2 1. What is JAPAN RAIL PASS / REGIONAL RAIL PASS? JAPAN RAIL PASS JAPAN RAIL PASS (hereinafter called JR Pass), a joint offering of the six companies comprising the Japan Railways Group (JR Group), is the most economical means of travelling throughout Japan by rail. There are some restrictions on use; for example, JAPAN RAIL PASS cannot be used for travel on NOZOMI and MIZUHO trains on the Tokaido, Sanyo, and Kyushu Shinkansen lines. <quoted from JR Pass Official Website> REGIONAL RAIL PASS REGIONAL RAIL PASS (hereinafter called Regional Pass), offering of each JR company such as JR Hokkaido, JR East, JR Central, JR West, JR Shikoku and JR Kyushu, is the most effective means of travelling specific areas in Japan. 4 2. About the Details Regarding the latest information for JR Pass and Regional Pass, kindly refer to the following. Sales of JR Pass / Regional Pass Face to Face Sales as a rule JR KYUSHU Rail Pass and JR-WEST Rail Pass can be sold by non-face to face sales. *Please refer to JR Pass-Regional Pass Sales and Conditions Sheet for the details. Issue a voucher (hereinafter called MCO) through JR Pass System, which is managed by GMT. JR Pass System is a web system. The system usage fee is free. Please refer to JR PASS Sales & Settlement Management System Operation Manual for operation. *You can download it from the top page of JR Pass System.

6 4. Sales Process 1) Confirmation of Eligibility To be eligible to purchase a JR Pass-Regional Pass, passengers must meet one of the following two conditions. Please be sure to check their passport and required documentation when selling a JR Pass-Regional Pass. A) A foreign tourist visiting Japan from abroad for sightseeing with a passport issued by a country s government other than Japan, under the entry status of temporary visitor Temporary Visitor entry status, according to Japanese Immigration Law, allows a stay in Japan of 15 days or 90 days for sight-seeing, etc. If you apply for a stay for sight-seeing when you enter Japan, entry personnel will stamp your passport as Temporary Visitor. Even if you visit Japan with MCO, to be turned in for a JR Pass- Regional Pass, the exchange cannot be made unless you have Temporary Visitor status; if you enter Japan under any other official status, such as Commerce, Trainee, Entertainer, or Reentry Permit, you cannot change MCO for a JR Pass-Regional Pass. *If you use an automated gate, no stamp will be applied to your passport. Either use a manned automated gate or ask a clerk to apply the stamp to your passport. Example of the Temporary Visitor entry status stamp B) A Japanese national who has both the Japanese passport and written proof*1 obtained from the embassy or legation of Japan in the foreign country where they live that they have been living legally in the country for 10 consecutive years or more. *Eligibility of B) is only applied to JR Pass. *Please be sure to check *1 before issuing MCO. In case the issue date of *1 is later than the date of MCO issued, the MCO will not be exchanged for a JR Pass at an exchange office, since the officer considers that you failed to check it. *The issue date of *1 must be within the 6 months prior to the date of purchase / issue of the MCO. *Please refer to the official website or JR Pass-Regional Pass Sales and Conditions Sheet for the details of eligibility requirements or acceptable written proof.

7 4. Sales Process 2) Accountability Please be sure to explain following points to all the passengers regarding eligibility and usage conditions for a JR Pass-Regional Pass when selling them a MCO. Eligibility: Kindly refer to 4. 1) Confirmation of Eligibility. Validity Period: Within three months of the date MCO was issued e.g.) MCO issued on 1 Apr., 2017 would have to be turned in by 30 Jun., (The dates are automatically printed on MCO) Exchange for a Pass: In order to receive a JR Pass-Regional Pass, the name appearing on MCO must match the name appearing in your passport. *All Pass except for JR Kyushu Rail Pass: Without the Original MCO and his / her passport, the pass exchange will not be made. *For Only JR Kyushu Rail Pass: emco and valid passport are required to exchange the pass. 10 4. Sales Process 4-1) Notes <On issuing MCO> Issue one MCO for each passenger Do not issue one MCO for a couple or family. The name appearing on MCO must match the name appearing in the passport. *Do not omit or shorten any part of the name. A PASSENGER COUPON and a EXCHANGE COUPON need to be given to a passenger without detaching. Please keep an AGENT COUPON at your office. *Kindly refer to 4. 3) Issuance of MCO. A MCO cover has to be given to a passenger with MCO according to a JR Pass- Regional Pass purchased. The pass exchange might not be made if the MCO issued contain errors. Please be sure to have passengers check the MCO issued and ask them to always read through the MCO cover. In case JR Pass System doesn t work because of internet problem etc., please use a manual MCO. Once the JR Pass System starts working again, kindly issue the same MCO through JR Pass System in order to get the MCO number (No need to print out). Then, please inform GMT or JTB branch office you are dealing with of the MCO number.

