2 QUICK GUIDE Use I.E. (Internet Explorer) CONFERENCE ROOMS Title: Type in the Name of Your Meeting Equipment Needed: List the equipment you plan on using I-TV: Check if you are using (This will notify I.T.) Conference Phone: Check if needed (This will notify I.T to reserve one for you.) Conference Bridge: Check if you plan on using (This will notify I.T. and they will check to see if it is booked or not. If so, they will let you know if it is NOT available) Start Time: Beginning time that you would like to reserve the room from (Prep/Setup Time). Actual Meeting Time: When you meeting actually starts. End Time: Time meeting ends including time to cleanup. End meeting 5 minutes before the end of the hour, example 3:55 pm. Attendees: This is for the staff person reserving room and/or those attending. (You can add as many county staff as you would like) Enter each person individually. You cannot use groups. RESOURCES = ROOMS Select the rooms you do not want to reserve press remove and you should only have the room(s) on right that you want reserved. Check Double Booking: Verifies that room is not already booked. Description: Input any information that may be helpful for this reservation. If this room is rented, put Contact Info/address/phone # of person reserving room and reservation amount. All Day Event: Only use if this is truly an all-day event. Recurrence: Used for repeating events. (Only do CURRENT YEAR!) Website Calendar: If you want your meeting to appear on the website calendar, check this box. This alerts individual responsible for inputting this event on website Room Setup Style: Choose option. If your option is not there, you can specify. (Custodians look at this field) Number of people attending: This will help determine how many chairs to have available. (Custodians look at this field) Save: Press Save when done entering all information CAR RESERVATIONS: Title: Staff Person taking Car Location: Destination City Start Time: End Time: End meeting 5 minutes before the end of the hour, ie 3:55 pm. Attendees: Staff using car Resources: Remove cars that you are NOT taking (the car that you need should be on the right) Description: Fill in any notes you need Category: Choose Category All Day Event: Recurrence (only do through the current year) (Start another recurring event for the next year) SAVE

3 Log into Sharepoint with your assigned county network user name and password (the same one you log into your computer with) 2/7/ Choose the Calendar needed from the tabs on the top Note: Only staff from Human Services are able to view the Human Services Calendars, etc 2/7/

4 Conference Room Reservations Choose calendar 2/7/ Double Click the column of date you would like to choose or click on +Add at the bottom of Column 2/7/
