4 4 RESOLVED That the minutes of the meeting held 15 October 2018, as circulated with the agenda, be confirmed as a true and correct record of proceedings. Murphy/ Coles 4 CIVIC SERVICE 4.1 Future Parade Commander Paul Murphy is still to provide an update following discussions with Waikato mounted Rifles personnel. 4.2 Order of Service Discussions were held around having a Roaring Chorus on the day. It was confirmed that the Roaring Chorus normally follows after the Reveille. It was decided we would do the church bells as our Roaring Chorus. 4.3 Invited Guests There is still a very low response from attendees due to the major celebrations being held overseas and in New Zealand. However there have been requests to attend the service by family descendants and it was recommended that their presence should be mentioned in the official speech by Father Malcolm French. Governance Officer is to contact Louise Upton s office and also Minister of Defence Office to see if they will be in attendance for the official service. 4.4 Wreath Bearers Wreath bearers representing the following countries will be: New Zealand MP Louise Upston Belgium Richard Reynolds, Ruth Hamill, Paul Garland, June Donkin United Kingdom - ( to be advised by Paul Murphy) United States of America Rick Hartman Page 2 of 5
5 5 4.5 Invoices Quotes have been received from Any Audio & Visual, Gourmet Delicious and Adcorp. ITEMS RESOLVED That the ANZAC and Armistice Remembrance Organising Committee recommend that the Cambridge Community Board authorise payment from the committee s balance of the Board s funds, as follows Any Audio & Visual (sound system) $ Gourmet Delicious (catering) $1, Adcorp (advertising public notices) $ Gover/Coles 4.6 Flagpoles (10), Flags (10), Wreaths (12) and Wreath Stands, Council staff have confirmed the flagpoles and wreath stands will be in place prior to the service. Paul Murphy has collected the flags from the Cambridge office. Elwyn Andree-Wiltens will collect the wreaths and deliver to the Cambridge Town Hall on Saturday 10 November A letter was ed to the florist on 26 October Philip Coles to drop tents off to the town hall at 1.30pm Saturday 10th November. 4.7 Transport for New Zealand Cadet Corps Governance Officer to contact Karapiro Charters to confirm pick up and drop off times for both Saturday and Sunday Cambridge Town Hall On Sunday 11th November, Committee Members and volunteers are asked to be at the Town Hall from 8.00am onwards. Council Staff Two staff members will be in attendance at the service Manager Governance Jo Gread and Governance Support Officer Veronica Huxtable. They will be available to assist with handing out programmes and assisting with catering etc. Page 3 of 5
6 6 5 MARCHING PARADE 5.1 Road Closure Letters for effected businesses on Victoria Street to be collected by John Bishop and distributed. Service providers such as buses (Cambridge i-site) have been notified by Julie Epps. The two light armoured vehicles will be at Queen Street by 09.50am One LAV will lead the parade and another one will be parked on the other side of the Plaza with the gun lowered in salute. Rob Feisst advised there will be some military vehicles present in the parade. Rob Feisst and John Bishop will organise them on the day TH ANNIVERSARY COMMEMORATIVE EVENTS, 4 11 NOVEMBER 2018 A working group has been meeting on a regular basis to plan for commemorative events to acknowledge the 100th Anniversary of the Liberation of Le Quesnoy. Events being considered are Light and Sound Show on the façade of the town hall Exhibition at the Cambridge town hall Community Sign Board Oak Arboretum Le Quesnoy Liberation Day Event, 4 November 2018 Commemorative sculpture It is hoped that the Media coverage will make more of the Cambridge connection with Le Quesnoy. 7 GENERAL BUSINESS Julie Epps listed the publicity for the Armistice Service Online on the WW100 website, Eventfinda and What s On Waipa, Cambridge-Le Quesnoy Friendship website and facebook page. In newspapers - in the Armistice in Cambridge adverts (in local newspaper), What s on pages of local newspapers. Public notice in local newspapers. Page 4 of 5
7 7 Noted after the meeting the Armistice and Le Quesnoy street flags will go up in CBD and Leamington Wednesday 31st. Bryan Mitchell advised that Pipers will be playing at 6am at various places around the district on Sunday 11th November It is a Worldwide event. When the Battle is Over will be played. It was decided that this would make a great article for the local paper as well as the Commemorative Medallion Bryan has organised. Julie Epps is to contact the Cambridge papers about an article. Rev Canon Adrian Gover advised that he has been contacted by Curly Blyth s grandson. He would like a music piece to be played at Saint Andrews Church and would like to film at Armistice. He is a film maker currently studying in Cairo. Rev Canon Adrian Gover will liaise further and confirm details with Father French. The Committee were all in favour of filming taking place. Julie asked the Committee if descendants of the mounted rifle wanted to lay a wreath, should they use the horse wreath currently in the Council Cabinet. It was suggested that they can provide their own wreath but the horse wreath will be set up and already in place. Father French is to make reference to the war horses in his address. Julie also asked if anyone had heard of the Peace Cup A Rugby Cup played by the sub unions and if the Committee wanted it displayed on the day. It was suggested that it could be put on display in the Town Hall with other memorabilia. 8 NEXT MEETING The next meeting (debrief) to be held on Monday, 19 November 2018 at 4.30pm, in the Committee Room, Cambridge Service Centre, 23 Wilson Street, Waipa District Council, Cambridge.
