2 What is a Webelosree event? Webelosree is a fun camping experience for Webelos, which will introduce them to Boy Scout activities. The theme for this year s Webelosree is Scouts in the Future. Webelos Leaders and parents will have an opportunity to see Troops throughout the District in action. They will be able to mingle, chat and hang out with Boy Scouts and their Leaders. Our hope is that Webelos Scouts continue the journey by bridging to Boy Scouts Where will it be held? This year s Webelosree will again be held at the Fred C. Palmer Equestrian Center in Marshall Canyon Park in La Verne. Directions from 210 Fwy and exit 48 Fruit Street. Take the 210 Fwy to Fruit St. (north) Turn West on Baseline Rd Take the first street Esperanza north Follow road to Stephens Ranch Rd. Take road approximately 2 miles north to main gate The Webelosree registration booth is about ¼ mile from main gate Where do I get a registration form? Registration opens online starting Sept. 1, ( When is registration and payment due? Last day to order hats and/or shirts Oct 14 Early Bird Registration Sept. 1 Oct. 7 Regular Registration Oct. 8 Nov. 7 Starting Nov 8 Units must contact VDS s District Executive Webelosree Orientation & optional Pre-Check-in Tuesday, Nov 7, 7pm at United Methodist Church, 3205 D Street, La Verne Wednesday, Nov 8 at Kelby Park, 815 N Barranca Ave, Covina Come to one of the Orientation days and receive a Fast Pass for Check-in at Webelosree. Fast Pass will allow you to go to a separate area for check-in so you won t have to wait in the long line behind everyone turning in their forms. What to bring to orientation to receive Fast Pass: Registration receipt with roster of Scouts and Adults attending. Cub Scout and Adult registration fee covers: Camping fees Commemorative participation patch Meals: Saturday: Breakfast, Lunch, Dinner Sunday: Breakfast Troop registration fee covers: $20.00 per Scout or Leader/Adult - Includes Registration Fee, Patch, Camping & Meals $15 per Scout or Leader/Adult - no camping includes Registration, Patch, Lunch & Dinner $5/Scout or Leader/Adult Patch only Note: Friday dinner is on your own Why should we go to Webelosree? Most importantly, it is fun! For most Webelos Scouts, this will be their first exposure to Boy Scouts activities. For parents of current Webelos Scouts, this will be an opportune time to identify prospective Troops prior to bridging. For Boy Scout Troops, this will be a great recruiting opportunity and an opportunity to foster closer ties with their feeder Packs. What type of activities will be available? Though the activities are subject to change, we are planning to provide the following with the Theme of Scouts in the Future in mind: Activities: Archery Range BB gun Range Chariot Races Bottle Rockets Compass Game Skits and Songs Skills: Citizenship Fire Safety First Aid Knife and Axe Safety Knots and Lashings Cooking Physical Fitness obstacle course

3 Who may attend? Can parents and siblings attend? Attendance is open to registered 1 st and 2 nd year Webelos Scouts (4 th & 5 th graders), Boy Scouts, Scout Leaders and non-scout boys who are eligible to join Webelos. Interested parents are also welcomed to attend. Since this is intended for Webelos and Boy Scouts, siblings will not be allowed. What is the Leadership requirement? In all cases, there is a minimum of 2-deep leadership per unit. For Webelos Scouts, there is a ratio of 5 scouts per leader. Webelos parents can be included in this ratio, however at least one registered leader must be present who has Webelos Outdoor Leader Skills If a Den Leader cannot attend, A Webelos Scout can attend with his own parent. We will place each boy and parent with a den that has a leader that is trained in Webelos Outdoor Leader Skills. When should my Scout Unit arrive? Troops and Packs should arrive Friday (11/11) evening starting at 5:00pm. Packs may also arrive on Saturday (11/12) from 6am 8am. It is recommended that you arrive by 7am so you have time to set up camp and eat breakfast. (Don t be late as programs start promptly at 9am) What do I need to provide at Check-in? You will need to provide the following: Registration receipt with roster of Scouts and Adults attending Current BSA Health History form Parts A & B Any special dietary needs or food allergies. OR your Fast Pass. NOTE: Adults and Scouts leaving from or arriving at camp during the event are required to check in and out at the Registration Desk. Provide information beforehand on scheduled early