2 Welcome to the 2017 Summer Camp Season! On behalf of the entire Dietler Leadership Team, thank you for your interest in the Denver Area Council camping program. We are excited to offer a rich and exciting experience to all Scouts who join us at camp during the summer. Camp Cortlandt Dietler is home to a unique patrol-based Summer Camp experience. Webelos Scouts at Camp Dietler will work together in patrols and develop teamwork and leadership skills while learning about all that awaits them once they cross over into Boy Scouts. The WEST program operates at Camp Cortlandt Dietler, one of Peaceful Valley s two Boy Scout camps. The Dietler Leadership Team specialized in patrol method camping, teaching basic Scouting skills, and the fundamentals of Boy Scouts. This means that WEST participants will receive an authentic Boy Scout Experience. Unlike Magness Adventure Camp, which offers Cub Scout Family Camping, WEST specializes in Boy Scout-style Patrol Camping. Upon your arrival at camp, all participants both Webelos and parents will be separated into patrols. These patrols will be the basis for nearly all activities at camp including flag ceremonies, cooking meals, and evening activities. The WEST program is designed to prepare Webelos for the transition from Cub Scouts into Boy Scouts. Webelos will be assigned an activity schedule that is based on their rank advancement progress (Webelos I or Arrow of Light). These activities are designed to both cover many Webelos Adventure requirements as well as provide a sampling of the fun experience that await you in Boy Scout camping. WEST at Camp Dietler uses the requirements from the recently updated Cub Scouting program. Please take the time to read through this program guide in its entirety. It contains many important details including program information, packing lists, and camp procedures. Being familiar with all these items will help you to be fully prepared for your WEST session. If you have any questions whatsoever, please do not hesitate to get in touch with one of the members of the leadership team (contact information below). We are more than happy to answer any and all questions that you may have. Once again, thank you for your interest in Camp Cortlandt Dietler. 4 Camp Cortlandt Dietler - Guiding Principles BSA Mission Statement The mission of the Boy Scouts of America is to prepare young people to make ethical and moral choices over their lifetimes by instilling in them the values of the Scout Oath and Law. Scout Oath On my honor I will do my best To do my duty to God and my country and to obey the Scout Law; To help other people at all times; To keep myself physically strong, mentally awake, and morally straight. Camp Cortlandt Dietler Mission Statement The mission of the Denver Area Council summer camping program is to provide each Scout with a memorable and challenging outdoor experience. Camp Cortlandt Dietler enriches the fundamentals of Scouting by providing unique opportunities for leadership development and educational growth. 5 Campsites Facilities and Equipment Your unit will be assigned a campsite based on a number of factors, including size of unit, registration priority, and time of registration. Camp Dietler has a limited number of campsites, so most will be shared among multiple units each week. Please note that while every effort will be made to place you in your desired campsite, this is not always possible. At check-in, you will receive your finalized campsite assignment. The Camp Director reserves the right to move units to different campsites as needed. Campsites and Capacities: Caribou - 40 Buckskin Joe - 40 Independence - 30 (reserved for Webelos) Eureka - 40 East Tin Cup - 40 Summitville - 30 (reserved for Webelos) Each campsite is equipped with a pit latrine, including hot showers. There is also a handwashing station with paper towels and a soap dispenser. These will be stocked with a broom, hose, and other cleaning supplies. We encourage all units to use their own campsite s latrines for showering and direct their Scouts to ask permission from other units if they need to use another campsite s latrine. Camp Dietler does not designate specific shower times for youth and adults. Each unit and its leaders are responsible for enforcing Youth Protection guidelines. We recommend that units develop a schedule to ensure that youth and adults are not using the showers at the same time. Please contact the Camp Director (Ben Pettis, Ben.Pettis@Scouting.org ) if you have any questions or concerns regarding this policy. If there are any problems with your campsite s latrine or other facilities, please notify a member of the Leadership Team immediately so that the issue can be resolved in a timely manner. Damage to Camp Facilities and Equipment Each unit is responsible for the equipment that has been assigned to them. Units are responsible for the cost of any repairs or replacement of damaged camp equipment. All camp equipment will be inspected before being checked out to units, and will be inspected again upon its return. Your Patrol Host will work with you to inspect equipment upon your unit s arrival to ensure that you are not charged for pre-existing damages. More details about possible fees and charges can be found on Page 17. The Camp Director will review any damages/ fees with each unit at the end of the week as part of the check-out process, at which point any questions or concerns can be addressed. Any incurred equipment fees can be either paid by a unit leader while at camp, or back at the Denver Area Council office. Page 3

