2 Welcome to Summer Camp! Get ready for the best summer of your life! Please read this guide to learn everything you need to know about summer camp. GETTING TO WOODWARD COPPER Arrival Day - first date listed for each session Check-in is between 12:00pm and 4:00pm. Times subject to change We request that all campers check-in by 3:45pm at the latest o This ensures campers have enough time to settle into their dorm rooms before dinner, camp orientation, and evening activities Check-In at Copper Mountain Check-in at the Barn Campers receive their room assignments, meet their counselor and roommate, sign-up for camp activities, deposit cash in their Camp Bank or Camp Store Credit Card Account Driving Directions From Denver: Hop on I-70 west and take the Copper Mountain exit # 195/Hwy 91. Stay in the right lane and drive over the freeway. Once you have taken the overpass take the first right on to Copper Rd. and head to the E.D.G.E. building From Grand Junction: Hop on I-70 east and take the Copper Mountain exit # 195/Hwy 91. Turn right on Hwy 91 and take the first right on to Copper Rd. and head to the E.D.G.E. building year old campers If you have a year old camper driving him/her-self to/from camp, please be sure to note this during registration. Once your camper is at camp, he/she is not authorized to leave camp until the last day of the scheduled camp week (Saturday). You may, however, authorize your camper to leave by ing office@woodwardcopper.com. We do not authorize any camper to leave the supervision of Woodward Copper staff without the parent/guardian s authorization in writing. If authorized, your camper must stop by the camp office when leaving and returning to camp to sign him/her-self out of and into camp. Once at Copper: Look for Woodward flags and employees. Woodward employees greet you at the entrance and along Copper Road until you get to the Barn, which is located on the right hand side of the road between the Copper Athletic Club/Lodging Front Desk and Copper Mountain Fire Station and after the first stop signed intersection. This includes day campers daily Woodward Shuttle Shuttles driven by trained Woodward staff drive down to Denver International Airport (DIA) to greet all campers flying in to help guide them through the airport. If there are any delays due to the airlines or ground transportation, not to worry. We have Woodward staff down at DIA to meet and guide campers around the airport until all campers have arrived. In order for us to account for your camper and to guarantee a spot on the shuttle, you must reserve a spot in advance. Our shuttles have limited space. One-way and round-trip shuttles are available. 4 Getting to Camp via Airline Woodward Copper staff in uniform will be stationed at DIA (Denver International Airport) assisting campers navigate through the airport. In order to take the Woodward Shuttle: o Must be arranged prior to arrival & can be booked online through your registration portal or by calling o Campers should have an arrival flight to arrive at DIA between 8:00am-2:00pm o Campers should have a departure flight from DIA between 11:00am-4:00pm. o If your flight is outside of these times, please call the camp office at x60824 Arrival Day: o Shuttle driver will meet your camper at the statue pictured to the right or at the gate if your camper is an UAM (unaccompanied minor) Departure Day o Shuttle driver will assist your camper with the check-in process and guide him/her to security. If your camper is an UAM, the driver will walk him/her to their gate. We recommend traveling with a passport for an I.D., but this form of ID is not required Unaccompanied Minors: o Some airlines require passengers that are below a certain age to fly as an unaccompanied minor o Extra fees apply Airline provides a representative on-board the flight, and allows a representative to accompany the minor to and from the gates during travel. Check with your airline when booking the camper s flights. If you have purchased this service please note this at time of registering. 7 WHAT TO BRING Keep in mind that the more campers bring to camp, the more there is to lose. There is limited storage so make sure to pack accordingly. Please label all clothing, personal possessions, and equipment with full name and phone number. Note: anything left behind at the end of camp, will be donated to local thrift stores if unclaimed. 8 Medications: Prescribed & OTC medication o All prescribed and OTC medication must be presented to nurse during check-in and accompanied with a signed order from your camper s physician. Medication must be kept in original bottle complete with camper s name, medicine name, dosage, provider prescribing the medication, and frequency of when to be taken o DO NOT send medication in a plastic baggie o NO OTC medication is allowed in camper rooms including but not limited to ibuprofen, allergy medicine, wound care, vitamins, sore muscle care, and aloe for sunburn. No tumbling in sports bras is allowed WHAT NOT TO BRING (ALL CAMPERS) THE FOLLOWING IS PROHIBITED AT CAMP INCLUDING BUT NOT LIMITED TO: Alcohol, drugs, tobacco products, any other illegal or inappropriate substance o Woodward Copper and Copper Mountain Resort are located on Federal