These Championships will be organised following the 2009 UEG Statues, the 2010 Technical Regulations, the 2010 Code of Points as well as all other Rules, Regulations and Guidelines valid starting January 1 st 2011 and onwards. To book these official hotels, please complete the attached Hotel and Dinner Booking Form and return it to the organising committee by January 11 th The nominative accommodation form has to be returned to the organising committee by March 17 th Please submit your room requests to the organising committee as soon as possible. The allocations in the hotels are limited and all reservations will be allocated strictly in order of booking. These special rates are available only through booking with the organising committee and they include the shuttle service upon arrival and departure as well as between the hotels and the competition venue and a public transport ticket from April 2 nd 11 th 2011, which includes all street trains, subways, trams and busses in the whole of Berlin. 3

4 Shuttle service and the public transport ticket will only be available for delegations who book the accommodation through the organising committee! All rates include VAT and service charge. Lunch is offered in the competition venue. The price for breakfast is included in the price of each hotel booking. Lunch (in the competition venue) and dinner (in the hotels) are offered for the following conditions. The booking of lunch and dinner is not compulsory. 6 PAYMENT FOR HOTEL AND MEALS All payments for the hotel and meal bookings must be made by bank transfer to: Bank name: Account holder: Account: Sort Code: Berliner Bank IBAN: DE SWIFT: DEUT DE DB110 Your federation must cover all bank fees in connection with the bank transfers. Please state the name of your federation and the payment purpose on the transfer. All payments must be made in EUR. The prepayment of 50% of the total cost of your accommodation and meals must be made by January 11 th The final payment of the remaining 50% for your accommodation and meals must be made by March 17 th Cancellation policy Prior to March 17 th 2011 you may cancel ten percent (10%) of your initially booked hotel rooms and meals without penalty. This 10% release will be deducted from your final payment (which has to be made by March 17 th 2011). Except for 10% of your initial booking, the payments are non-refundable. The Organising Committee strongly recommends you to take a cancellation insurance for your delegation. TRANSPORTATION The travel to Berlin will be at each delegation s own expenses. The OC strongly recommend that each federation takes a cancellation insurance for their transportation. Accredited delegations who will stay in one of the official hotels, and who book their accommodation through the Organising Committee and who will return their Travel Schedule Form (arrival and departure) by March 11 th 2011 will be provided with a shuttle service from the Berlin airports or train and bus stations to the official hotels and back. Furthermore, all accredited delegation members who will stay in one of the official hotels, and who book their accommodation through the Organising committee, will receive public transport tickets for Berlin from April 2 nd 11 th These tickets include all street trains, subways, trams and busses in the whole of Berlin. Federations who do not book their accommodation through the Organising Committee will not be entitled to use the transportation system and will be responsible to be in time. VISA Please verify as soon as possible with the German embassy / Consulate in your country if your delegation needs a visa for travelling to Germany. We will be pleased to assist you with an official invitation letter. In order to receive it please complete the Visa Request Form and return it to us by January 11 th

7 INSURANCE The Host Federation, the Organising Committee and the UEG will not be held responsible for any liabilities in case of accidents, illness, repatriation and the like. The UEG Technical Regulations foresee that all participating federations are responsible for making their own arrangements to have the necessary valid insurance coverage against illness, accidents and for repatriation for all the members of their delegation. The Organising Committee will verify the insurance upon arrival of the delegation members (e.g. cover note or photocopy of the valid policy). Delegation members with insufficient insurance cover must inform the organising committee in advance. The OC will subsequently offer insurance at the federation s own charge as follows: EUR 1.50 for all days, including the day of arrival and departure and for a minimum of 7 days. For booking this insurance coverage, please provide us with the following information of the delegation members: Name, date of birth, function, gender, date of birth passport no. & expiry date and dates of arrival and departure.