7 Recommended Personal Equipment We encourage each unit to come up with their own packing lists to provide to their Scouts. This is a great way for youth leaders in your unit to get involved in the summer camp planning process. This list of recommended equipment can serve as a great starting-point for that planning process: Please label all items with full name and unit number. 8 Check-in Procedures Camp Cortlandt Dietler Operating Procedures Check-in starts Sunday at 1:00pm at the WEST Headquarters, located on the mesa. Please do not arrive earlier than this time, as there will be no staff available to assist you. If you need to arrive at camp at any time other than Sunday afternoon, please contact the Camp Director (Ben Pettis, at least two weeks prior to your arrival to make arrangements. Please enter camp at the Southeast entrance, across the road from the entrance to Magness Adventure Camp. Follow signs for Camp Dietler and WEST. You ll drive up onto the mesa where you ll be directed where to park. Please observe the camp-wide speed limit of 15 miles per hour at all times. Medical forms will be reviews and collected during check-in. Each Scout will need their own medical forms, as well as any medications (which must be in their original packaging!) If a Scout is attending camp with their parent or guardian, that adult may hold onto their medications. No other adults are permitted to store and administer medications for other Scouts. All other medication will be stored and administered by the Peaceful Valley medical staff. For specific details about medical form requirements please consult the Peaceful Valley Ranchwide Adult Leaders Guide. Upon your arrival, Scouts will be assigned to patrols. They will work within these groups throughout the session for class rotations, food preparation, and other activities. We will make every effort to keep Scouts from the same Packs in the same patrols. To give the Scouts the opportunity to work independently, adults will work in separate patrols for meal preparation and some other activities. Further details will be provided at check in. After check-in, staff will guide you and your Scouts in setting up your campsite. Scouts will hike to their campsite, and are expected to carry their personal equipment with them please plan and pack accordingly. Once most of the patrol members have checked in, a staff member will meet with the patrol to review camp rules and procedures. They will also review camp program schedules and any other questions at that time. Page 6

9 Check-Out On the last full day of camp, the Patrol Hosts will visit your campsite to help organize the first part of camp breakdown. They will guide the Scouts in cleaning and taking down cooking areas and other patrol site equipment. Patrol Hosts will assist with the final parts of campsite breakdown, including tearing down all tents and leading trash sweeps of the area. Before leaving camp on the last morning of the session, please stop by the WEST Headquarters to sign out and pick up camp patches and final paperwork. Additionally, adult leaders and Scouts will have the opportunity to fill out a camp evaluation. Your feedback help make it possible for us to continually improve the WEST experience. The Commissary The Commissary is the heart and soul of Camp Dietler. For both Scouts and leaders this building is the central hub from which the rest of camp relies on. Members of the Dietler Leadership Team can help replace broken equipment, or check out items that Scouts may need to borrow throughout the week. In addition to food and equipment, the Commissary is also the home of the Dietler Mercantile, where Scouts and adults can purchase merit badge kits, souvenirs, snacks, and more. Finally the Commissary is home to the Camp Dietler main office, where you can meet with members of the Dietler Leadership Team to address any questions or concerns. Adult leaders are able to leave items such as cell phones here to be charged. This is also where merit badge records including mid-week progress reports will be made available. WEST Headquarters In addition to the Dietler Commissary, we have a secondary area set up on the mesa for the WEST Headquarters. This is located conveniently between the Independence and Summitville campsites, and near the mesa parking lot. Check-in and check-out will take place here, and staff will be on hand throughout the session to answer any questions or concerns you may have. For each meal, patrols will send two Scouts to the WEST Headquarters to pick up their patrol s food and receive instructions and information about the meal. Lost & Found For most items, there is a Lost and Found box located behind the Commissary. Any common items such as jackets, mess kits, and water bottles should be brought here. For more valuable items including cell phones, wallets, and pocket knives, please bring those to the Dietler Mercantile so they can be stored securely. Please note that certain program areas, such as Aquatics and Shooting Sports have their own separate Lost and Found boxes. For items misplaced in these areas, it may be necessary to check at the specific program area. Though camp staff is more than happy to assist Scouts in looking for lost or missing items, please keep in mind that we are not responsible for lost items. Any equipment brought to camp is the responsibility of the Scout or unit that brought it. We recommend that Scouts write their full name and unit number on all personal items in case they are misplaced. Page 7