property, therefore marijuana is not allowed anywhere at Copper Mountain or at camp. This applies to all campers, staff, visitors, and pros Hazardous or combustible materials: o Weapons o Firearms o Knives o Mace o Lighters/matches/candles/fireworks o Incense o Animals Personal valuables including: o Jewelry o Mp3 players o ipods o Cameras o Expensive make-up or clothing o Large sums of cash OTC medications cannot be kept in the camper s rooms and will need to be checked in with the nurse: o Vitamins o IB Profin o Topical Creams Room checks occur daily and if there is reasonable suspicion, rooms will be searched. Any items that are found will be confiscated and result in calls to parents/legal guardians and appropriate law enforcement officials (if warranted). *Woodward Copper is not responsible for lost or stolen items* 9

10 RENTAL EQUIPMENT Snowboard, Ski, and Mountain Bike Rental equipment packages are available upon request through Copper Sports Center. Woodward Copper will not be responsible for any rental arrangements. A 20% discount will be applied at time of booking if reservation is made 24 hours in advance. Call for reservations. Pre-book your equipment and complete the Rental Form prior to coming to camp. Cell Phone Policy All cell phones should be marked with your child s name and your home phone number Campers are not allowed to have their cell phone turned on during mandatory instruction times Woodward Copper reserves the right to confiscate the cell phone if deemed necessary by our staff REFUND, CANCELLATION & PAYMENT POLICIES Deposit & Camp Sessions Please note that Summer Camp deposits are NON- REFUNDABLE. To protect your investment please consider purchasing Woodward Camp Protection through your online portal or by calling Woodward Camp Protection protects your investment against any covered unforeseen life event prior to during camp. To make a claim, the Woodward Copper camp office at office@woodwardcopper.com Zero Tolerance Policy- Woodward Copper camp does have a set of rules known as the Zero Tolerance Policy that campers must follow during their camp session. If a camper violates any rules within the Zero Tolerance Policy they may be asked to leave camp, resulting in a no refund. Agreeing to follow this policy is agreed upon during registration. Summer Camp Protection is available to purchase during camp registration and protects your investment against a covered unforeseen life event prior to attending or during camp. This fee is NON-REFUNDABLE if a claim is submitted. To make a claim, please contact the camp office at your registered location. Backup documentation may be required. Notice to Cancel: Written cancellations must be ed to registered location and acknowledged by Woodward Staff. These terms and conditions are agreed upon online under the cancellations, refunds, and camp protection policies during registration. 10

11 CONTACTING CAMPERS (for campers under the age of 18) We recommend that campers arrive with a phone card or cell phone. We encourage campers to call home during the afternoon of the second day, as we have found this helps to prevent homesickness. Please keep conversations upbeat and positive by focusing on coaching sessions and recreational activities. Sending Care Packages In order to get a package or letter to your camper please read and follow the instructions below carefully. FedEx or UPS Camper s Name, Room # The E.D.G.E. If your package/mail isn t sent early in the week, it is not guaranteed to get to your camper when they are at camp & returning it can take weeks. Visiting Camp We enforce a strict No Strangers policy and we require all visitors to check-in with our camp office, which is located in The EDGE prior to visiting a camper. We encourage Day Campers and family members of campers to stay at Copper Mountain who offers special lodging rates for camp parents. You can book through reservations at A great time to visit camp and see what your camper has been doing is between 5pm to 9pm at the Barn. Visitors will need to check in at the Barn front desk with valid ID. Come be a part of camp every Friday at 3:15pm* for the end of week awards ceremony in addition to the Talent Show at 7:30pm that same night! Stay the night with us at Copper Lodging and dine in one of Copper Mountain s fine eateries. *time subject to change 11

12 Stay-Over Campers We have special weekend instructional and recreational programs for campers staying multiple weeks. These include Barn sessions, and Copper Mountain recreational activities. Meals are included and having extra spending money is encouraged. HOMESICKNESS (for campers under the age of 18) Many people, young and old, experience feelings of homesickness when faced with a new set of living conditions. Like many emotional expressions, homesickness is very contagious and must be recognized as such. Our staff is trained to handle these problems. Should a camper call and express feelings of homesickness, please notify us and we will work closely with you to alleviate the problem. Sleep-away camp offers an excellent opportunity for campers to learn how well they can manage without their parents and let other adults care fort them. It has been our experience that it is more