PURPOSE This Administrative Circular provides an overview of the administrative arrangements and preliminary programs for The International Workshop and Conference of Avoiding the Middle Income Trap: Lessons Learnt and Strategies for Indonesia to Grow Equitably and Sustainably, December 2013, at Grand Hyatt, Nusa-Dua Bali, Indonesia. 2. SEMINAR SECRETARIAT The Secretariat for The International Seminar is responsible for all administrative and logistical arrangements of the seminar. REGISTRATION All delegates are required to pre-register for all the meetings by filling registration form as attached in Annex A and send it to the Secretariat. Attached a recent passport sized color photograph (JPEG file, 35mm x 50mm, dpi) to the completed form. Please send the complete registration form to the Secretariat ( or fax are accepted) no later than 30 November, Acknowledgement will be provided upon receipt of the completed set of document. Delegates will be collecting their Identification Card (ID) at the Registration Desk on the seminar venue on 11 December, The ID must be worn at all times and will be required to enter the seminar rooms and working dinners. Any enquiry regarding the identification cards, please contact the Secretariat. 5. HOSPITALITY All delegates are guests of the Indonesia Government during their stay in Bali for The International Seminar. The hospitality includes a shuttle bus from designated hotel (Nusa-Dua Beach Hotel) to the seminar venue. 4

5 6. ACCOMMONDATION AND RATES Special rates have been arranged for delegates. Kindly please make reservations to the hotel using the attached room reservation form (Annex B). All bookings received after due date will be subjected to room availability. Delegates will responsible for hotel costs including room charges, cancellation charges, telephone/fax and other services provided by the hotel. Delegates should check terms and conditions offered by the hotel before making reservations. Contact detail of the hotel is indicated in Annex B. 7. LUNCH AND DINNER Lunch will be served for all delegates during the seminar days. A Welcome Dinner hosted by Bappenas will be held on 11 December A Gala Dinner is hosted by The Ministry of Finance of Indonesia, on 12 December 2013 at Pasar Senggol, Grand Hyatt Hotel, Nusa-Dua Bali. The remark is given by Mr. Bambang Brodjonegoro (Vice Minister of Finance, Indonesia) A Closing Dinner is hosted by Bank Indonesia on 13 December 2013, at Coconut Garden, Grand Hyatt Hotel, Bali. The remark is given by Mr. Perry Warjiyo (Deputy Governor, BI). 8. IMMIGRATION Visa Entry Visa is not required for delegates who hold an official or a diplomatic passport of ASEAN and Plus Three (People Republic of China, South Korea, and Japan) of member countries. However, the Secretariat encourages all the delegates to reconfirm with Indonesian Embassy or Consulate in your respective area/country to check entry visa information. All delegates are responsible for arranging their Visas, if required. It is advised that all delegates to check their entry permit requirement. 6 Arrival The arrival takes place at Ngurah Rai International Airport, Bali. Please check the related airline agencies for further information. 9. TRANSPORTS The transport expenses from and to the airport, the hotel room, bar charges, overseas calls and faxes, and other miscellaneous expenses are on delegates own account. All delegates are requested to inform the Secretariat on their travel itinerary. 10. DRESS CODE Delegates are requested to wear business attire or long sleeve batik for the dress code during the workshop and seminar events and smart casual for dinner. 11. FUNCTION ROOMS Secretariat Room During the seminar, the Secretariat will be located at Rijasa Room, Grand Hyatt Hotel, Nusa Dua, Bali. Medical Service Room The basic medical service will be provided during the period of the meetings at Grand Hyatt Hotel, Nusa Dua, Bali. 12. DOCUMENTATION The documentation section is located at the Secretariat Room. The Secretariat is responsible for duplicating all related materials 6

7 13. GENERAL INFORMATION Entry Procedures All delegates will be required a valid passport to visit Indonesia. Delegates are requested to advise the secretariat on their travel plans. i.e. date and estimated time of arrival/departure as well as flight number. Customs On entry to Indonesia, each adult is allowed to bring in tax-free a maximum of one liter of alcoholic beverages and 200 cigarettes or 50 cigars or 100 grams of tobacco. Cameras, video cameras, portable radios, cassettes recorders, binoculars and spot equipment are admitted provided they are taken out of the country on departure. They must be declared to Customs. The prohibited items are firearms, narcotics, pornography, Chinese printing and medicines, transceivers and cordless telephone. Films, pre-recorded video tapes and laser disks must be screened by the Censor Board. There is no restriction on the movement of foreign currencies or travelers cheques in and out of the country. However, the import and export of Indonesian hard currency exceeding one hundred million Rupiahs is prohibited. Airport Tax Passengers departing on international and domestic flights require paying the airport tax (Rp for international flight and Rp for domestic flight) Currency Indonesian currency is Rupiah (Rp). The Rupiah comes in denomination of Rp , Rp50.000, Rp20.000, Rp10.000, Rp5.000, Rp2.000 and Rp1.000 in bank notes, and Rp1.000, Rp500, Rp200, and Rp100 in coins. Major foreign currencies are exchangeable at State Banks such as Bank Mandiri, Bank Negara Indonesia, and Bank Tabungan Negara and other private Banks. The exchange rate is subject to daily changes. Banks are open from Monday to Friday from 08:00 to 15:00. Major credit cards (Visa, MasterCard, American Express, and Diners Club) and most traveler s checks are accepted. 7

8 Electricity 220 volts are used in Indonesia. Always make sure that you check the power supply before using your equipments. Weather Bali is part of tropical area of Indonesia and located in the coast line. For years record the average daily temperature has been 32 degree of Celsius with high moisture level around 80%. Time The hour in Indonesia Capital City Jakarta is + 7 relative to the Greenwich timeline. However, the hour in Bali is + 6 relative to the Greenwich timeline.