10 Trash Policies Peaceful Valley has not had any major critter problems in the last few years, partly thanks to everyone s adherence to our trash policy. All trash must be carried down to the Commissary each evening before lights out. If desired, your unit may carry trash down to the Commissary multiple times during the day. This is often a lot easier on younger Scouts who might have difficulty carrying larger trash bags down the trail at night. Trash bags should be placed in the large green trash bins behind the Commissary. Afterwards, any member of the Dietler Leadership Team will be able to provide a new trash bag to use. Every night, we transfer trash from the Commissary to the ranchwide roll-off, which uses an electric fence to keep critters out. Please bring all trash from campsites down to the Commissary by 10:00pm each night so that staff can carry it out. The Mercantile Camp Cortlandt Dietler has its own mercantile, which sells merit badge supplies, souvenirs, snacks, drinks, and many other items. Our experience shows that $75-$100 is generally more than enough for Scouts to meet most souvenir, concessions, and merit badge kit needs during the week. Please note that certain items such as Columbia Outdoor Gear tend to be more expensive. Additionally, certain merit badges have required kits that must be purchased in order to complete the badge requirements including Leatherwork, Basketry, or Woodcarving. Make sure to check the class description section of this guide to check if your Scouts classes have any applicable fees. Additionally, the Mercantile is also where units can pay their summer camp fees, as well as any other additional fees and charges that come up during camp (such as equipment use, etc.) Scouts can either pay their own fees individually, or charge them to a single troop tab. If a unit chooses to use this option, we will keep track of all the fees for each unit, and provide an itemized list at the end of the week, which can be paid in whole at that time. Page 8

11 Mail & Care Packages A letter, postcard, or goodie package from home is something that can brighten any Scout s day! Any mail received will be distributed to Scouts at the next flag ceremony. If you choose to send anything via USPS please do not wait too long, as mail tends to be delivered more slowly in rural areas. Box 97 Elbert, Colorado Many units choose to forgo the postal service entirely and send mail along with the Scoutmaster. The Dietler Leadership Team can hold onto mail in these cases and deliver it on a specified day. Page 9

12 Vehicle Policy For the safety of Scouts, adult leaders, and staff, Peaceful Valley Scout Ranch has a strict vehicle policy that all visitors must adhere to. Please read the following section carefully, and provide a copy to all drivers for your unit. During the check-in and check-out processes, one vehicle per unit is allowed to drive on the service roads to the campsites. This is for the purposes of moving trailers or any other oversized gear. Scouts are expected to carry the majority of their gear themselves. All vehicles must be returned to the parking lot. Absolutely no non-camp vehicles are allowed to drive into the campsites or off the main service roads. At all times while at camp, the following rules must be followed: NO VEHICLES excluding authorized vehicles are permitted on the roads outside of checkin and check-out times! NO VEHICLES IN CAMPSITES! Each unit is allowed to leave one trailer in the campsite, but must move the vehicle used to tow it back to the parking lot. Camp staff will designate an area in each campsite for trailers to be parked. All trailers MUST remain in this specified area. ALL VEHICLES must be parked in the parking lot where indicated and must remain there for the duration of camp. If a Scout or adult leader has special mobility needs, a permit can be obtained from the camp medic to drive a vehicle to transport this individual around camp. In this situation, a stateissued handicap placard or a doctor s note will be required. The following rules must be adhered to: Vehicles must stay on roadways. Vehicles MAY NOT be driven directly into campsites. Each occupant of a vehicle must have a proper seat and use a seatbelt. Drivers must be at least 18 years of age, and must have a valid driver s license The maximum speed limit on camp is 15 MPH Vehicles may be used ONLY for the individual(s) with special mobility needs Roads are some of our main trails at camp, and increased traffic adds unnecessary danger to our Scouts. Additionally, road use rapidly increases erosion; please help us keep camp safe and beautiful by following this policy. Failure to adhere with the vehicle policy may result in fines to your unit, with extreme cases resulting in persons being asked to leave camp. 13 Program Details Program Theme: Legend states that an ancient, powerful artifact has laid dormant in Peaceful Valley for eons. It is said that the holder of the artifact is granted great wealth and prosperity, enjoying good fortune wherever they go. Many have spent their whole lives looking for the wondrous object, but to no avail. Generations have come and gone through the small valley, and almost all hope had vanished about finding its location, many claiming that it may not exist at all. Recently, the local shaman Jackson was out on his morning commune with the forest, when a messenger in the form of a songbird came and spoke to him, letting him know that the ancient artifact of peaceful valley was ready to reveal itself to those who it deems worthy. Quickly, word got out about the powerful artifact, attracting an assortment of intrepid adventurers, most famous of whom Indiana James intends fully on finding the artifact before anyone else. Now the locals of the forest and the adventurers on the plains are pitted against each other in a competition to see who can locate the artifact first. But legend has it that artifact will only reveal itself to those who it deems worthy, so the two factions must compete to prove their worth and claim the prize as their own. Page 11