often the parents that are having a difficult time adjusting to their camper s absence or overreacting to a camper s early anxiety at being away from home. Check your own feelings about having a camper gone for an extended period of time. If you are not ready yourself, you may unwittingly make it difficult for your child to be away from you, consequently spurring feelings of guilt or feelings that he or she doesn t have permission to enjoy him or herself outside your view. Understandably, parents may feel helpless when they hear their child upset over the phone. Resist the urge to make promises about picking your child up or visiting. A visit from home interrupts their day, takes their attention from new friends and fun activities, and often spawns or exasperates homesickness. For more information on homesickness, we recommend reviewing Dr. Chris Thurber s work at MEDICAL REQUIREMENTS AND PROCEDURES Woodward Copper operates under the Colorado State Child Care for Residential Camp License and requires the following: All campers MUST complete and sign (if under the age of 18 a parent or legal guardian 18 and older must sign) the Woodward Copper Participant Release which acknowledges the consent to treat. Also by signing this release or liability waiver, you are agreeing to pay any medical expenses in the event of an injury. Unfortunately, your camper cannot participate in any activity without this signed document. *NEW* We require that all campers get a physical examination performed within twenty four preceding months to camp by a licensed physician or qualified, licensed nurse practitioner. The camp must be informed of any physical problems which would limit the camper s activity, any special care which the child will need, and include a record of up-to-date immunizations which the child has had, including the date of the last tetanus shot. The filled out physical form must be uploaded with all of the other paperwork as well as the up-to-date immunization record on the State of Colorado form. Any camper with a recent musculoskeletal injury or recent surgery requiring modified participation or extra monitoring throughout the week must present a participation clearance note or modified activity form from their provider. These forms can be downloaded and uploaded through your online portal. If your camper is exempt from obtaining a physical examination and/or immunizations due to religious or any other beliefs or medical reasons, you must complete the exemption form which also can be downloaded and uploaded through your online portal. The camp has the right to refuse the admission of a child who does not have this completed form. 12

13 We require that all parent/guardians provide a copy of their camper s immunization record provided by their licensed physician prior to their arrival to camp on the authorized State of Colorado form. This includes out of the state of Colorado campers. This form can be downloaded and uploaded through your online portal. If a camper is not up-to-date on his/her immunizations, you must complete an exemption form for the appropriate immunization the camper is missing. Woodward Copper has certified Ski Patrol on-snow to assess injuries in the Pipeline Park, as well as Athletic Trainers in the Barn to assess injuries in the training facility, at the EDGE, and in Copper Village. The majority of injuries will be cared for in the Woodward Copper training room by the camp Athletic Trainers. In the event of a serious injury 911 will be called and the parent or legal guardian of campers under the age of 18 will be notified immediately. The nearest Emergency Room is located in Frisco, Colorado, which is about 15 minutes away from camp. Campers with pre-existing injuries or prescription medication should include this information and any special instructions in your online portal during registration. Prescription medication must be in its original container with the name of medication, dosage, frequency, condition being treated, physician s signature, and DEA number. Unfortunately, your camper cannot participate in any activity without this signed document. With all prescribed medications, you MUST include a note from your camper s licensed physician stating the name of the medication, the dosage, purpose, and time the medication should be taken. This includes health conditions such as asthma, severe allergies, seizure disorder, diabetes, etc. This is in addition to medications that are taken on a routine basis for ADHD, heart conditions, seizure disorder, etc. If medications need to be re-filled while your camper is at camp, a written order by the prescribing practitioner must be dropped off with the nurse upon check-in with the following information: the Child s name, Licensed prescribing practitioner name, telephone #, & signature, Date authorized, Name of medication & dosage, Time of day medication is to be given, Route of medication, Length of time the medication is to be given, Reason for medication (unless confidential), Side effects or reactions to watch out for, and any Special instructions. Upon check-in, prescribed and OTC medications should be dropped off with the camp nurse by a responsible adult. Children are not allowed to bring