13 4. Sales Process 4-2) Notes <Others> Please request for MCO papers to GMT or JTB branch office you are dealing with before running out. A ream includes 500. A box includes 2,500. It takes some time to send them, so please request for them in advance. JR Pass-Regional Pass strictly prohibit any discounts. Please set your exchange rate subject to a certain BSR (Bank Selling Rate). MCO can be refundable if it is returned unused to the very same office that issued it. Once MCO is exchanged for a JR Pass-Regional Pass, a refund is available at all JR Pass-Regional Pass exchange offices, provided that the application for refund is made before the starting date of the validity period. Any amount of handling charge or communication fee, set in the regulations of each issuing office, can be deducted. For your information, JR will refund the value of the pass in yen, less a 10% handling fee. Kindly ask passengers to visit official JR Pass-Regional Pass website or to look over the brochure to avoid any trouble when exchanging MCO. They will be able to get necessary and latest information by their own, such as service hours of exchange offices, valid trains, eligibility requirements etc.

14 5. When Trouble Occurs GMT will get contacted by a JR Pass-Regional Pass exchange office in case any troubles occur when MCO is exchanged for a Pass. Kindly get in touch with GMT or JTB branch office you are dealing with in case you have any problems. Please do not directly contact JR. GMT will get contacted by a JR Pass-Regional Pass exchange office in case any mistakes are found on MCO. GMT will approve it or not accordingly. After that, GMT will report it to you or enter a comment instead on the JR Pass System. In case any mistakes are found on MCO at an exchange office outside of GMT s business hours, either 1. or 2. will be applied. 1. MCO is exchanged for a Pass by the exchange office, and GMT approves it later. 2. In case the exchange office cannot judge whether MCO should be exchanged, MCO won t be exchanged for a Pass until GMT opens for business. Please note that it will cause a lot of trouble for the passenger in case of 2, so extreme care must be taken when issuing MCO. Kindly be informed GMT will not be able to get in touch with all of the JR Pass- Regional Pass exchange offices in advance even if any mistakes are found on MCO before any exchanges are made. Please contact GMT or JTB branch office you are dealing with in case you can confirm with the passenger when and where MCO will be brought to.

MCO was printed out upside down. Would it be fine? Please cancel it. Then issue and print out MCO right way up again. 4. I accidentally handed out an AGENT COUPON instead of a EXCHANGE COUPON. What am I supposed to do? Please contact GMT or JTB branch office you are dealing with. 5. I have ran out of MCO papers. Can I use copy papers? No, you can t. As mentioned in ), please request for MCO papers to GMT or JTB branch office you are dealing with before running out. Exchange of MCO 6. In case MCO is lost or was left at home or whatever, can passengers use a photocopy? JR Pass System 7. Can t log-in to JR Pass System because I entered wrong password six times. What am I supposed to do? Except for JR Kyushu Rail Pass: No, they can t. They must turn in the original MCO to receive a pass. JR Kyushu Rail Pass Only: a copy of emco or presenting emco can be approved. GMT will reset the password. So please contact us. Or it will be unlocked in 30 minutes so that you can try to log-in again. 8. How many user IDs are available for each agency? There is no limit to the numbers of ID issued. Please request one ID per person in order not to share the same ID. 9. I accidentally cancelled print screen when printing MCO. Can I revert it back? No, you can t. Please cancel the MCO and issue a new one. 10. I accidentally pressed Cancel MCO button. Can I revert it back? It can t be reverted back once MCO is cancelled. Please issue a new one. 11. How can I input the name of those who doesn t have Family Name? 12. A passenger s name on the passport isn t written with an English alphabet. How can I input the name? Please input the name in Family Name column and press space key in First Name column. If there is the name with an English alphabet on machine readable part under a photo, please input it. If not, please ask GMT or JTB branch office you are dealing with.
