The campus is closely monitored by UTPTS and parking on campus without a permit will result in a citation. PLEASE READ ALL SIGNS CAREFULLY. The best option to park on campus is by using a parking garage. Manor Garage is located closest to the Rec Center and the Brazos Garage is located closest to Gregory Gym and Jester East dorm. Roommate Requests Every reasonable effort is made to accommodate all roommate and suitemate requests. REMEMBER, WE CANNOT GUARANTEE ANY REQUESTS FOR SUITEMATES. All of the rooms are two person rooms. Please send the forms as soon as possible. Please contact the camp director about questions or concerns with the forms. Please BRING A COPY OF YOUR MEDICAL / TRANSPORTATION FORM PACKET TO CHECK IN TO AVOID ANY SURPRISES OF LOST FORMS OR FORMS THAT WERE NOT RECEIVED. Parents This section is intended to provide additional information about the camp and our processes on a few topics. One theme you will see through most of the topics below is to have your camper speak with camp staff immediately if they have a concern or need help. We can address any issues your camper has much quicker if they speak with camp staff directly, rather than speaking with a parent or friend about something and then have that person try to contact the camp staff. Should you have any questions please contact the camp director. Visiting Campers All parents are allowed to watch training sessions during camp. Upon entering the gym, please identify yourself as a parent of a camper. You will need to follow the visitor policies set by the facility. PLEASE NOTE THAT CAMPERS MUST WALK TO AND FROM THE GYM AND DORM WITH THEIR GROUP AT ALL TIMES. Although not recommended, parents are allowed to visit campers while at the dorm during the session breaks. HOWEVER, PARENTS ARE ONLY ALLOWED TO VISIT CAMPERS IN THE LOBBY. PARENTS ARE NOT ALLOWED IN CAMPERS ROOMS OR THE CAFETERIA. Contacting Campers (Emergency) During camp, our phone line, voice mail, and are closely monitored to ensure you can contact us as quickly as possible. Should an emergency situation arise and you need to make contact with your camper, please if at all possible with quick, brief details, and a phone number. For quick reference, our contact information is listed below. Phone txvbcamp@utexas.edu Homesickness The Texas Volleyball Camp feels that the camp experience is more than just improving volleyball skills. We also want campers to have a great camp experience, meet new friends, and learn how to be on their own. We find that frequent visitations by parents or frequent telephone calls only enhance the problem rather than solving it. Please encourage your campers to speak with a camp staff member. We are here to help with any situation. Also, we find that we can help much quicker if the camper comes straight to the camp staff, rather than speaking with a parent and then having the parent try to reach the camp staff. 10

12 Inclement Weather Unfortunately, inclement weather can pop up without notice. The safety of our campers is our top priority. If conditions warrant, the Texas Volleyball Camp will alter the schedule due to inclement weather to ensure that our campers are safe. This could mean shortening a session, extending a session, or cancelling a session. Also, the Athletics Department subscribes to the WeatherData, Inc. SkyGuard monitoring and alerting service. Directors are immediately notified and will remove campers from any potentially dangerous situation. We will make decisions based on this information. Training Groups Prior to each camp, the campers are divided into training groups. This is done based on position (if applicable), grade, age, and in some cases experience. We understand that this is not a perfect system, but it does give a good basis for group separation. During the initial training sessions, our staff will be checking to see if anyone needs to change groups. We try to do this as quickly as possible so that campers are not constantly moving groups. The main goal is to have good peer interaction within each group. This means that age is a factor in how we assign groups. We want each group to be close in skill level, but it is inevitable that each group will have varying skill levels. This is true of camp or any team sport. If your camper feels they are not being challenged in their group and would like to have a coach evaluate them for the possibility of moving groups, please encourage your camper to come straight to the camp staff, rather than speaking with a parent and then having the parent try to reach the camp staff. Campers will notice that in our gym, each court is numbered, 1 18 (depending on camp). Many campers will associate this with Court 1 is better than Court 8. This is not necessarily the case. Court assignments are based on position, grade, and age. Also, typically there is a range of courts that are the same. Meaning, Courts 5 8 are relatively the same and the skill level of a camper on Court 8 is not that different from the skill level of a camper on Court 5. This means moving from Court 8 to Court 5 would be a lateral move. Lastly, we try to keep a strict coach to player ratio within each group to allow full interaction and instruction between coaches and campers. This is also a big factor in moving campers to different courts. We do not want to have 20 campers on one court and 12 campers on the next court. Camp Staff The Texas Volleyball Camp employs coaches with varying backgrounds in volleyball, both in level coached, and experience. Our coaches have backgrounds in junior high, high school, club, and collegiate coaching as well as playing both in the college club level and on varsity teams. In addition to coaches, we employ certified athletic trainers and dorm staff to ensure that your camper is taken care of both in the gym and in the dorm. We strive to have a coach to player ratio between 1:8 and 1:10, with additional support staff on site at all times. We strive to have an overall staff (over 21) to player ratio between 1:10 and 1:12. Prior to working camp, all staff are fully vetted through all of the HR procedures required by the University of Texas, State of Texas, and the NCAA. Discipline The Texas Volleyball Camp staff wants to ensure that each camper has a positive camp experience. Misbehavior of one camper or a group of campers can negatively impact the experiences of others and our camp staff will make every effort to ensure that does not happen. Although the camp rules touch on some offenses that will get a camper immediately dismissed from camp, the following procedures are in place to make sure we act within a reasonable and consistent manner. Again, please note that if the offense warrants, any steps listed may be skipped or repeated at the discretion of the camp staff. 11