departures. We will be collecting all forms at check in. Please have medical forms in a notebook, clearly identified with your Unit number. Do not include forms of unit members who are not attending. Since administration will be keeping the forms for the entire weekend, please make any necessary copies beforehand. All forms will be returned at checkout on Sunday. If forms and patches are left at camp, they will be given to the District and can be picked up at Roundtable in December. Lost and Found: All found items will be available at Roundtable in December. Can I drive into the camp area to drop off gear? Vehicles will be allowed into the camp area to drop off gear only. Vehicles cannot remain in the camp area. Once gear is unloaded, ALL VEHICLES MUST BE MOVED TO THE PARKING LOT. Please do not set up your camp until you have moved your vehicle. Staff, both Scouts and Adults, will be assigned to the camp area to assist with directions and will instruct drivers to move vehicles. It would be to your benefit to consolidate as much gear as possible. Car pooling is also encouraged. How will the Webelos Scouts interact with the Boy Scouts? Boy Scouts will be teaching Scout Skills to the Webelos Scouts or running Activity events during Saturday s program. For the duration of the Webelosree event, the Boy Scout Troops will be the host for the Webelos Dens. As part of their hosting responsibilities, the Boy Scout Troops should: Guide the Webelos to their designated campsite Be able to provide information to the Webelos parents about the operation of their Troop Provide guides to lead the Webelos to each event

4 What happens if it rains? Rain or Shine Webelosree will go on!! Pack rain gear and extra clothes. Will it be cold? during the day? Day time temperatures may be quite comfortable. You should be able to get away with shorts and a Scout shirt or t-shirt during the night? Cold! As long as you have a good sleeping bag (+20F rating), maybe an extra blanket or two, and appropriate clothing, you should be OK. Jacket, gloves and hat. It is better to be too warm than too cold. The cold night-time temperatures should greatly influence your decision on the types of things to bring. What facilities exist? There aren t any usable structures for us to use. There are limited picnic tables. Bring any tables, chairs, lanterns etc that you need. Restroom facilities consist of portable restrooms. We will ensure that there are an adequate number of these and that they are properly placed and identified. Please respect the Women s only porta-potty. Water is available throughout the camp area. There are no shower facilities. Each Troop should keep a 5 gallon igloo of water in their program area for Webelos and Boy Scouts to stay hydrated. All Scout Units will be asked to bag their own trash and to haul it away with them when they leave. Will we be able to have fires or cook in the camping area? No. No fires or cooking will be allowed in individual campsites. No exceptions no other permits allowed. Will there be a Trading Post? A Trading Post selling candy and drinks will be open during the day on Saturday. Is phone service available at Marshall? Cell Service is spotty, you shouldn t plan on being able to use your phone. Emergency: Arrangements have been made for emergency communications. Is there any poison oak? (leaders take note) There is poison oak along the fence lines and on the other side of the fence. For this reason, these areas are off-limits. We will ask that everyone help enforce this. Should our Scouts be buddied-up? Absolutely! Scouts should not go anywhere without their buddy. Again, we ask everyone to help enforce this. Use the buddy system at all times. What are the meal arrangements? All meals will be cooked by the Webelosree Quartermaster Staff. If needed, we will request that each Unit send one adult to the kitchen to help with each meal. Times will be provided at Webelosree on Friday night. We will provide all eating utensils and plates. Dietary restrictions must be communicated to the Quartermaster ASAP so he can arrange for substitution. Although we reserve the right to make changes, the meals are planned as follows: Friday: Dinner will not be provided on Friday night. Since cooking is not allowed in campsites, please eat before you arrive. Saturday: -Breakfast pancakes and sausage -Lunch hot dogs and chips -Dinner - spaghetti Sunday: -Breakfast continental Water, coffee, and hot chocolate will be available in the kitchen area for the duration of the event.

