President of INASGOC, Mr Erick Thohir, followed by the welcoming speech from Secretary of Ministry of Youth & Sports of the Republic Indonesia, Mr Gatot Dewa Broto, and Honorary Life Vice President of the OCA, Mr Wei Jizhong. CDM Seminar is the place for all NOCs to ask questions or give suggestions on certain issues related to the Asian Games 2018, said Mr Wei Jizhong, stating the importances of this seminar to all the Asian Games 2018 participating NOCs. This CDM Seminar shows presentations from departments inside the INASGOC, such as Sports, Venues, Athletes Village, Accreditation, Arrival & Departure, Accommodation, Transportation, Catering, Ticketing, Medical & Anti-Doping, Security, Human Resources & Volunteers, Media, Broadcast, to even International Relations & Protocol Departments to name a few. 3

6 After hearing the presentations given by each director or coordinator of respective departments, question starts flying from most of the Chefs de Mission in the meeting. A lot of important questions has been answered in this seminar, like final numbers of sports programmed that is deemed final by the OCA. Following the full day seminar, in the afternoon, all of the NOCs delegates then going for a venues visit to Gelora Bung Karno cluster, a group of competition venues around the seminar taking place. CDM delegates then split into Jakarta cluster venues and Palembang venues visit. 4

7 After all the delegates coming back from venues visit, an official gala dinner were prepared for them. This dinner were attended by most of the CDM delegates and Asian Games 2018 stakeholders. INASGOC was also given each NOC an official invitation to participate in Asian Games The dinner itself was packed with entertainment, starting from local cultural dances, a mini-concert from a well-known Indonesian singer, to an Angklung exhibitions, a traditional musical instrument originally from West Java region of Indonesia. 5

10 ACTIVITIES ASIAN GAMES 2018 WORLD BROADCASTING MEETING November 2017 Olympic Council of Asia (OCA), Indonesia Asian Games Organizing Committee (INASGOC), and International Games Broadcast Services (IGBS) have a strong will to have a high, international quality standards of broadcasting Asian Games 2018 events to the world. Based on that will, 1 st Asian Games 2018 World Broadcasting Meeting (WBM) were held on November th, 2017 at Cendrawasih Room, Jakarta Convention Centre, Senayan, Jakarta. This meeting have a goal to summarize and accommodate all the input and requirements of all the Asian Games 2018 broadcasting stakeholders. Asian Games only one level below Olympic Games, thus not only Asian people will watch the games but also from the other parts of the world. That said, we need to have world class quality broadcast, said Mr Erick Thohir, President of the INASGOC. The importance of this meeting also can be seen by the attendance of Director General and Technical Director of OCA, Husain Al Musallam and IGBS CEO, Francis Teller, besides representatives for 60 Asian television companies, such as Korea KBS, China CCTV, and Japan NHK. These Asian broadcasters have a full insight about the venues preparation, transportation routes, technology that will be used for broadcasting, and even the accreditation matters in this meeting. INASGOC presentations are done pretty well. They can answer all the questions asked by the media. The companies were not questioning how widespread the venues is, they knew the consequences of multi events. IGBS presence also guarantee the broadcast quality, explain Mr. Dan Hubp, OCA TV Auditor. 8

11 INTERNATIONAL RELATIONS & PROTOCOL PALEMBANG WORKSHOP November 2017 For the sake of strenghtening the communications between Jakarta and Palembang branch of International Relations & Protocol (IR & P) department of INASGOC, and also to harmonize the understanding of what services the department required before, during, and after the Games time, IR & P were holding a workshop in Palembang, November th This three days event at Hotel Batiqa were attended by most of the Asian Games 2018 stakeholders from Palembang, such as local IR & P members, Deputy IV of INASGOC that responsible for the security matters, Athletes Village, Venues. and Transportations department of INASGOC. In the other hand, the government of Republic Indonesia also had their delegates attended the workshop, such as representatives from South Sumatra Governor Office, Transportations, Customs, and Infrastructure Development Department of Palembang. To ensure that there will be equal services in Jakarta and Palembang, all the workshop participants were visiting Jakabaring Sports Centre (JSC) to review the competition venues and also to checked out the integrated Athletes Village in Palembang. We are giving informations through this workshop to our collagues from INASGOC Palembang about what should be our job and responsibilities as a member of International Relations & Protocol of INASGOC. We also need to ensure that Jakarta and Palembang have the same visions about it, said Ms. Nur Laily Rahmawati, Vice Coordinator of International Relations & Protocol of INASGOC. During this venues visit, IR & P team were discussing and determining which rooms in the Athletes Village were going to be the official offices for the OCA, NOCs, and others department during the games time, while also talking about their readiness for any sort of test event held in their city. 9

