2 SUBJECT: RFP #R16103 R2, Charter Bus Services, renewal RECOMMENDATION: That the Loudoun County School Board renews RFP #R16103 in accordance with the staff recommendation from February 1, 2018 through January 31, Award is contingent upon mutual agreement to contract terms by LCPS and the bus companies. SUMMARY: In order to maintain a list of qualified firms to provide charter bus services to Loudoun County Public Schools, the Procurement Office solicited proposals from thirty-nine companies, and invited the nineteen companies currently approved by LCPS to renew their contracts for another year. These services would be available to school personnel to provide field trip services on an as-needed basis and would be used primarily for longer trips or when LCPS buses/drivers are not available. Staff reviewed the proposals received from two new companies, as well as the renewing companies. Staff is recommending that the following companies contracts be renewed: Academy Express; Adventure Tours; Capital Executive Transportation; Chariots for Hire; DC Trails; Gunther Charters; Haymarket Transportation; James River Transportation; Julian Tours; Montano s Transportation; Mount Vernon Travel; National Coach Works; QT Transport; Reston Limousine; Schrock Travel; Thompson Travel Bureau; Venture Tours; Virginia Coach; and Virginia Rides. Staff is recommending that the following new companies are awarded contracts: Leisure Destinations, Inc. and LW Transportation. Contracts for specific trips are still subject to approval on a case-bycase basis. Schools must contact LCPS Transportation and these companies to obtain quotes for potential trips.