5 What should I bring? List of required items: - Tents and camping gear, plastic ground cover and a ground pad are highly recommended. - Sleeping bag preferably rated for temperature +20F. Consider extra blankets for warmth. - Class A uniform (for assembly, meals, campfire and Scout s own) - Toiletries (toothpaste, soap, etc) - Patrol Flag or banner - Chair and lap blanket for campfire - Appropriate attire for cold weather; jacket, thermal underwear, long pants, socks Scout Outdoor Essentials: - Filled water bottle/canteen - Rain gear - Change of clothes, extra socks - Compass (preferably a base plate compass suitable for orienteering) -Pocket knife (only if trained) -Personal First Aid Kit -Flashlight with extra batteries -Sun block, lip balm with SPF protection Other useful items: - Class B uniform (for activities) - Whistle - toilet paper - Sunglasses, hat - Portable chairs - Day pack or fanny pack How can Scouts earn awards? All Webelos Dens will be participating in many activities throughout the day. The Troop hosting the skill/activity event station is expected to award a totem to each participating Webelos Den to hang on their Den flag pole. All Webelos Scouts will receive a leather fob at check- in to wear on their belt or around their neck. Each Webelos Scout will receive a colored bead at each event. Troops need to prepare totems to award each Webelos Den that completes their activity. Totems should be designed so they can be tied to the den flag pole. Webelosree staff will provide beads to each Troop. Troop information event & upside down ice cream sundaes for the Webelos and parents. After dinner on Saturday Troops who participated all day and ran an event can set up a Troop information table to show off their Troop and their activities. Webelos and Parents will visit each table to learn about the Troop and receive a topping for their ice cream. Will there be a campfire program? We will have a campfire program Saturday night. Each Unit (Pack and Troop) is expected to participate with either a skit or a song. Each skit and song needs to be approved in advance by the camp staff. What time can I leave on Sunday? On Sunday morning we will have: -Scout s Own service (see below) -Flag Assembly and Closing Ceremony -Breakfast At that point you will be dismissed to pack up and get ready for departure. Scouts Own The Scout s Own service plays an important part of the Webelosree. It is a non-domination worship service for Scouts of any religious background. As boys bridge to Boy Scouts and participate in outings, they will find that a Scout s Own service plays a role in the outdoor program. It should be noted that the 12 th point of the Scout Law is A Scout is reverent. Check out procedure - After breakfast, Packs/Troops pack up and cleanup their camp area. - Complete the evaluation form. Extra evaluations and Check out forms will be available at Registration & at Headquarters. - Locate a staff member near Headquarters for final camp inspection. Staff will stamp check out sheet. - Stop at registration to collect medical forms and Patches.

6 Rules and Regulations Vehicle usage: - Speed limit is 5MPH - Park in designated parking areas only. - Vehicles cannot be parked in the campsites or along the roads. -Drivers must have car keys on person at all times in case of emergency evacuation. - No smoking or drinking (alcoholic beverages) is permitted. Nor is the use of E-cigs or chew permitted No fire arms No open flames or fires -No cooking in camping area -No campfires in camping area -Propane or battery lanterns only no liquid fuel -no heaters or open flames in tents No electronic devices (stereo, music, games) No Pets in Camp Regarding tents: - Webelos must share a tent. Youth will not be allowed to stay by themselves. - Youth may share tents with parent or guardian but not with other adults. -Male and Female Leaders must stay in separate tents, except in case of married couples. - Everyone must sleep in tents, not in personal vehicles. Units must be supervised by registered adult leader, 21 years or older, at all times. A Second Adult (18 or older) is required in camp by National BSA policy. In the absence of qualified Den leadership a parent can camp with his/her Webelos Scout in a designated camping area with a trained leader in Webelos Outdoor Skills appointed by the camp staff. Each Unit is responsible for the area in and around its assigned site, as well as the personal cleanliness of its Unit members. Reference Guide to Safe Scouting.