medications to camp. If medication is out-of-date or left over, parents are responsible for picking up the medication. If not picked up, the medication will be properly disposed. Also at check-in, all campers and/or guardians will be asked to complete a health screening form. The health screening form is to help the medical team identify any illnesses that your camper may have in order to provide the best medical care. This is in addition to identifying any illnesses that can spread to others at camp. When we feel a child has a contagious illness or condition, in order to maintain the good health of other campers, we will notify the parent, ask they remove the camper and they will receive a full refund. Questions on the health screening form include: Has your camper had any of these symptoms or were exposed to these in the past 7 days including cough, runny nose, skin rash, sore throat, fever, and eye drainage. Has your camper been treated or exposed to nits/lice in the past 14 days? Have you seen a doctor in the last 7 days? Did you bring medication, including OTC, to camp? Also part of the health screening, all campers will be checked for nits (lice eggs) and lice. If there are any activities that your camper is unable to participate in due to medical reasons or you do not wish your camper to participate in, please be sure to note these activities in the Health Form in your online portal. For any questions or clarification regarding medical, please contact the camp office at x

14 SPENDING MONEY (for campers under the age of 18) Make sure to think about spending money prior to camp. Campers typically spend $50-$1,000 per week and sometimes more on snacks and souvenirs like Woodward t-shirts ($20-35), hats ($20-30), hoodies ($50-70), sunglasses ($10-$200), Create-A-Skate ($40), skate decks ($100-$150), and lots more. Remember if your camper is flying in and out, make sure to set aside cash for baggage fees, unaccompanied minor fees, or prepay for these Airline services in advance. Cash Bank Account We have a safe and secure cash bank system set up at camp. Campers will be able to keep any cash he/she brings with them in our safe that is located at the Barn front desk. We put the cash into an envelope and keep track of every withdrawal, as well as the camper s bank total. The cash bank is deposited during camp check-in at the Barn. *EDGE Vending Machines are very popular at night. It is recommended to send small bills and quarters with your camper for evening snacks in their rooms. Change is not always available. Red Bull is sold to anyone over the age of 13. *There are onsite ATMs for cash withdrawal using debit cards. Camper Store Credit (best option) Campers also have the option of store credit that is valid at any Woodward Copper location; including Woodward Copper s Camp Store, as well as several Copper owned retail outlets. Campers cannot use the store credit card at restaurants, non-copper shops, or the vending machines. Parents can set any maximum spend amount and enjoy the flexibility of being able to increase spending limits with a phone call. The remaining balance of the camper s store credit will be refunded at the end of each camp week. Please note that the Camp Store Credit account does not have a cash back option. Meals and Snacks Breakfast, lunch, and dinner are included with all camp options and have no additional fees. Breakfast is served 7:30am 8:30am Lunch is served 12:00pm 1:00pm Dinner is served 5:00pm 6:00pm If your camper is hungry outside of these meal times, he/she can purchase snacks at the Barn, Cage, or out of the vending machines. The Barn & Cage will accept the Camper Store Credit cards; however, vending machines only accept cash & change. It is highly recommended to send your camper with snacks to keep in his/her room. TIPS Tips for your camper s coaches and counselors are optional. Please note that the coaches & counselors are two different Woodward Staff who will be with your camper at different times throughout the day. If you wish to leave a tip for your camper s coach, counselor, or both, you will have the opportunity to do so at check-out with the leadership team. This will ensure your tip gets to the right staff member. 14

15 VIDEO SHOOTS ALL PRODUCTS SELL OUT QUICKLY Video Shoot - $349 Want a video to take home after your summer at Woodward? We are excited to offer our video shoots! You will receive a 2 minute video filmed and edited by our professional videographers. The content is up to you! Whether you would like footage of stomping that new trick or just a video with your new friends at camp- we can do it all. Video shoot covers 4hrs of filming (2 hours on snow and 2 hours off snow) and 4hrs of editing; the end product will be a minute edit that will be sent to you via . A DVD will be sent to your mailing address noted on the Housing Form (Domestic Shipping only). With the purchase of a Video Shoot, our videographers will contact you prior to your camp session to discuss details of the video. Please discuss with your camper what you would like to see in the video; song choice, types of tricks, barn vs. on snow, etc. Please note that Video Shoots have limited availability, booking early in advance is strongly advised.
