1 Hawk Mountain Council Venturing Officer s Association Ventureen 2017 Advisor s, President s and Participant's Guide This event is especially for Crew members! Event Date: November 10-12, 2017 HAWK MOUNTAIN SCOUT RESERVATION

2 WHAT IS DIA DE LOS MUERTOS (DAY OF THE DEAD) For those of you needing a quick answer. Day of the Dead is a holiday celebrated in Mexico that consists of two days, November 1 and 2. It coincides with all saints and all souls day. They believe that the gates of heaven are opened at midnight on October 31, and the spirits of all deceased children (angelitos) are allowed to reunite with their families for 24 hours. On November 2, the spirits of the adults come down to enjoy the festivities that are prepared for them. They create altars to honor their loved ones with pictures, toys, and their favorite foods. They decorate the altars and their cemeteries with flowers, sugar skulls, and bright colors while listening to bands and telling stories of their loved ones. We will spend the weekend celebrating our scouting family. If you would like to bring a photo of a loved one to place on our altar you are more than welcome to. ARRIVAL, DEPARTURE, AND FACILITIES Registration All persons attending this event MUST pre-register by November 8, 2017! Registrations will be completed Online at Thanks in advance for giving us complete registrations so that we can prepare for your arrival. Check-In Check-in will occur at the HMSR Welcome Center BEFORE going to your Cabin. Look for signs upon arrival. At check-in a list of names of the scouts and adults needs to be provided for our records. Vehicles may be permitted to unload heavy equipment at the campsite; after unloading, all vehicles must be parked in the parking lot. Each crew advisor and the crew president (or representative) must come to registration to present the BSA Health Form Part A and B (including a copy of health insurance card) for every member that is present and attending the Ventureen and to make sure all proper registration forms have been completed. Each crew advisor will keep their participant s health forms on file with them throughout the event. Photos will be taken during the event for promotional materials. Each participant will be presented a wristband (that must be worn at all times for the duration of the event), camp map, and a schedule of events. Each crew will be given a sheet detailing a Cabin clean-up assignment to be completed before check-out on Sunday morning. If needed, a staff member will act as guide to your Cabin. Check-in time is from 6:00 to 9:00 PM on Friday. No crew should arrive before 6:00 PM Friday. If you plan to arrive after 9pm, please contact Gordon Araujo at or gordon.araujo@gmail.com. Check-Out A staff member will be assigned to each crew for check-out and site inspection. Upon satisfactory inspection of the cabin, a staff member will present your crew with your event patches. If deemed necessary by the staff, crews may be asked to help clean common use areas (dining hall, bathrooms, etc.). Crews who wish to depart before the Sunday, 10:00 AM check-out time should inform Ventureen staff at check-in.

3 President and Advisor Meeting A president and advisor meeting will be held Friday night at 10:15 PM at the Marlin Conference Center (Cub Scout Dining Hall). The next day s activities will be discussed. There will be another president and advisor meeting Saturday night at 8:00 PM to review check-out and cleaning procedures. Parking Vehicles may be permitted to unload heavy equipment at the cabin; after unloading, all vehicles must be parked in the parking lot. This is a policy which has been approved by the Executive Board for the safety of our youth. Equipment Drop-Off Vehicles will not be allowed to remain at the cabin. Crew s will be allowed to drive to their camping area to unload before parking their vehicles in the parking area. Campsites and Cabins Participants and adults will be assigned cabins based on gender. This means that crews attending Ventureen and staying in cabin will need to split male and female attendees. We request help with segregating adult and youth areas inside the cabin. Units should plan to bring a rope or sheet to help cordon off sleeping areas since the cabins are single room facilities. If a unit elects to stay in tents, they can stay together in one campsite, provided youth protection guidelines are followed. Participants are asked not to enter any other cabins or campsites unless given permission by the appropriate authority. Please respect the rights and privacy of everyone else utilizing camp property during Ventureen. Ventureen staff will be on hand to direct traffic and answer your questions. Please follow their instructions. Campfires No outdoor campfires permitted unless using an existing fire circle. In an effort to minimize the impact of campfires on the environment, all fires should be no larger the designated fire ring. Due to the threat of invasive species no firewood is to be brought onto camp property. There is a plentiful supply of firewood at the Hawk Mountain Scout Reservation. Per Hawk Mountain Council policy on cutting trees: No trees are to be cut without the specific permission of the Reservation Director or his designee. A $5.00 per inch of diameter penalty will be enforced by the Camp Ranger. First-Aid Station Primary first aid is the responsibility of the Crews; please bring your crew s basic first-aid kit. A first aid station will be located on site with personnel to assist with first aid cases throughout the Ventureen. Directions to the local hospital will also be available.