14 Patrol Cooking One of the key components of Dietler s dedication to teaching the patrol method is for Scouts to work together to cook their own meals. With the exception of a few meals prepared by the Dietler Leadership Team, Scouts are responsible for preparing and cooking the majority of their own meals. Cooking is a major team building opportunity, as well as an important life skill; the Dietler Leadership Team is dedicated to supervising and guiding Scouts to create meals that are absolutely delicious! Before each meal, patrols send Scouts to the WEST Headquarters to pick up food specific times are listed in the schedule. Being on time for food pickup is critical in order to avoid delays in preparing meals. Scouts back in camp can work on preliminary kitchen set up while this is happening. Members of the Dietler Leadership Team will be eating with patrols for all meals, so Scouts will have full staff guidance and supervision. Initially the staff will provide full guidance to Scouts, and will step back as the patrols skills increase. By the last meal, the staff will only be in the campsite for supervision and to hang out with Scouts; the patrol will ideally be cooking independently. The staff is trained to know how much and how quickly to step back, ensuring that each patrol receives the exactly level of guidance and supervision that it needs. The WEST program includes separate patrols for adults and leaders. This provides the opportunity for Scouts to work independently and experience the Boy Scout patrol method first-hand. Though adults and Scouts will be preparing meals in separate patrols, both will still be in the same campsite and in the same area. Mess kits are not provided by Camp Dietler for any meal. It is the responsibility of the Scout or adult to have their own eating gear for all meals, including those prepared by staff. Food Allergies and Dietary Restrictions Our kitchen staff is able to accommodate special diets, whether for religious, medical, or philosophical reasons. If a camper has a dietary restriction, make sure it is indicated on their medical form. In addition, please fill out the Special Diet Request Form found on the Denver Area Council website, in the Camp Library Section. Forms should be submitted to Kandle, our contracted food service provider - jara@kandledining.com Please also a copy to the camp director (Ben Pettis, Ben.Pettis@Scouting.org) If this form is not received by this deadline, there is no guarantee that the kitchen will be able to accommodate the dietary needs. Scouts are also welcome to bring their own food to accommodate dietary restrictions. However, we are not able to guarantee the adjustment of participant costs for those who bring their own food. On arrival, please check with your Patrol Host, as well as the food service personnel, and they will instruct you on how to get your special meals. Page 12

15 Mining Districts Dietler has 6 unique campsites which are divided into 3 different Mining Districts. Each district is overseen by a single staff member, the Mining District Coordinator (MDC). Each district has its own separate flag ceremony, and many aspects of program involve districtbased competition. The Georgetown campsites, Independence and Summitville, are reserved for WEST Webelos Camping and are unavailable for Boy Scout Troops. The Mining Districts are as follows: Georgetown: Ouray: Leadville: Independence Caribou East Tin Cup Summitville Eureka Buckskin Joe Flag Ceremonies Twice a day, each Mining District will assemble for a Flag Ceremony for the raising and lowering of the flags. These ceremonies are also an opportunity for the Dietler Leadership Team to provide important information and details about that day s events. All Scout and Leaders are expected to attend, and each patrol is encouraged to participate in the ceremony itself. Campfires During each session at camp, there will be one campfire program involving songs, skits, and other performances. The campfire program takes place near the Dietler Commissary at the campfire ring, where Boy Scouts and Webelos from all of Camp Dietler will meet. This is a great opportunity for the Boy Scout troops to share some of their traditions, and for Webelos patrols to get a taste of what Boy Scout summer camp is like. Because the program involves both Boy Scouts and Webelos campers, its scheduling will vary depending on what WEST session you sign up for. WEST sessions that run from Sunday through Wednesday will have their campfire program on Sunday evening. WEST sessions that run from Wednesday through Saturday will have their campfire program on Friday evening. Though there are slight schedule differences such as these between WEST sessions, please keep in mind that all Webelos will receive the same program experience and opportunities. Page 13

19 Equipment Fee and Other Charges Certain merit badges and other classes have fees associated with them, which cover the costs of additional materials and supplies. Additional charges may be assessed for damage to camp equipment and facilities. The Leadership Team will maintain an itemized list of fees and charges for each unit, which will be distributed as part of the camp check-out process. Any outstanding balance can be resolved at the Mercantile before leaving, or at a later date at the Denver Area Council office. 20 Medical Form Requirements We are required by Colorado Law to collect the following paperwork from all campers. There are no exceptions to this policy. BSA Medical Form Part A BSA Medical Form Part B All campers under the age of 18 must also complete: Colorado Childcare Addendum Any participants under the age of 18 who are currently taking medication (prescription or over-the-counter) must check their medications in with the Camp Medic. All medications must be in their ORIGINAL CONTAINERS in order to be accepted. We cannot accept weekly pill boxes or other aftermarket containers. At the end of the week, all medications will be returned. However, due to record-keeping requirements, we CANNOT return original copies of Medical Forms. Please plan on making copies of your forms to turn into camp. Having these documents ready at check-in will help streamline the process as much as possible.