12 ASIAN GAMES MEDIA & JOURNALIST FORUM November 2017 To provide an accurrate information to the world regarding Jakarta and Palembang readiness to host Asian Games 2018, Indonesia Asian Games Organizing Committee (INASGOC) were holding Asian Games Media & Journalist Forum (AGJMF) in both cities on November th. Ninety one journalist from Indonesia and at least 50 media representatives from 22 Asian nations were registered in this forum in their search for the latest information about Jakarta and Palembang progress on preparing Asian Games The magnitude of this event were strenghten by the presence of Erick Thohir, President of the INASGOC and also Tony Mariadass, Member of OCA Media Committee. This is a big opportunity for Asian media to check how far Jakarta and Palembang preparing their cities to host this event. This is my first time to Palembang and I see it by myself their readiness. I came here just like an ordinary reporters, waiting for Jakarta and Palembang to succeed, said Tony. The media had been informed about what services do they get during the games time, sports competed and their venues, broadcasting related matters, accreditation, accommodation, and transportation system provided by Jakarta and Palembang. In Palembang, forum participants were having a gala dinner with South Sumatra Governor, Alex Noerdin, who speaks his confidence that Asian Games 2018 will be a success. 10

13 INTERNATIONAL RELATIONS & PROTOCOL VOLUNTEERS JOB SPECIFIC TRAINING 8-9 December 2017 Human Resources & Volunteers (HRV) Department of INASGOC has succeed to net no less than 21,000 volunteer applicants during their first stage of nationwide Asian Games 2018 volunteers registration phase. That huge numbers later became around 7,000 and then around 1,500 will be ready for next year INASGOC Test Event program. International Relations & Protocol (IR & P) got exactly 55 volunteers from those numbers. These volunteers were later be trained by IR & P members on December 8-9th, 2017 at Hotel Grandhika Jakarta to become the role models of many more volunteers to come into their department. These chosen volunteers were given the general knowledge of what Sports Protocol is, what are their responsibilities, job descriptions, and their entitlement, wether they become an NOC Assistants, OCA Protocol Assistants, or Protocol Attendants, explain INASGOC IR & P Vice Coordinator, Ms Nur Laily Rahmawati. The event that were lead by INASGOC IR & P Coordinator, Mr Indra Kartasasmita, also attended by Secretary General of INASGOC, Mr Eris Herryanto and INASGOC Director of HRV, Mrs Pusparani Hakim. Only around 1,500 volunteers has passed the test from around 21,000 applicants, and these small group of people are the chosen one to work with International Relations & Protocol department. This kind of training is needed in every department of INASGOC that will be using volunteers, stated Mr Eris Herryanto in his welcoming speech. Some of the volunteers were experienced in sports event, while many more were experienced as a volunteer in other kind of events. Regardless of their experiences, all of these antusiastic volunteers were pledge to give their best when they are placed in duty. 11

14 CDM Manual - Seminar Revisions To follow up the decision made during Chefs de Mission Seminar on December 13 th, 2017 regarding few informations, the following are amended information, as follow: A. VENUES Please refer to page on the printed CDM Manual. CATERING Please refer to page 108, section C.3, 2 nd paragraph, to find following contradictive sentences: Coach or Team Manager could make a reservation at the hotel s Hospitality Desk in 24 hrs in advance and hotel s department of reception will deliver fast food to the competition competition venue. No delivery will be made to competition venues. 4 th Paragraph: NOC Meal request form with INASGOC s authorized stamp will be issued to NOC. It must be completed and presented at the Competition Venue s VIP Lounge for the meal services. It is advisable for NOCs to ignore those statement written in red as it has been taken out momentarily until future updates. 12
