2 CALIFORNIA ASSOCIATION OF SCHOOL BUSINESS OFFICIALS HOSPITALITY SUITE REQUIREMENTS Hyatt Regency Sacramento Friday, April 6, :30 p.m. - 7:30 p.m. To obtain a hospitality suite your company must meet the following requirements: CASBO Associate Membership with dues current through April 2018, and Registered Exhibitor at the California School Business Expo or have staff as registered attendees of the annual conference. All requests for hospitality suites must be made on the attached Hospitality Suite Reservation Form and submitted to CASBO; no reservations are to be made directly through the hotel. The floor plan and a brief description of the suites are included in this packet. As in years past, all requests for hospitality suites will be assigned by the CASBO Associate Member Committee according to the date received. Maximum consideration will be given to your expressed preference. Please complete the reservation form and return with payment for the total cost of your first choice. CASBO will confirm your hospitality suite by 30 days prior to conference. You will be advised of your assigned suite and provided with information regarding the hotel contact person. At this point, you will deal directly with the hotel to make your food and beverage arrangements. The hotel will provide a complete package of information that includes ordering instructions, food and beverage pricing, etc. The following is important information relative to food and beverages: 1. All food and beverage items must be purchased through the hotel and may not be brought in from an outside source for use in the hospitality suite. 2. Any unopened alcoholic beverage purchased from the hotel may be returned for credit. 3. The hotel will provide: bar set-up, including a bar, glasses, napkins, ice, appropriate garnishes and labor. Exception: You may provide cocktail napkins with your company logo for use in conjunction with the bar set-up in the hospitality suite. 4. Bartenders are provided for an additional fee. Gratuities are charged on the full retail price of liquor served. 2

3 5. Service charges and both federal and state taxes will be charged on all food and beverage order placed through the hotel. 6. Upon receipt of the hospitality suite reservation, the menus and fees will be provided. Hospitality suite requirements: 1. Hospitality suites are held only in the hotel designated each year by the Associate Member Committee. 2. CASBO annual membership dues are required to be paid in advance or with conference registration. 3. The only door signs to be used are those provided by the Associate Member Committee or CASBO. 4. Advertising material is not permitted, including giveaways, brochures or raffles. You may have one company banner in your room with your company name. Other activities will be confined to CASBO-sanctioned exhibits only. 5. Invitations to hospitality suites handed out at the conference may not be posted on any bulletin boards, elevators or any other common areas of the conference hotel. 6. Applications for hospitality suites may not be approved: a. If submitted on other than the attached form, b. If received after all available rooms have been assigned, and c. If submitted without the required deposit or fee. 7. Dates and times of the hospitality suites will be established each year by the Associate Member Committee in conjunction with CASBO and are required to be adhered to by all associate members. Associate members shall not be able to host any off-site activities during the specified hours of the hospitality suites. 8. The Associate Member Committee has final authority in establishing and monitoring the hospitality suite activities of the associate members. Infractions of the guidelines may result in the hosting company needing to make appropriate changes or close its suite. 3

Prompt return of this form and your payment will assist in reserving your preferred hospitality suite. Reservations will be confirmed by 30 days in advance of conference. If preferred rooms are not available, you may be contacted and offered another room based on the square footage you initially requested.