13 First Offense Second Offense Third Offense Campers who do not follow camp rules, or exhibit behavior that has a negative impact on other campers will be privately warned by camp staff. Subsequent misconduct will result in a meeting with the Camp Director or Texas Volleyball Coaching Staff. The Camp Director will contact the parent or guardian to inform them of the situation and that if the misconduct continues the camper will need to be picked up from camp. The camper will again meet with the Camp Director or Texas Volleyball Coaching Staff. The parent or guardian will be notified and the camper will be dismissed from camp. CAMPERS DISMISSED FROM CAMP FOR DISCIPLINARY REASONS WILL NOT RECEIVE A REFUND OF ANY KIND. FINAL DECISIONS RELATED TO DISCIPLINE ISSUES ARE MADE BY THE HEAD COACH WITH INPUT FROM THE COACHING STAFF, CAMP DIRECTOR, AND OTHER NEEDED ATHLETIC DEPARTMENT STAFF. Please note that the Texas Volleyball Camp wants to ensure the safety of all campers. We want to make sure that each camper has a positive camp experience. The steps listed above are to ensure a reasonable and consistent method is used when disciplining campers. Youth Protection Program All summer programs involving minors at The University of Texas at Austin follow guidelines set forth by the Youth Protection Program (YPP). The purpose of the YPP is to promote the safety of minors participating in camps or programs on university premises or participating in those programs sponsored or supported by the University. All camps and programs work closely with the YPP Manager to ensure that every program operates in accordance with all of the university s policies, rules and regulations, as well as the laws of The State of Texas regarding the safety of minors. More information about the YPP is available online at and questions can be directed to the YPP Manager at ypp@utexas.edu. Campus Concealed Carry On June 1, 2015, Gov. Greg Abbott signed S.B. 11, also known as the "campus carry" law. S.B. 11 provides that license holders may carry a concealed handgun throughout university campuses, starting Aug. 1, The law gives public universities some discretion to regulate campus carry. The University of Texas at Austin and President Gregory L. Fenves take issues surrounding guns on campus very seriously and will strive to create policies that conform to the new law, protect the rights of citizens and ensure the safety and security of the entire campus. S.B. 11 provides that after consulting with students, staff and faculty regarding "the nature of the student population, specific safety considerations and the uniqueness of the campus environment" the university may enact reasonable rules and regulations regarding: carrying of concealed handguns by license holders on campus; and storage of handguns in dormitories or other residential facilities The law stipulates, however, that these rules and regulations may not either "generally prohibit" or "have the effect of generally prohibiting" license holders from carrying concealed handguns on campus. 12

14 The purpose of the Youth Protection Program (YPP) is to protect all minors in their university sponsored activities and interactions involving members of The University of Texas at Austin community. Pursuant to S.B. 11 (the Campus Carry Law ), the YPP Policy prohibits the carrying of a concealed handgun by any person involved in a University of Texas at Austin camp/program for minors. This Policy also applies to parents and guardians who are visiting or transporting a participating minor to and from camps/programs at The University of Texas at Austin. PURSUANT TO SECTION 30.06, PENAL CODE (TRESPASS BY LICENSE HOLDER WITH A CONCEALED HANDGUN), A PERSON LICENSED UNDER SUBCHAPTER H, CHAPTER 411, GOVERNMENT CODE (HANDGUN LICENSING LAW), MAY NOT ENTER THIS PROPERTY WITH A CONCEALED HANDGUN Please see the Campus Carry Implementation ( website for more information. Social Media Communication Designated individuals will set their social media accounts to private for the duration of the camp. Personal s, text messages, phone calls, and private social media communications with campers are not allowed. Post Camp Communication Campers may stay in contact with the camp director, faculty or staff via the camp/program social media accounts on Facebook, Instagram, and Twitter.