4 Security Only participants registered to attend the Ventureen will be permitted at the event. Anyone visiting the Ventureen must check-in upon arrival for everyone s safety. Also, all cars must be in the parking lot, for no reason should there be any cars in the camping area. The camp and the Ventureen event will have Venturers and Scouters serving as security personnel. For the safety of all and to assure success of this event, please respect and adhere to any guidance received from these staffers in the course of their duties. Each participant will be issued a wristband when they register; it must be worn at all times during the event by both adults and youth. Restrooms and Showers Participants are expected to use the correct, designated toilet and shower facilities. These facilities will be divided as follows: Male over 18, Male 18 and under, Female over 18, Female 18 and under. Toilets and shower facilities will be available at the Cub Pool and Comfort Station, which is near the camping area. There are also latrines and portable toilets located throughout the program area and camp. Flush toilets will be located in the Cub Pool, Comfort Station, and Welcome Center and are available throughout the event. Latrines and portable toilets will be marked male and female only throughout the camp; please respect these designations. Further, please be respectful to those who will use the facilities after you. Anyone caught defacing the shower facilities, flush toilets, portable toilets, or latrines will be asked to leave immediately. PROGRAM Behavior All Venturers, advisors, and guests should conduct themselves according to the Scout Oath and Law. Anybody defacing the property or not following the principles of Leave no Trace will be dismissed from Ventureen immediately. Dress Code All Ventureen participants are expected to dress appropriately throughout the entirety of the event. Advisors will be held responsible for their youth and their dress. Any clothing referring to alcohol, drugs, sex or any other inappropriate subjects or is determined to be too revealing is unacceptable. Anyone that is wearing clothing deemed inappropriate will be asked by the event staff to change clothing. Given the time of year and the existence of outdoor activities, participants are highly advised to DRESS FOR THE WEATHER AND TEMPERATURE. Please bring your crew official uniform to wear for Saturday Dinner, Sunday breakfast, religious services and closing ceremonies. Fiesta Attire As this year's theme is Day of the Dead you may choose to dress as if attending a fiesta, please keep your attire scouting appropriate. Anyone who is inappropriately dressed will be asked to change.

5 Day Of The Dead (Party) The Day Of The Dead will be held Saturday night starting at 8:00 at the Dining Hall. We will have festivities including glow tag and crackerbarrel. Meals All meals are provided as part of your registration fee. This includes Friday cracker barrel, Saturday breakfast, lunch, dinner, and cracker barrel, and Sunday breakfast. No dinner will be provided on Friday. Breakfast, lunch, and dinner will be held in Dining Hall. Diner will be served family style. Please wipe down your table after every meal. Flags Participation is required. When in class C, please place your hand over your heart. For flags Saturday evening, your crew's official Uniform/Class A should be worn. If you have flags we encourage you to carry them for retreat. Please assemble on the parade field in front of flag poles. We will take a role call when your crew number is called please have your president (or youth representative) respond by stepping forward, and saying all present, followed by the Scout salute. Dutch Oven Cookoff In this voluntary (highly encouraged) dutch oven cook off you will be prepping, cooking, and plating a creative dish. You are making a dessert that will be judged by all. You have the ability to make a desert you please so be creative! You will be judged off of teamwork, efficiency, presentation, creativity and taste. We will have a table set out of various ingredients that you can choose from and you must use all of the ingredients that you choose. We will also be providing the dutch oven and fuel for this competition. This is to be a bonding activity so make sure to have fun! Acts of Kindness This year instead of collecting food items for the local pantry we will be collecting items for our scouting family in Puerto Rico. Their scouting office was damaged as well as their camp. A list of items needed will be provided. Religious Services An interfaith worship service will be held on Sunday morning. Directions and times for the local Catholic Church will be provided upon request. If you have any specific needs, please do not hesitate to contact us. CAMP POLICIES Tobacco/Smoking Tobacco Free Policy It is the policy of the Boy Scouts of America that leaders should not use tobacco products in any form in the presence of youth members and that extreme care should be exercised to provide a tobacco-free environment for all Scouting participants. It is our intention that Hawk Mountain Scout Reservation be completely tobacco free.

6 Weather Please be advised that if extremely dry conditions exist at the time of the event, open fires may be banned by local authorities. The Dining Hall serves as the safety shelter in camp. If at any point you feel uncomfortable outside in the weather, make your way to the Dining Hall. Trash All participants are encouraged to use reusable items and to recycle items when you return home. There will be trash disposal available. Please Leave it better than you found it. Water Water faucets are located throughout the camp and will be available for use. All participants are encouraged to bring and carry a water bottle with them at all times. Off-Limits Areas The Ranger s house and maintenance yard is off limits. Program Areas such as COPE/ Climbing, Archery, Shooting Sports, Council Ring, Chapel, and other designated areas are off limits to event participants when not open or staffed by an authorized camp or event staff member. Please stay out of other campsites and cabins not being used by Ventureen unless given permission. What NOT to Bring Venturers are reminded that the following items are NOT to be brought to camp: firearms, sheath knives, any knife with a blade longer than 4 inches, fireworks (pyrotechnics), alcohol, personal archery equipment, electronic games, loud stereo equipment, bicycles, laser pointers, cigarettes, tobacco products (see above), and any other illegal substances. Other Camp Policies Shoes such as sandals, flip-flops, aqua-socks, Crocs, and other open toe/ open heel shoes are only permitted in shower houses and waterfront area. For your own protection, when hiking to and from these areas, or around camp, sturdy closed-toe shoes (boots or sneakers) are required. Tree cutting is to be done only with permission of the camp ranger. Cutting of live, standing timber is prohibited. It is dangerous and could cause injury to campers or camp property. Dining Hall protocol requires that diners must wear shoes and a shirt at all times within the Dining Hall. Please remove your hats inside Dining Hall. No food is to be carried out of the Dining Hall.
